Configuring Business Document Extraction Schema in ESM

Understanding Document Extraction Schemas

Schemas define the information to be extracted from attachments and how this data maps to the header and line item fields of business documents. The contents of this schema enables the large language model to better understand the document and identify the fields that need to be extracted.

You can utilize different schemas for various business document scenarios. An example would be to extract key information from a scanned image of a handwritten check, including the date, payee name, and amount, while identifying the layout and structure of the document.

SAP provides standard schemas that you can use directly or customize to suit specific requirements. Additionally, you have the option to create new schemas for unique scenarios. The standard schemas available include:

  • Invoice Payment,

  • Advice and

  • Purchase Order

Creating Document Extraction Schemas

Follow these steps to create a 'Business Document Extraction Schema'.

  1. To get started, navigate to your user profile menu and select: All Settings > Enterprise Service > Document Extraction (Beta).

  2. Choose the plus icon to create a new schema. To copy an existing one, click on the copy icon.

  3. Input a Schema ID and Description. Proceed to add or modify header and body fields for your schema. For each header or line item field, provide the following details:

    • Field name

    • Label

    • Description

    • Data type*

  4. Once done, choose one of the following options:

    • Select "Save" to preserve your schema, allowing for later activation.

    • Select "Save and Activate" to simultaneously save your schema and activate it for immediate use.
