Configuring Request Groups

Objective

After completing this lesson, you will be able to demonstrate configuring Request Groups in Concur Request based on CVI's business requirements.

Groups Configuration

In the Exploring Concur Request Business Requirements Overview unit, you learned that CVI has the following requirement:

CVI has decided to implement the United States and Czech Republic locations first.

In our scenario, the expense configuration team has already created the Group for U.S. users. This means you'll need to create the Group for the Czech Republic, and then make sure the right Policies are assigned to each Group.

Request Group Configuration Process

Working with Request Groups

Steps

  1. Access the Expense Configuration Tools

    Select Expense from the Home tab.

    Select Expense from the Administration menu.

  2. Navigate to List Management

    Select List Management from the Expense Admin tool page.

    Select List Management from the Expense Admin tools.

  3. Open the Employee Groups List

    Select the Employee Groups - Do Not Change (Contact Client Support) List.

    Double-click Employee Groups.

  4. Create a New List Item

    Select the New button to create a new list item.

    Select the New button.

  5. Enter the List Item Details

    Enter the Item Name and Item Code. Select Save and then Done.
    1. Enter Czech Republic and CZ in the Item Name and Item Code fields, respectively.
    2. Select the Save button.
    3. Select the Done button.
  6. Navigate to Group Configurations

    Select Group Configurations from Expense Admin page.

    Select Group Configurations from the Expense Admin tools.

  7. Create a New Expense Group

    Select the New button to create a group configuration.

    Select the New button.

  8. Select the List Item

    Select the item from the selected group and then select Done.
    1. Select Czech Republic from the *Global folder.
    2. Select the Done button.
  9. Add Group Details

    Enter the Group Name and Attendee List Form details. Then, scroll down.
    1. Enter Czech Republic in the Group Name field.
    2. Select Default Attendee Detail View from the Attendee List Form dropdown.
    3. Scroll down.
  10. Complete Group Details

    Select the appropriate option from the Cash Advance Form dropdown. Then, select Save.
    1. Select Default Request Cash Advance Form from the Cash Advance Form dropdown.
    2. Select the Save button.
  11. Navigate to the Employee Groups Tab

    Select the Employee tab on the Group Configurations page.

    Select the Employee tab.

  12. Create a New Employee Group

    Select the New button in the Employee tab of the Group Configurations page.

    Select the New button.

  13. Select the List Item

    Select the item from the group to configure and then select Done.
    1. Select Czech Republic from the *Global folder.
    2. Select the Done button.
  14. Add Group Details

    Enter the Group Name and Employee Form related details. Then, select Save.
    1. Enter Czech Republic in the Group Name field.
    2. Select *CVI Employee Information from the Employee Form dropdown.
    3. Scroll down.
  15. Navigate to the Request Administration Tools

    Select the Request Tab from the Administration page.

    Select the Request tab.

  16. Open the Request Groups Configuration Tools

    Select the Request Groups option.

    Select Request Groups.

  17. Modify the Policies for a Group

    Select Modify to modify a Request Policy for a group.

    Select Modify for the Czech Republic group.

  18. Define the Policy Settings for Groups

    Select the required Activate or Default policy options and then select Save.
    1. Activate the *CVI Authorization Request Policy and *CVI Travel Request Policy for the Czech Republic group.
    2. Make the *CVI Travel Request Policy the default.
    3. Select the Save button.
    4. Repeat steps 17 and 18 for the United States group.

Result

The Request Groups for CVI have been created and configured.
