Exploring Types of Reports

Report Main Concepts

SAP SuccessFactors has a number of standard reports that can be enabled and configured:

  • Rollup reports - Provide a summary of compensation data and budget information.
  • Aggregate exports - Allow the administrator to export all of the compensation data within the system, most commonly to import into some other system or the HRIS.
  • Summary tab - Enables the customer to get total view of cash and equity recommendation at a glance. Enabled in the back-end.
  • YouCalc Widgets - Provide a graphical representation of certain key data in the Metrics section of a compensation worksheet. Enabled in the back-end.
  • Report Center reports - Allow users to create their own report in a user-friendly report builder tool.

This feature allows the administrator to export all of the compensation data within the system, most often to import into some other system or the HRIS. The data is exported in the SAP SuccessFactors file format, .v4e or the Microsoft Excel format, .csv format. Since the report runs on the reporting server, it can be accessed from the Scheduled Reports page once completed.

From the Compensation Home screen, select Aggregate Report. You many also access the report page from Admin CenterCompensation.

On the Compensation Aggregate Export page select the plan to export and choose whether to include user info and/or user goals. Selecting the Export Aggregate report opens a window to name the file. Name the file and select okay.

Advanced Options

Several configuration options that are available to the admin include:

  • Include All User Info: Contains all the users’ data in user import file as well as data from the compensation form.
  • Include User Goals: Applies only when the MBO capability is enabled in the Compensation Planning module.
  • More Options: Provides three date fields to control which data is exported: one, two, or three of these fields may be used.

Caution

If the option Include User Info is selected, all of the data from the employee import file as well as data from the compensation plan will be exported.

Unless dates are specified in the More Options section, data from all compensation forms, including those not yet completed, will be included in the export.

Managing a .v4e File Format

This file format, .v4e, is an SAP SuccessFactors file format created by our engineers to handle files of over 100,000 records. Microsoft Excel has a difficult time managing very large files because the system must hold the entire results in memory to do the formatting. To cut down on processing time and file size, the SAP SuccessFactors application saves the file or report as a .v4e file. The .v4e format uses a caret (^) as the delimiter. The .v4e files are similar to .csv flat files that use this different delimiter. In order to open and view .v4e files in Microsoft Excel, you need to first convert them to .xls file format.

Compensation Rollup Reports

Compensation Rollup provides a summary view of compensation data and budget information. It allows the admin to see exactly what the compensation planner sees through the drill-down capability and is most commonly used to check budget adherence and specific forms. It is an alternative to Executive Review. This report can also be exported in the Microsoft Excel format.

In the Planner box, search for the planner hierarchy that you wish to view. A list of plans displays. Select a link to see the rollup report. The report can be downloaded by selecting the Export as MS Excel button in the lower right-hand corner.

Summary

  • Comprehensive Reporting Options SAP SuccessFactors offers various standard reports including Rollup reports for compensation data summaries, Aggregate exports for detailed data transfer, and Summary tabs for quick overviews, all enabled in the back-end.

  • Report Customization and Export Formats: Administrators can create reports using Report Center's user-friendly builder tool. Reports can be exported in SAP SuccessFactors' .v4e format or Microsoft's .csv format for integration with other systems.

  • Advanced Export Configuration: Configuration options allow inclusion of user info and goals, with date fields to fine-tune data export. Care is needed as using 'Include User Info' exports comprehensive employee data.

  • Rollup and YouCalc Widgets:Rollup reports provide a summary and budget adherence check with drill-down capabilities, while YouCalc Widgets offer graphical data representations on compensation worksheets.
