Executing Activities and Activity Buttons

Objective

After completing this lesson, you will be able to navigate through an activity.

Activity Overview

In this section, we delve into the configuration and options available in an activity within SAP Profitability and Performance Management Cloud. Understanding these elements ensures that users can effectively manage and customize activities to meet their specific business requirements.

A screenshot of the SAP Manage Companies interface is highlighting parameters, fields, and links related to activity settings for data management with labels numbered 1 to 5.

1. Reader and Writer Teams

Teams with designated read and write access are assigned to the activity. This setup is crucial for defining the team's level of interaction with the data and processes. By assigning specific teams, you ensure that only authorized personnel can create, modify, or view the activity's data.

Example: In a budgeting process, the Finance team may be given write access to input and adjust budget figures, while the Management team has read access to review the final budget without making changes.

2. Available Actions Within the Team

The outlined options clearly define what actions that each team is permitted to perform. These actions range from viewing data, making modifications, to executing specific processes. Defining these actions helps maintain control and clarity over what each team can do within the activity.

3. Activity Fields and Selections

Fields can be added to the Activity Fields and Selections set, allowing you to narrow the scope of team operations. This feature helps in focusing the activity on specific parameters, such as a particular fiscal year or department. By restricting operations to specific criteria, you can streamline activities and ensure that relevant data is processed.

4. Activity Parameters

Activity parameters allow you to assign values to specific calculations within the functions. These parameters are essential for dynamic and accurate data processing, as they provide input values that are used in various calculations.

5. Available Links

Several hyperlinks facilitate easy navigation to related applications, enhancing the management of activities. They include:

  • Comments: Directs you to the Manage Comments application where you can review and add comments related to the activity.
  • Data Locks: Opens the Manage Data Locks application to configure data lock settings, ensuring data integrity during processing.
  • Event Logs: Takes you to the Manage Event Logs application providing a detailed log of events and actions taken within the activity.

Scope

Once a user enters the activity screen in SAP Profitability and Performance Management Cloud, they notice that the scope is predetermined, focusing operations on specific targets such as company SunshineDE. This predefined scope ensures that all actions taken within the activity are aligned with the intended objectives and parameters.

SAP Activity Manage Ratios interface shows general information, activity fields, and parameters. Two segments are highlighted: 1. Selections field displays #SunshineDE; 2. Action options above.

Scope for Target Company

The activity's scope is predefined to ensure precision and relevance in operations. For instance, targeting the company SunshineDE confines all actions to this particular entity. This focused approach guarantees that any data manipulation, analysis, or decision-making processes are pertinent to SunshineDE, eliminating the risk of unintentionally affecting other entities.

Example: Imagine you are undertaking a financial consolidation process for SunshineDE. By setting the scope to SunshineDE, all consolidations, adjustments, and reports are directly applicable to this company alone. It ensures that financial data integrity is maintained and that all team efforts are concentrated on the right entity.

Activity Actions

Within the activity screen, users have access to various actions facilitated by the buttons available. These actions encompass a broad spectrum of tasks, from executing specific functions, making necessary adjustments, to moving the activity through its different stages. These buttons are designed to streamline the workflow, providing users with the tools needed to efficiently manage and progress their activities.

Available Actions:

  • Execute Tasks: This option allows users to run predefined tasks or models. For example, running a profit allocation model to distribute income accurately.
  • Make Adjustments: Users can make real-time adjustments to parameters, fields, or data inputs. This flexibility is crucial for adapting to new information or correcting discrepancies.
  • Progress Activity: Move the activity forward through its various stages, such as from data entry, review, approval, to finalization.
