Scheduling BI Content using the Central Management Console (CMC)

Objective

After completing this lesson, you will be able to automate distribution of reports using scheduling with the Central Management Console (CMC).

Default Settings in the CMC

Definition:

SAP BusinessObjects BI Platform 2025 provides you the ability to set default settings at the object level with the CMC interface.

  • When scheduling this document, scheduling properties will display default settings in BI Launch Pad.
  • Default scheduling settings on a document can be set either in BI Launch Pad or in CMC.

Note

All default scheduling settings can be changed at any time in BI Launch Pad. If so, scheduling settings can override default scheduling settings which have been set in CMC.

When an administrator works at the object level in the CMC, he can set up some new default settings to be used especially for scheduling a specified object. As an administrator, any default setting can be changed at the object level in the CMC.

  • Recurrence:

    Periodic setting for running job

  • Schedule For:

    Schedule for specified users and user groups

  • Notification:

    You can send audit or email notification, combine multiple notification methods, and select different notification options for successful and failed instances.

  • Formats:

    You can send or schedule objects to different formats for each type of instance.

  • Caching:

    When SAP BusinessObjects BI Platform 2025 runs a scheduled Web Intelligence document, it stores the generated instance on the Output File Repository Server (FRS). When you select a cache format, the platform caches the instance on the appropriate report server. If you do not select a cache format, the system cannot cache the instance.

  • Events:

    Event-based scheduling provides you with additional control over scheduling objects. You can set up events so that objects are processed only after a specified event occurs.

  • Scheduling Server Group:

    You can choose the server or server group on which a scheduled object will run, which gives you more control over load balancing.

  • Web Intelligence Process Settings:

    You can choose the server or server group for viewing a web intelligence document, which gives you more control over load balancing.

  • Report Universes:

    In the CMC, you can view which universes are used by a Web Intelligence document.

  • Destinations:

    To send instances either to internal destination (Default Enterprise Location, BI Inbox) or external destination (Email, FTP Server, File System, SFTP Server).

Scheduling an Object

The CMC interface provides the same options for scheduling as with BI Launch Pad, but as an administrator you can have access to specific settings from the CMC.

  • When an administrator sets up a new object schedule in the CMC, you can set some default settings to be used when scheduling a specific object.
  • As an administrator, any default value can be changed when setting up a new schedule of this object.
  • For instance, Recurrence, Schedule For, Notification, Prompts, Formats, Events can be changed.

Among the settings for scheduling in the CMC, you have Schedule For which is specific to CMC. The "Schedule For" default setting is specific to the CMC and is not available in BI Launch Pad.

Schedule For:
There are two different options available in CMC for the "Schedule For" default setting:
  • Schedule only for myself (by default):

    By default, all objects are scheduled and run by the user account with who you are logged in. For instance, if you are connected with the Administrator account when you set up a new schedule in the CMC, this object will be scheduled and run by the Administrator account.

  • Schedule for specified users and groups:

    If you want to schedule a specific object to be run by another user account, you can use the "Schedule For" default setting to select one or several user accounts. This setting will be used to run the job and generate the instance. When an object is scheduled for a user group, you will get as many instances in the object history as user group members.

Note

You can even choose one or several user groups if you want for this setting. The specified user(s) or group(s) only have to be granted to successfully complete this schedule object (folder, content, application and system security).

Schedule For setting is available only in CMC.

The benefits of scheduling for others include the following:

  • You can schedule for someone who isn't available to schedule the object themselves.
  • Each user would be the owner of their instance of the report, which is useful in security planning.
  • Any row or column level security (for example, on the universe or at the data source) would be enforced as though that user scheduled the job for themselves.
