Scheduling Board

Key Terms used in this lesson

  • Maintenance Scheduling Board

    Used to visualize and fine tune order operations.

  • Work Center Team

    Team of a specific team category which is assigned to the performing work center in order to assign people via the People Gantt of the Scheduling Board.

  • Dispatching

    By dispatching order operations the planner confirms that the operation has been planned at the right date/time for the right work center; sets a processing status as well as a system status; can be cancelled.

What can you do with the Maintenance Scheduling Board?

You can:

  • Define Date Range
  • Select orders/operations according to various criteria
  • Graphically visualize orders/operations for your work centers
  • Change details of operations
  • Drag & Drop operations to a new date
  • Dispatch operations
  • Cancel dispatch
  • Remove Constraints
  • Display and create relationships
  • Navigate to maintenance orders and technical objects

In the table area, maintenance orders, order operations, and suboperations are shown in their hierarchical structure, with the order at the top level and the operations and suboperations at the second level.

A Gantt chart shows orders, operations, and suboperations on a timeline. This allows you to quickly identify scheduling conflicts.

You can filter the orders, order operations, and suboperations as needed and show more detailed information for them.

Adjusting Settings of the Maintenance Scheduling Board

The Maintenance Scheduling Board provides a Settings dialog in which you can make various settings to optimize display of order operations and work centers. The following settings for the Maintenance Scheduling Board are available:

  • Layout

    Current time, Divider lines, etc.

  • Work Centers

    Utilization threshold, Non-working times, Utilization

  • Elements

    Final Due Date, Implicit Relationships, Explicit Relationships, "Must Start On" Constraints

  • Labels

    F.ex. Order Description inside the Order Bar

Working with the Scheduling Board

Various functions can be performed with the Maintenance Scheduling Board, such as:

  • Open Order in Change Mode
  • Change Order Operation - f.ex. Work Center, Must Start On
  • Dispatch Order Operations
  • Cancel Dispatch
  • Drag & Drop Operations to a new date
  • Create Relationships
  • View Orders and Resources

Relationships

Relationships describe processing and temporal dependencies between order operations.

Relationship Types

  • Implicit Relationships
  • Explicit Relationships

If the person creating a maintenance order does not explicitly specify a relationship between the order operations, the app uses the operation number to determine the sequence of operations (Implicit Relationship).

Implicit relationships are used by the system if no explicit relationships exist. They're based on the sequence indicated by the operation number and are always of type Finish-Start (FS). Implicit relationships are only relevant for operations in the same maintenance order.

Explicit Relationships are relationships created by a person, for example, on order creation. They can be of the following types:

  • Finish-Start (FS)
  • Start-Start (SS)
  • Finish-Finish (FF)
  • Start-Finish (SF)

Explicit relationships can be created between operations that are included in the same maintenance order or in different orders.

There are four relationship types: FS relationship, SS relationship, FF relationship, and SF relationship.

Relationships in the Scheduling Board

In the Maintenance Scheduling Board app, you can create relationships between order operations by linking them in the chart.

  1. In the chart, select the operation that you want to relate to another operation. Connection points appear at the beginning and at the end of the operation bar.
  2. Select a connection point and draw a line to the operation that you want to relate to the selected one. Drop the line at the beginning or at the end of the operation bar, depending on the type of relationship that you want to create.

As soon as you create a relationship within a network of operations, any implicit relationships are deleted. The app automatically adjusts the start date of the related operation if the following applies:

  • The operation is included in the same maintenance order.

  • The operation doesn't have a Must start on constraint set.

During scheduling, the app considers Finish-Start (FS) relationships and Start-Start (SS) relationships between operations that belong to the same order and between operations that belong to different orders (cross-order relationships).

If the related operations are included in different maintenance orders, you must trigger order scheduling for the affected orders to have the operation dates adjusted.

When you delete the last explicit relationship in a network of operations, all implicit relationships are restored automatically.

Note

If the scheduling type set for a maintenance order is Only capacity requirements, the apps don't show any implicit relationships between the operations of this order. All operations by default have the same start and end dates, which correspond to the order's basic start and finish dates.

Assigning People - Using Work Center Teams

You can assign one or multiple maintenance operations to one or multiple people that should carry out the work. You can also delete or reassign existing assignments in order to react on changes in an individual's workload, for example, or to redistribute maintenance work due to unplanned absences.

The People Gantt displays only people that are a member of the team that is responsible for the performing work center of the selected operation (see next section).

Work Center Teams

If you want to assign people to operations via the Maintenance Scheduling Board, the performing work center must be linked to a Work Center Team.

A work center can be linked to exactly one team, and a team can be linked to exactly one work center. In addition, a person can only be assigned to one work center team at a time.

A Work Center Team can be set up via app Manage Teams and Responsibilities.

As a prerequisite a number of objects must be defined in Customizing - such as Functions, Function Profiles and Team Categories.

Dispatching Orders and Operations

By dispatching an order operation or suboperation, you confirm that it has been scheduled at the right work center and at the right time. After dispatching the operation shows system status DSPT (Dispatched).

Dispatching an operation can be done during work on a schedule in the Manage Schedules app or in the Maintenance Scheduling Board.

The Maintenance Scheduling Board also allows you to a Cancel Dispatch for a selected operation.
