The Excel/CSV list import process has five steps:

  1. Download the list data spreadsheet.
  2. Populate the list data spreadsheet.
  3. Upload the list data spreadsheet.
  4. View the initial field validation results.
  5. View the import results.

Manage Custom List Items Using the On-Demand Import Template

To import a list:

Steps

  1. On the List Management page, select Import, read the instructions, and then download the spreadsheet template. Populate the spreadsheet with the list details.

The image displays a List Management screen in an expense admin tool. A table lists list names with levels and vendor list status. The Import button is highlighted. A List Import window opens with tabs for Upload File and Review Import Results. It shows a checkbox for List is a Vendor List, a Select a List Name dropdown, and a New List link. Instructions tell users to download a list import template via a link. Buttons include Choose File and Upload Your Data.
  2. On the List Management page again, choose a list from the Select a List Name drop-down menu, or select New List.

The image displays a List Import page with tabs for Upload File and Review Import Results. The Select a List Name dropdown is open and lists options such as Cost centers, Exp_Company_Cost Center, and Location Office. A New List link appears next to the dropdown. A checkbox for List is a Vendor List sits above the instructions.
  3. Select Choose File, select the file from your local drive, and then select Upload Your Data.

The image displays a List Import page where a user browses to upload a spreadsheet. A file chooser window shows a selected file named “ConcurListImportTemplate Country_Location_Cost Center 06232025.xls.” The page shows an existing list name, a Choose File button, and an Upload Your Data button.
  4. On the Field Validation Results page, review the details of the validation to confirm that no errors occurred during the import process. If you received errors, correct the spreadsheet, and then import the list again.

The image displays a List Import page on the Upload file tab with a Field Validation Results panel. The message states that 20 list items were successfully processed and 0 list items failed field validation. Links for Previous and Back to List Management appear above the results.

Import Results Review

To view import results: Select the Review Import Results tab, enter the appropriate import data, and then select Search. All of the imports on that date, the number of records processed, and the number of records rejected are displayed.

The image displays a List Import page on the Review Import Results tab. A date field shows 23/06/2025 next to a Search button. A results table lists file name, date, status, records processed, records rejected, and details. One entry shows Completed with Warnings with 4 records processed and 4 rejected. Another entry shows Success with 20 records processed and 0 rejected.
