Creating Lead Capture Forms

Objective

After completing this lesson, you will be able to configure lead capture forms within SmartRecruiters Communities to automate prospect profile creation.

Lead Capture Forms for Communities

Lead capture forms in SmartRecruiters offer a streamlined way to gather information from potential candidates and build your talent community. These forms are easily configurable and can be used as standalone forms or embedded on external webpages, such as your company's career site or university recruiting pages. When a prospect submits their information through a lead capture form, their profile is automatically created and added to the specified community with an Interested status.

Sourcers can create and embed a lead capture form on any external web page and connect it to a community. Prospects can then opt-in to the particular community by filling out the Lead Capture Form.

Accessing Existing Forms

To view existing lead capture forms, navigate to the desired community and click on the Forms tab. Here, you'll see a list of all configured forms, including their name, status, creator, number of prospects added, and the form URL.

Clicking the Share button provides options to view the form, copy the URL, or obtain the embed code for use on external webpages. The ellipses menu offers options to edit, duplicate, or deactivate a form.

Create a New Lead Capture Form

Sourcers can create new lead capture forms from the Forms tab of a community.

Steps

  1. Navigate to the Communities tab.

  2. Select a community for which you would like to create a lead capture form.

  3. Provide a Lead Capture Form name.

    This name will appear in the Lead Capture Form's URL so choose a candidate facing name.

  4. Select a brand; this selection determines the logo displayed on the Lead Capture Form and the main button color.

    If you have multiple brands configured in SmartRecruiters, you can select the appropriate one from the dropdown menu.

    You can also choose to exclude the logo altogether by unchecking the Include brand logo checkbox.

  5. Set the language of the Lead Capture Form.

    The language setting is used to localize the non-configurable text, such as field names (such a First or Last Name), and the language of the confirmation email that the prospect will receive.

  6. Add the publicly visible header and description.

    The description should help prospects decide whether they want to join the community.

  7. Configure the Form fields by selecting Add Field to add a new field to the form. The following fields can be added:

    • Location
    • Phone Number (The country code will default to the language of the Lead Capture Form. For example, if the Lead Capture Form's language is English (US), the country code will default to +1.)
    • Links to social profiles (LinkedIn, Facebook, Twitter)
    • Website

    Note

    You can drag the fields to rearrange the field order. First name, Last name, and Email fields are required and cannot be removed, but they can be reordered.

  8. Determine if prospects will be able to upload their resumé when completing the Lead Capture Form by selecting one of the following options:

    • Optional: The resumé field appears on the Lead Capture Form but prospects can complete the Lead Capture Form without uploading their resumé.
    • Required: The resumé field appears on the Lead Capture Form and prospects must upload their resumé in order to complete the Lead Capture Form.
    • Do not allow: The resumé field doesn't appear on the Lead Capture Form.

  9. Add a screening questions set.

    Note

    The screening questions set for the community needs to be created before the configuration of the lead capture form.
  10. Select if prospects who complete the Lead Capture Form should receive an autoreply. (This selection is active by default.)

    Hint

    For a better candidate experience, it is recommended to customize the welcome message rather than use the standard SmartRecruiters default email.

  11. Choose the source for the Lead Capture Form. Prospects who opt-in through this Lead Capture Form will be added to the community with this source.

  12. Add tags for prospects who complete this Lead Capture Form.

  13. Add prospects who complete this Lead Capture Form to a community segment.

  14. Select Publish Form to save and activate your form.

    Note

    Alternatively, you can select Preview to view your form.

Lead Capture Forms – Sharing and Viewing

Active lead capture forms are listed in the Forms list on the Community page, with a shareable URL of that lead capture form.

Sharing and Embedding

Once the lead capture form is configured, there are multiple ways to share it.

  • Click Copy URL to copy a link to the lead capture form.
  • Click Embed to get code for a HTML iFrame snippet that can be added to any web page.

Testing the Form

To see what the form looks like to a prospect, click the URL provided. Fill out the form as a prospect would to test the flow and ensure everything is working correctly.

Prospects will be prompted to provide consent, based on your organization's data protection and consent configuration. After completing the form, they will receive a welcome email (if the autoreply option is enabled).
