Consumable Purchasing Solution Process Steps

Create Purchase Requisitions

The Consumable Purchasing solution process can start with a purchase requisition which can be created manually or automatically.

A purchase requisition is an internal document that defines the requirements of a material or a service. This document authorizes the purchasing department to procure the material in the quantity specified for the specified date.

As a purchaser, you can create purchase requisitions for consumables using the Manage Purchase Requisitions - Professional app. If an approval workflow is defined then the purchase requisition is subject to approval otherwise it is approved automatically.

Manage Purchase Requisitions - Professional application.

You can use the automatic source determination so that the system searches for the possible sources of supply such as purchasing info record or a contract.

The default values for your user can be set using the Default Values for Users - Purchase Requisitions app by a configuration expert.

You can also create purchase requisitions using the Create Purchase Requisition - Advanced app. You can set the default values for this app using the Personal Settings available on the app. Automatic source determination of source of supply is also available in this app.

Convert Purchase Requisitions to Purchase Orders

As a purchaser you can convert the purchase requisitions using the Process Purchase Requisitions app. Using this app, you can display purchase requisitions. You can also use the app to assign sources of supply to the purchase requisition items and then create the follow-on purchase order. You can only access purchase requisitions if you have authorizations for the respective purchasing group, purchasing organization, and plant.

Whether you can create one or several purchase orders depends on the supplier, purchasing organization, and purchasing group associated with the selected purchase requisition items.

Create Purchase Order

The solution process can also start directly by creating the purchase order for consumables. If an approval workflow is defined then the purchase order is subject to approval, otherwise it is approved automatically.

A purchase order is a request or instruction from a purchasing organization to a supplier or a plant to deliver a quantity of material or to perform services at a certain point in time.

As a purchaser you can create purchase orders for consumables using the Manage Purchase Orders app. You can use this app to manage and search purchase orders for consumables. You can create purchase orders for standard items or limit items.

Purchase Orders application.

You have to maintain the Account Assignment Category for the purchase order. You can use multiple account assignment in your purchase order so that the costs covered by the purchase order are distributed to different cost centers or projects.

Using the Process Control tab on the item level, you can enable or disable goods receipt and non-valuated goods receipt.

Default User Settings

Using the ProfileSettingsDefault Values, you can maintain the default values for the fields under Materials Management, which can then be used as default values for the filters while using the Manage Purchase Orders app. The default values for fields such as material, material group, plant, and supplier can be entered. They will be displayed as a default value for the filter on the app. You may not see all the setting options; some need to be enabled by your administrator.

Note

The default values are only meant for filtering the displayed list for relevant apps and do not have any effect on the fields of newly-created purchase orders. That is, when you create a new purchase order, the default values that are set will not display as default on the new purchase order.

Post Goods Receipt for Purchasing Document

Once the ordered goods arrive and if the good receipt was enabled in the purchase order, you can post the goods receipt for your purchase order. As a warehouse clerk or an inventory manager, using the Post Goods Receipt for Purchasing Document app, you can post the receipt of goods with reference to the purchase order in which the goods ordered are for direct consumption. Since the goods are destined for consumption, only the consumption statistics are updated in the product/material master record.

In the case of goods receipt to consumption, the account assignment object (such as a cost center, order, asset, etc.) is debited. You can post the goods receipt for purchase orders with single or multiple account assignments.

Note

You define the account assignment distribution and the accounting information, and the ordered quantity in the purchase order. You can make these settings for valuated and non-valuated goods receipt.

The Post Goods Receipt for Purchasing Documents app only displays the account assignments as further information. In the case of partial goods receipt, the app does not recalculate the distributed quantity.

If you maintain the Delivery Note while posting the goods receipt, you can use it as a reference instead of referring to the purchase order when creating the supplier invoice.

Goods receipt is not mandatory for consumable purchasing, you can disable it in the process control by deselecting it while creating the purchase order.

Create Supplier Invoice

As an Accounts Payable Accountant for Procurement, using this app, you can create supplier invoices for your purchase orders based on the received document from your supplier. You can also create credit memos, subsequent credits, and subsequent debits.

Create Supplier Invoice application.

You enter the Basic Data such as invoice date or reference document number from the received invoice. The Invoicing Party is filled in automatically once you enter the reference purchasing document.

You can choose Show More in the General Information section to edit, for example, the Assignment, Item Text, and Header Text fields. After posting, the system transfers these texts into the corresponding Financial Accounting document.

You can change the Exchange Rate that is displayed according to the configuration settings. You can change the exchange rate until you create an invoice item. If you specify a purchase order reference with fixed exchange rate and you create the invoice item, the exchange rate is created automatically for the invoice.

Create Supplier Invoice application.

In the Purchasing Document References, as a reference you use the purchase order number by specifying the reference document category. If there is a goods receipt for the purchase order and if the Delivery Note was maintained for the GR, you can also use the Delivery Note as a reference.

You can create the invoice for all relevant items of the referenced purchase order for which the invoice was received. The system will select the relevant items for the invoice that has arrived and the goods receipt was posted for the referenced purchase order. For the second item in this purchase order, there was no goods receipt posted, hence no supplier invoice can be created for it.

You can change the payment terms. Once the payment terms have been adopted by the system they are no longer changed automatically. If you change the payment terms or the supplier while creating a supplier invoice, you must check the payment terms and reset them manually if required.

Using the Unplanned Delivery Costs tab, you can add the delivery costs that were not planned or included during purchase order creation. It is possible to configure the unplanned delivery costs to exclude G/L account items.

If you select the Simulate or Post function, the system compares the quantity and amount data of each supplier invoice item with the data of the related purchase order item. The difference between the debits and credits (Balance) must not be outside the tolerance limits set. Using the Check function, you can make the system check the invoice before trying to post.

Simulate function allows you to display the account movements before posting the document. On the Simulation view, you can also switch the simulation currency, and post the supplier invoice.

You can Park the invoice document for someone to complete the process and post it later on.

You can display the Purchase Order History. In the document flow, you can see the purchase order document and the good receipts of the referenced purchase order item.

You can reduce the invoice. If you receive a supplier invoice with a deviation either in the amount, quantity, or both, you can document this difference in the detail data of the invoice item by choosing the Reduce Invoice function. For a reduced invoice, the app posts an invoice and a credit memo at the same time and creates a letter of complaint.

In the following tutorials you can learn how to create purchase orders for direct consumption, post goods receipt, invoice creation, and also create purchase orders for limit items and corresponding supplier invoices.

Perform Consumable Purchasing

Note

To execute this exercise, assign business roles BR_PURCHASER, BR_AP_ACCOUNTANT, and BR_WAREHOUSE_CLERK to your user. You can maintain roles for your user using the Default SpaceMaintain Business Users app.

You can add the tiles for the required apps for the exercises to your favorites on the launchpad using My HomeAppsAdd Apps. Alternatively, you can add them to theDefault Page using Default SpaceAdd Tile. When you open the app, for some apps, a link on the upper right corner of the screen is available so that you can add the corresponding tile to the desired page. For this, select the arrow icon to open the drop-down, choose ​Save as Tile​ , and select the ​Page​ to place the tile (E.g. ​, My Home to add to favorites).

Some steps of this exercise use the characters ### as a placeholder for the number in your user A010###. Whenever you see ### in the exercise step, replace it with your user number. You can check your user by displaying your user profile on the SAP Fiori launchpad. To do so, choose the Profile icon on the screen's upper right corner. The characters XXX is used as a place holder for Purchasing Group that you created in the first exercise. Whenever you see XXX in the exercise step, replace it with your purchasing group.

This exercise familiarizes you with the consumable purchasing process. This includes creating a purchase requisition with multiple account assignment, converting the purchase requisition into a purchase order, goods receipt of consumables, and invoice receipt by line item.

Steps

  1. Maintain your purchasing group in the Default Values (Materials Management) for your user to be used as a filter in the corresponding apps.

    1. Log on to the system to open the SAP Fiori launchpad.

    2. On the launchpad, right upper corner of the screen, choose ProfileSettingsDefault Values

    3. Scroll down to the section Materials Management.

    4. Enter XXX as Purchasing Group.

    5. Choose Save.

  2. As a master data specialist, create a new material using the Manage Product Master Data app. For your entries, use the data in the table provided.

      If you have not added the tile to your favorites or the default space, search for it using the search function on the launchpad.

    3. Using the search function, search for the product NS0002. Enter NS0002 in the product field and choose Go.

    5. In the Select Organizational Data to Copy prompt, select the Plants, keep the plant 1010 selected, and clear the selection for the plant 1710. Choose Back. Select Distribution Chains, keep the plant 1010 selected, and clear the selection for the plant 1710. Choose Back, and choose OK.

    6. Enter MCP_### (replace ### with your user number) as the Product Number, keep Non-Stock Material (NLAG) selected as the Product Type, and enter Non-Stock Material MCP_### as the Description.

    7. Choose OK.

      Result

      The system displays the draft material/product.
    8. Choose the Plants tab and open plant1010.

    9. Choose the Purchasing tab and maintain the purchasing group using your purchasing group XXX.

    10. Choose Apply.

    11. Choose the Valuation Area tab and open valuation area 1010.

    12. Choose the Valuation tab. Enter 35 as the Inventory Price. Verify that the Price control is set to Standard Price (S).

    13. Choose Apply.

    14. Choose Create.

    15. Ignore the warning Potential duplicate(s) exists, and choose Create again.

      Result

      The system displays the newly created product MCP_###.
    16. Choose SAP to navigate back to the SAP Fiori launchpad.

  3. Using the Manage Purchase Requisitions - Professional app, create a purchase requisition for the materials in the following tables.

    If you have not added the tile to your favorites or the default space, search for it using the search function on the launchpad.

    22. Select the Quantity and Date tab and enter 5 PC as Quantity.

    23. Select Today + 1 week as Delivery Date.

    24. Select the Valuation tab and enter 15 EUR as Valuation Price and Piece (PC) as Unit of Measure.

    25. On the Account Assignment tab, select the item and enter 10101101 as Cost Center, and 50 as Distribution(%).

    26. Choose Apply.

  4. Now in the role of a purchaser, convert the Purchase Requisition that you have created into a Purchase Order using the Process Purchase Requisitions app. Note down the purchase order number ______________________.

    2. In the header, the system sets your Purchasing GroupXXX. If not, enter your purchasing group in the corresponding search field.

    3. Choose Go.

      To narrow down the search results more you can enter your purchase requisition number in the search field and then choose Go.

    4. Assign the supplier 10300001 as the source of supply for both items. To make the assignment, choose Assign Source of Supply under Assigned Supplier and select Supplier (10300001) for the first item and the corresponding purchasing info record for the second item. You may need to choose Go in between to refresh the page to show the items again.

      If the Assigned Supplier isn't visible for the items in the table, choose View Settings on the right upper corner of the table and select the checkbox for the Assigned Supplier, and choose OK.

    5. To refresh the page, choose Go on the search header without removing your purchasing group and/or requisition number.

    6. Convert purchase requisition to purchase order by selecting both items and choosing Create Purchase Order above the Purchase Requisitions table.

    7. Ignore the warning about the delivery date and close the dialog box.

    8. A new window opens. Keep Standard PO as the Purchase Order Type. Maintain the Net Order Price35 Euro for the first item, and choose Order to create the purchase order.

    9. A dialog box displays. Note down your purchase order number_____________________.

    10. Choose SAP to go back to the SAP Fiori launchpad.

  5. The ordered goods arrived. In the role of a Warehouse Clerk, post the goods receipt for the purchase order. Use DELIVERY CP ### as the Delivery Note.

    1. Start the Post Goods Receipt for Purchasing Document app.

      On the launchpad, you can open the app by navigating Inventory ProcessingGoods Receipt ProcessingPost Goods Receipt for Purchasing Document.

    2. Enter the purchase order number you noted down earlier and press ENTER.

      Confirm the information if the system prompts any.

    3. Choose Individual slip as Printing.

    4. Enter DELIVERY CP ###, where ### is your user number, as the Delivery Note.

    5. Select both items.

    6. Choose Post.

    7. Choose OK on the success message.

    8. Choose SAP to go back to the SAP Fiori launchpad.

  6. You received the invoice from the supplier. Create the Supplier Invoice with reference to the purchase order. Use the data in the following table to maintain the basic data.

      There should be no differences in the balance. You can ignore other warnings if any display. Choose Close on the System Messages prompt.

    7. Choose Simulate.

    8. Choose Post.

    9. Choose No for the creation of a new invoice message. The system returns you to the SAP Fiori launchpad.

Purchasing for Limit Items

    13. Select the line under Purchase Order Item Account Assignments to display the details. Enter 10101101 as the Cost Center. The G/L Account Office Supplies (65100000) is set automatically. If not enter 65100000 as G/L Account.

    14. Choose Apply. The system takes you back to the Purchase Order Limit Item page.

    15. Choose Apply again and you are back in the Purchase Order page.

    16. Choose Order in the lower-right corner of the screen.

      Ignore the system warning for delivery date.

    17. The system displays the purchase order. Note down the purchase order number displayed in the upper-left corner of the screen.

    18. Choose General Information to verify the approval status. You see Approved automatically as the Approval Status. Refresh the page if needed to see the status change.

    19. Choose SAP to navigate back to the SAP Fiori launchpad.

  2. Create the Supplier Invoices with reference to the purchase order. Use the data in the table provided to maintain the Basic Data.

    12. Correct the Tax Code and enterV0if required.

    13. Choose Check.

      There should be no differences in the amount value.

    14. Choose Simulate.

    15. Close the dialog box if the system displays a warning.

    16. Choose Post.

    17. Choose Yes to the creation of a new invoice message in the system prompt.

    18. Repeat these steps to create the second invoice. You can post further invoices on the same purchase order until you reach the limit without posting the goods receipt.

    19. After posting the second invoice system displays the success message "Doc­u­ments have been cre­ated.". Choose the link displayed with the Supplier Invoice number.

    20. System displays the new Supplier Invoice window.

    21. Choose the Invoice Item line under the Purchasing Document References section.

    22. Choose Purchase Order HistoryPurchase Order History - Document Flow. You can see the invoices that you have created for the item.

    23. Choose No to the creation of a new invoice message on the other tab of the browser. The system takes you back to the SAP Fiori launchpad.

  3. For the same purpose, display the business process flow of the limit item in your purchase order to check the created documents using Manage Purchase Orders app.

    1. Choose Purchase Order ProcessingManage Purchase Orders to open the app.

    2. In the search field, enter your purchase order number and choose Go.

    3. To display the details, select the item for your purchase order in the purchase orders list.

    4. Choose Limit Items and select the item.

    5. Choose Business Process Flow.

    6. The system displays the business process flow for your purchase order. You can see the invoices that you have created under the process step Invoicing.

    7. Choose SAP to navigate back to the SAP Fiori launchpad.
