Learning to Interpret Data Editing Statuses

Objective

After completing this lesson, you will be able to interpret and understand the Data Locking Mechanism in Show Screen.

Advanced Filtering on the Show Screen

The Show Screen in the new SAP module offers an advanced filtering mechanism based on the editing status of data records. This feature allows you to efficiently manage and view data records by selecting different filters.

Available Editing Statuses

  • All: Displays all data records, including drafts, with a color indicator.
  • All (Hiding Drafts): Displays all data records, excluding drafts.
  • Unchanged: Shows data records that have not been modified.
  • Own Draft: Lists only the data records you have saved as drafts.
  • Locked by Another User: Displays records that are currently being edited by another user. For example, a data record is considered "locked" if it is being actively updated by a user. Locked records cannot be edited by others.
  • Unsaved Changes by Another User: Displays records that have been modified by another user but not saved. After 15 minutes of inactivity in a locked record, the status changes from "Locked by Another User" to "Unsaved Changes by Another User," allowing other users to take over.

Exiting the Screen with Unsaved Changes

When adding new values to a record and deciding to exit the screen, you have three options:

  • Save Changes: Save all modifications to the record.
  • Keep as a Draft: Keep your changes as a draft, visible only to you. This does not impact any dependent processes or functions.
  • Discard Draft: Discard all changes, and the record returns to its original state.

Color Indicators for Record Statuses

The Show Screen uses color indicators to visually represent the status of each data record:

  1. Blue: Indicates an "Own Draft" status, showing that you are actively creating or editing a data record.
  2. Yellow: Also represents an "Own Draft" status, but specifically indicates unsaved changes you have made.
  3. Grey: Indicates an "Unsaved Changes by Another User" status. This shows that the record was previously locked by another user, but is now available for you to take over after 15 minutes of idle time
  4. Red: Represents a "Locked by Another User" status, showing that another user is currently editing the record, making it inaccessible for you.

Changing and Managing Records

  1. If you keep your changes as a draft without saving, the record will be marked in Yellow.
  2. If another user is editing the record, it will be locked and marked in Red.
  3. After 15 minutes of inactivity on a locked record, its status will change from Red ("Locked by Another User") to Grey ("Unsaved Changes by Another User"), allowing it to be taken over by another user.

Understanding Record Status Changes After Idle Time

After 15 minutes of inactivity (idle time) in a locked data record, the status of the record automatically changes:

Grey Status Indicator: What Does It Mean?

The Grey indicator is associated with the Unsaved Changes by Another User status. It signals that another user (User A) can see which data records are still locked by you or any other user (User B). These grey-marked records can be taken over and edited by another user after the 15-minute idle period has passed.

Access Data Using the Show Screen

Steps

  1. Access the Manage Process.

  2. Access the Show Data of Manage Companies activity from the activity link.

  3. Create more data according to the data in the Create Data tab.

  4. Save the configuration.

  5. From the same Show Data, export the data.

  6. Access the Comment section and download the data.

  7. Add the data in the downloaded file.

  8. Upload the file in the Comment section.

  9. Import the data.

  10. Select Update and Insert.

  11. Delete the newly added record (Sunshine KR and Sunshine PH) by selecting the record and select Delete.

  12. Select the data.

  13. Select the Show Data of the activity, specified in the Chart type tab and create the chart.
