Enabling Candidate Activity Tracking for Recruiters

Activity Tracking and Dashboard

Recruiters are interested in the end-to-end process for candidates. For example, how long do candidates spend in each part of the process?

Activity Tracking Overview

Activity Tracking gives the SAP SuccessFactors Recruiting user the ability to "follow" up to 100 existing external candidates. By following the candidate, the user’s feed displays specific actions that the followed candidates have completed.

This is the list of events that can appear on the feed:

  • Candidate Logs In to the Career Site
  • Candidate Completes a Data Capture Form
  • Candidate Saved a Draft of a Job Application
  • Candidate Abandons Job Application
  • Candidate Applies to a Job

The most recent event displays at the top of the feed. Users can navigate to the candidate’s profile and take actions such as add the candidate to a talent pool or email campaign.

Recruiting Dashboard Navigation

Recruiting users can be granted permission for the Recruiting Dashboard, which includes a Candidate Activity Feed portlet. Recruiters can use the Recruiting Dashboard as their home page, if desired. Recruiters can navigate to the candidate’s profile by clicking their name. Navigate to the Candidate Workbench for the job requisition by clicking the job title.

Data Privacy and Permissions

To appear on the Activity Feed, candidates must accept the Data Privacy Consent Statement. This does not notify candidates that a Recruiting user has decided to follow them; the candidates’ actions that appear in the feed are simply aggregated in one place.

Recruiting users must be given permission to access and be able to use the Follow functionality. The Follow feature mimics the existing permissions of the user. For instance, a recruiter may follow a candidate who applies to a requisition that they do not have permission to view. From the Activity Feed, the recruiter will see that the candidate has applied to the job, but cannot view additional details on the requisition. Also, Recruiting User A cannot see who Recruiting User B follows.

Permissions for Activity Tracking and Dashboard

To grant permission to an Admin user to view activity, export activity, or follow data from Manage Data: navigate toAdmin CenterManage Permission Roles, select the Administrators role, select PermissionUser Permissions, select MDF Recruiting Permissions on the left, select View, Edit, and Import/Export for Candidate Follow and CandidateActivity on the right.

To grant permissions to a Recruiting user to see the Recruiting Dashboard and the Activity portlet on the Recruiting Dashboard, or to follow and unfollow candidates: navigate to Admin CenterManage Permission Roles, select the Staffing role, select PermissionUser Permissions, select Recruiting Permissions on the left, select Follow/Unfollow External Candidate and View Candidate Activity Feed on Candidate Profile on the right.

Assign Permissions for Activity Tracking and Dashboard. The Follow/Unfollow External candidate and View Candidate Activity Feed on Candidate Profile checkboxes are selected.

The Recruiting Dashboard is visible if at least one Recruiting Dashboard portlet is visible. So granting permission for the Activity portlet makes the Recruiting Dashboard visible.

Follow Candidates

To view updates of candidate activities, recruiters can follow specified external candidates through the candidate search, the candidate profile, and the Candidate Workbench pages.

To enable Follow Candidate from a Candidate Search, select the candidate checkbox and select Follow Candidate.
On the Candidate Profile, choose Follow Candidate.
On the Candidate Workbench, select the candidate from the list, then choose Action – Follow Candidate.

Activity Feed from the Candidate Profile

The system displays a candidate-specific Activity Tracking feed on the recruiter view of each candidate profile, whether or not a Recruiting user follows that candidate.

On the Candidate Profile, choose View Activity Feed to see the candidate's activity feed. The information provided mentions when the candidate has logged into the career site, what jobs they have applied to, and how long ago, for example.

Stop or Restart Following

To stop or restart viewing candidate activity, unfollow, or follow selected candidates through the Activity Tracking Dialog, access the dialog by selecting the gear icon on the Candidate Activity Feed.

Go to the Following List tab.

Activity Feed Email Notifications

The Activity Tracking Dialog also contains an Email Notifications tab, so that the Recruiting user can select whether, and how frequently, they would like to receive email notifications about their activity feed.

On the Dashboard for Candidate Activity Feed, choose the Settings icon. On the Activity Feed Settings page, on the Email Notifications tab, select the email notifications frequency from the drop-down list.

Follow a Candidate and View Their Activity

In this video, you will see how to follow a candidate and view their activity.

Business Example

Best Run recruiters would like to use Activity Tracking. In this exercise, you enable permissions for admins and the Staffing group, follow an existing candidate, and view that candidate’s activities.

Task 1: Set User Permissions

Steps

  1. Grant permission for admin users to view activity, export activity, or follow data from Manage Data by navigating to Admin CenterManage Permission Roles.

  2. Select the Administrators role and choose the Permission button.

  3. Under User Permissions, select MDF Recruiting Permissions on the left, and select View, Edit, and Import/Export for Candidate Follow and CandidateActivity on the right.

  4. Choose Done and Save Changes.

  5. Grant permissions for the Recruiting users to see the Recruiting Dashboard and the Activity portlet on the Recruiting Dashboard, or to follow and unfollow candidates by navigating to Admin CenterManage Permission Roles.

  6. Select the Staffing role and choose the Permission button.

  7. Under User Permissions, select Recruiting Permissions on the left, and select Follow/Unfollow External Candidate and View Candidate Activity Feed on Candidate Profile on the right.

  8. Also under User Permissions, select MDF Recruiting Permissions on the left, and select View, Edit, and Import/Export for Candidate Follow and CandidateActivity on the right.

  9. Choose Done and Save Changes.

  10. Log out and log back in to set the new permissions. 

Task 2: Follow a Candidate

Steps

  1. Proxy as Paula Price and navigate to RecruitingJob Requisitions.

  2. Open the Candidate Workbench for an active requisition, for example, by choosing a number under the Candidate column. Make note of the job title.

  3. Choose View all candidates.

  4. Select an external candidate whose login credentials you know. To view their email address, choose the candidate card.

  5. From the Action dropdown list, select Follow Candidate.

  6. Navigate to RecruitingDashboard.

  7. Choose the Settings button (gear icon) and view the name of the candidate you are following.

  8. Choose Email Notifications from the top of the page.

  9. Change the Email Notifications Frequency to Daily.

  10. Choose Done and Close.

Task 3: View Candidate Activities

Steps

  1. From the Best run career site, navigate to the external job postings and view a different job.

  2. Apply for the job as the candidate you are following.

  3. In SAP SuccessFactors, proxy as Paula Price and navigate to RecruitingDashboard.

  4. Notice the two new activities: the candidate logged into the career site and applied for the job.

  5. Choose the candidate’s name to open their candidate profile.
