SAP BusinessObjects BI Platform 2025 creates instances from objects; for example, a report instance is created when you schedule a report object to run and finishes successfully. A report instance is a report object that includes specific report data; the report data can be retrieved from one or more data sources. Each instance includes data that is current at the time the report is processed.
Similarly, SAP BusinessObjects BI Platform 2025 platform creates a program instance when the Adaptive Job Server runs a scheduled program object. Unlike report instances, which can be viewed in their completed format, program instances exist as records in the object history. SAP BusinessObjects BI Platform 2025 stores the program's standard output and standard error in a text output file.
- Instances Management:
You can view and manage all instances created on SAP BusinessObjects BI Platform 2025 by the following methods:
Opening the Object History (CMC or BI Launch Pad)
Using the Instance Manager (CMC only)
The following link displays the History dialog box for individual objects in CMC:

The following figure displays the History dialog box for individual objects in BI Launch Pad:

By default, copy of instances are saved in the document's history by default and stored in SAP BusinessObjects BI Platform 2025.
- Keep instance in history and Limits options:
- You would like to automatically delete the instance from the Output FRS to minimize the number of instances on the server.
- As a user: You can uncheck the Keep an instance in the history option in the destination property in a new scheduled job in BI Launch Pad (checked by default). The benefit is to delegate this clean up to any user, but the drawback is that users have to manage manually this history clean up.
- As an administrator: You can set up limits for instances on documents or folders in CMC. Document's history will be automatically cleaned up based on these limits. The benefit is to minimize automatically the number of instances and used space on the server (automatic clean up), but the drawback is to ask administrators to set it up in CMC.
