Maintaining Users Profiles and Resetting Passwords

Objective

After completing this lesson, you will be able to manage user profiles and reset passwords.

Profile Management Overview

Administrators with the Employee Administrator or Employee Maintenance roles can manage profiles. You can search for user profiles, update them, enter termination dates, set new passwords, and send the MFA reset link.

If your company uses an import job, manual updates may change based on the import file.

Maintain User Profiles

To locate and maintain user profiles:

Steps

  1. SelectUser Administration and search for the desired user profile. Note that if a profile is terminated, you can still locate and reactivate the account.

The Filters area includes check boxes for travel and expense advanced filters and menus for manager, employee group configuration, and expense test users. Controls set user status, max results, and search options for name, email, or login. The Columns to Display section offers check boxes for login ID, manager, employee group configuration, email, and employee ID. An A–Z index sits above Search and Reset buttons. The Users section prompts you to search for an employee.
  2. Select the user profile in the Last/First column to open the profile.

Controls set user status to Active, max results to 25, and search text to “Peter” with search type “Name, Email, Log‑in.” The Columns to Display area includes check boxes for login ID, manager, employee group configuration, email, and employee ID. An A–Z index sits above Search and Reset buttons. The Users table shows two results, with “Peterson, Sue” highlighted and columns for email, employee ID, login ID, manager, and profile.
  3. Make the desired changes (for example, resetting a user's password) and then select Save.

The image displays a user profile configuration page for an expense management system. A magenta rectangle highlights the Save button at the top, next to Cancel. The page shows Role checkboxes for Expense User and Expense Approver. An MFA Reset section includes a Reset button. General Settings fields capture login name, name, password, activation and termination dates, employee ID, and email. Expense and Invoice Settings offer options for employee group, invoice group, ledger, reimbursement currency, country, state, audit group, and payroll code. Links and checkboxes for Approvers, Authorized Approval Limits, Expense Preferences, and Expense Delegates appear at the bottom.
