Introducing Integration

Objective

After completing this lesson, you will be able to explain the integration of Concur Request and Concur Expense.

Introduction

In this unit, you will use your knowledge of Concur Expense and Concur Request configuration to learn where and how to integrate those services. You'll see that specific options in Policies, Site Settings, Forms and Fields, Audit Rules, and Workflows can all be used to control how the data on request and expenses can be used together.

After completing this unit, you will be able to:

  • Explain Integration.
  • Demonstrate how to configure Policies to integrate Concur Request and Concur Expense.
  • Demonstrate how to configure Site Settings to integrate Concur Request and Concur Expense.
  • Demonstrate how to configure Forms and Fields to integrate Concur Request and Concur Expense.
  • Demonstrate how to configure Audit Rules to integrate Concur Request and Concur Expense.
  • Demonstrate how to configure Workflows to integrate Concur Request and Concur Expense.

Integration Overview

What is Integration?

Integration is the ability for users to link requests and expense reports. This linkage allows the system to compare requested amounts to actual amounts. Managers can be warned if the user went over the estimate or workflow steps can be skipped if the user stayed under the estimate. These links also allow for reports to be created to provide this data to senior management.

Key Points
  • You can control how many expense reports a request can be associated with.
  • You can control if an expense report should be manually or automatically created for a request and if automatic, when the creation occurs.
  • You can decide which expenses from the request will automatically appear on the expense report.
  • You can define the default Expense Policy for each Request Policy.
  • You can set how allocations on the request will carry forward to an expense report.
  • You can create Audit Rules to compare totals on the request to those on the expense report.
  • You can create Workflow Rules to skip steps if the actual amounts are less than the requested amounts.

This unit does not cover integration with Concur Travel. Integrating Concur Request with Concur Travel is challenging and should only be attempted with assistance from SAP Concur or one of their certified partners.

Now that you know a little about the integration of the services, let's dig into the details, starting with Policies.
