Scheduling BI Content using BI Launch Pad

Objective

After completing this lesson, you will be able to automate distribution of reports using scheduling with BI Launch Pad.

Recurrence Patterns

SAP BusinessObjects BI Platform 2025 gives the same scheduling and instance management options in both the CMC and BI Launch Pad. When you schedule an object, you can choose from the recurrence patterns summarized with the following links:

The recurrence pattern determines how often a publication runs. You select a recurrence pattern for a publication in the Schedule dialog box. As a result, the publication runs at the scheduled times.

BI Launch Pad has similar CMC scheduling options but with a different interface and navigation options.

BI Launch Pad Scheduling Options

Definition:

With BI Launch Pad, you can configure two different tabs to specify your scheduling settings for a Web Intelligence document or a Crystal Reports report.

General tab:

In this tab, some general information can be set up for scheduling an object:

  • Instance Title
  • Destinations
  • Recurrence
  • Events
  • Scheduling Server Group
  • Notification

Several recurrence options are available in the General tab of BI Launch Pad:

  • Now:

    Using this option means that the object will be scheduled to be run once and will be started just after having clicked on the Schedule button of the page.

  • Once:

    Using this option means that the object will be scheduled to be run once at a specified date and time.

  • Recurring:

    Using this option means that the object will be scheduled on a periodic basis. Periodic basis proposed in BI Launch Pad are the following:

    • Hourly
    • Daily
    • Weekly
    • Business Hours
    • Monthly
    • Day of the Month
  • Calendar:

    Using this option means that the object will be scheduled on a CMC calendar created by administrators. There is no calendar created in the CMC by default. For instance, you can create a calendar in order to schedule and run an object on last Fridays, every month.

Several recurrence options are available in the Report Features tab of BI Launch Pad:

  • Formats:

    You can save an instance in different formats after SAP BusinessObjects BI Platform 2025 generates it. When you schedule a document you can save an instance in the following formats:

    • Web Intelligence (.WID)
    • Web Intelligence Extract (.WIDX)
    • Microsoft Excel - Data (.XLSX)
    • Microsoft Excel - Reports (.XLSX)
    • Adobe Acrobat (.PDF)
    • Comma Separated Values (CSV) - Data (.CSV)
    • Comma Separated Values (CSV) Archive - Reports (.ZIP)
    • Plain text (.TXT)
    • HTML archive (.ZIP)
  • Prompts:

    A prompt is a filter in the form of a question displayed by Web Intelligence that you answer by selecting specific values. When a document is scheduled, prompts can have static values and are specified when creating the scheduling job.

    Note

    If you cannot see anything in the Prompts area, that is because the document you are scheduling doesn't contain prompts.
  • Delivery Rules:

    Setting delivery rules for scheduled documents prevent the sending of erroneous or empty documents. Define a status for the documents that fail to meet the rules so you can identify them and reschedule them, change the connection details, or take other, appropriate action. You define conditions that the document must meet for it to be sent to the following destinations:

    • BI Inbox

    • Email

    • FTP Server

    • File System

    • SFTP server

    When the document fails to meet those conditions, it is not sent. You can choose one or both of the following conditions for a document:

    • The scheduled content has been successfully refreshed and is not partial: The document is sent only when all the data providers for the document have been successfully refreshed. A document that contains data from incomplete results isn't sent.

    • The scheduled content contains data: The document is sent only when at least one report in the document contains data. An empty document isn't sent.

    When you select a condition, you can also define the status that displays in the history for a document that fails to meet the condition, as follows:

    • Warning (by default)

    • Failed

    If a report in your document has multiple queries and one or multiple queries return partials results, when you select the The scheduled content has been successfully refreshed and is not partial rule, the report is sent in case of Warning status, but is not sent in case of Failed status.

    When you select both conditions and the status of one condition is Warning while the status of the other condition is Failed, the history shows Failed.

Destinations for Scheduled Objects

Definition:
You can schedule a document instance to be sent to a specific destination.
  • In the schedule page, you can see different destinations such as BI Inbox, FTP and SFTP Server, File System, and so on.
  • You can also choose multiple destinations as per your needs at one go and schedule the report.
  • Even an administrator can perform this operation from Central Management Console. This lets you optimize the number of schedules.

Destinations handled in Adaptive Job Server:
The destinations available depend on the destinations your system administrator has enabled and on your access rights.
  • If your administrator specified a destination for an object, that destination option is listed in the Schedule dialog box.
  • You may be able to set options for the destination or to select a different destination. For most destinations, you must provide additional information.

Note

You can change options for the default Adaptive Job Server in the Servers area of the Central Management Console (CMC).
Destinations can be enabled or not by administrators in CMC.

With SAP BusinessObjects BI Platform 2025, you can configure an object or instance for output to a destination other than the default output File Repository Server (FRS). When the system runs an object, it stores the output instance on the output FRS by default. The option to choose an extra destination gives you the flexibility to deliver instances across your system or to destinations outside SAP BusinessObjects BI Platform 2025.

When you specify a destination other than the default destination, SAP BusinessObjects BI Platform 2025 generates a distinct name for the output. To generate a file name, you can use a combination of ID, name, or date information.

Note

You can change the destination setting for an object or instance either in the CMC or in the BI Launch Pad. When you specify the destination settings through the CMC, these settings are also available in the default scheduling settings for the BI Launch Pad.

Supported destinations:

In BI Launch Pad, you can use one or several of the following destinations for scheduling an object:

  • Default Enterprise Location
  • BI Inbox
  • Email
  • FTP Server
  • File System
  • SFTP Server
  • Google Drive
  • Microsoft OneDrive

Default Enterprise Location:

The scheduled job will run on the Output File Repository Server (FRS). You do not need to set additional options for this destination. Historical instances are saved to the default Enterprise server but not to any other destination.

BI Inbox:

The scheduled job will run on the Output File Repository Server (FRS) and will send the instance only to SAP BusinessObjects BI Platform 2025 recipients in their internal inbox. A copy of this instance is saved in the document's history by default. If you want SAP BusinessObjects BI Platform 2025 to automatically delete the instance from the Output FRS to minimize the number of instances on the server, you can uncheck the Keep an instance in the history option.

Following inbox information have to be given for this destination:

  • Selected Recipients: SAP BusinessObjects BI Platform 2025 users or user groups list to send the instance to
  • Target Name: File name for the instance
  • Send As: Send a shortcut to the instance to recipients, or send a copy of the instance to recipients

Email:

The scheduled job will run on the Output File Repository Server (FRS) and will send the instance to email address of external recipients. This option is clearly useful for external recipients who want to get report's data by mail and who do not have any user access to SAP BusinessObjects BI Platform 2025. A copy of this instance is saved in the document's history by default. If you want SAP BusinessObjects BI Platform 2025 to automatically delete the instance from the Output FRS to minimize the number of instances on the server, you can uncheck the Keep an instance in the history option.

Following email information have to be given for this destination:

  • From: Return email address
  • To: Email address that you want to send the instance to
  • Cc: Email address that you want to send a copy of the email and instance to
  • Bcc: Email address of each undisclosed recipient
  • Subject: Subject of the email
  • Message: Body of the email; you can now customize your message content using the rich text editor with a custom toolbar having various formatting options.

    Note

    When you insert an image in the email, the image gets downloaded automatically if both sender and receiver have access to the image link used.
  • Add Attachment: Add an attachment to the email message containing the instance
  • Target Name: File name for the instance

FTP Server or SFTP Server:

The scheduled job will run on the Output File Repository Server (FRS) and will send the instance to an external FTP server. This option is clearly useful for external recipients who want to get report's data from an external host computer and who do not have any user access to SAP BusinessObjects BI Platform 2025. A copy of this instance is saved in the document's history by default. If you want SAP BusinessObjects BI Platform 2025 to automatically delete the instance from the Output FRS to minimize the number of instances on the server, you can uncheck the Keep an instance in the history option.

Following FTP server information have to be given for this destination:

  • Host: IP address of the FTP server host computer where you want to send the instance.
  • Port: Port of the FTP server where you want to send the instance. The default port value is 21.
  • User Name: User name with access rights to upload the object to the FTP server.
  • Password: User name password required to access the FTP server.
  • Account: Account required to access the FTP server.

    Note

    The account is part of the standard FTP protocol but is rarely implemented. Enter an account only if your FTP server requires it.
  • Directory: Path to the FTP directory where you want to send the instance.
  • Target Name: File name for the instance.
  • FingerPrint: SFTP public fingerprint for the FTP server. This option is only available when SFTP Server option is selected.

File System:

The scheduled job will run on the Output File Repository Server (FRS) and will send the instance to a file system. This option is clearly useful for external recipients who want to get report's data from an external Windows host directory and who do not have any user access to SAP BusinessObjects BI Platform 2025. A copy of this instance is saved in the document's history by default. If you want SAP BusinessObjects BI Platform 2025 to automatically delete the instance from the Output FRS to minimize the number of instances on the server, you can uncheck the Keep an instance in the history option.

Following file system information have to be given for this destination:

  • User Name: User name with access rights to save files to the destination directory.

    Note

    You can specify a user name and password only for servers on Windows.
  • Password: User password that is required to access the destination directory.
  • Directory: Path to a local hard disk location or mapped location or a UNC path to the directory where you want to send the instance.
  • Target Name: File name for the instance.

Google Drive:

The scheduled job will run on the Output File Repository Server (FRS) and will send the instance to a Google drive (on-cloud drive). This option is clearly useful for external recipients who want to get report's data from a cloud drive and who do not have any user access to SAP BusinessObjects BI Platform 2025. A copy of this instance is saved in the document's history by default. If you want SAP BusinessObjects BI Platform 2025 to automatically delete the instance from the Output FRS to minimize the number of instances on the server, you can uncheck the Keep an instance in the history option.

Following google drive information have to be given for this destination:

  • Cloud Drive Folder Details: Path to the Google drive directory where you want to send the instance.

    Note

    First, administrators have to configure the Authorization Server Configuration application in CMC to be able to use this destination option.

  • Target Name: File name for the instance.

Microsoft OneDrive:

The scheduled job will run on the Output File Repository Server (FRS) and will send the instance to Microsoft OneDrive (on-cloud drive). This option is clearly useful for external recipients who want to get report's data from a cloud drive and who do not have any user access to SAP BusinessObjects BI Platform 2025. A copy of this instance is saved in the document's history by default. If you want SAP BusinessObjects BI Platform 2025 to automatically delete the instance from the Output FRS to minimize the number of instances on the server, you can uncheck the Keep an instance in the history option.

Formats for Scheduled Objects

Formats for scheduling Web Intelligence documents:

In BI Launch Pad, you can send or schedule objects to different formats for each type of instance. So you can select the format that the document or report instance will be saved in when it's generated. The document format is saved to the destination.

The following formats are available for scheduled Web Intelligence objects:

Schedule a Report Using the BI Launch Pad

In this exercise, you will schedule a report using the BI Launch Pad in SAP BusinessObjects BI Platform 2025.

Summary

  • SAP BusinessObjects BI Platform 2025 offers the same scheduling and instance management options in both the CMC (Central Management Console) and BI Launch Pad, with similar recurrence patterns and options.
  • SAP BusinessObjects BI Platform 2025 allows configuring an object or instance for output to a destination other than the default output File Repository Server (FRS), such as email or printer.
