Executing Projects Using Activity Confirmation and the Cross-Application Time Sheet (CATS)

Objectives

After completing this lesson, you will be able to:
  • Confirm activities in networks
  • Use the Cross-Application Time Sheet (CATS)

Activity Confirmations

Confirmations document the processing status of activities and activity elements and enable you to forecast project progress. Confirmations perform various business transactions automatically, such as posting actual costs, actual dates, and actual labor (work) and, if applicable, changing the activity status.

You can create confirmations in the following ways:

  • Individually for each network, activity, activity element, or individual capacity. You enter the confirmation data for this type of confirmation on the detail screen.

  • As a collective confirmation. You can confirm various networks, activities, activity elements, and individual capacities at the same time with a collective confirmation. You enter the confirmation data for this type of confirmation on the list screen.

  • Using the structure information system (by selecting activities and accessing individual or collective confirmation). From the information system, you can send a confirmation work-flow to another user or organizational unit. As an alternative, you can save a pool of confirmations and select this pool later in the collective confirmation transaction of the time sheet.

  • Using the Cross-Application Time Sheet (CATS). CATS is an integrated function used to enter actual time data important in HR, PS, PM, CS, CO, and MM.

  • Through the Internet (by creating an individual or collective confirmation or entering time data in the time sheet).

  • Using the plant data collection (PDC) interface.

Individual and Collective Confirmation

You can confirm one activity or activity element with an individual confirmation. You enter the confirmation data for this type of confirmation on the detail screen.

You can confirm various networks, activities, activity elements, and individual capacities at the same time with a collective confirmation. Enter the confirmation data for this type of confirmation on the list screen.

From the structure information system, you can perform the following actions for the activities you have selected:

  • Navigate to the individual confirmation transaction.

  • Navigate to the collective confirmation transaction.

  • Save a pool of confirmations; you can then select this pool in the collective confirmation transaction of the time sheet.

  • Send a pool of confirmations as a work-flow to other users who can then navigate from their office inbox to the collective confirmation transaction.

Activity Confirmation

This figure describes how actual costs are derived from the confirmation of an activity. The confirmation of an activity leads to an activity allocation, which leads to a credit to the cost center assigned to the work center and a debit to the activity.

The valuation variant assigned to the actual costing variant controls the price used for activity allocation.

The actual costing variant determines the valuation strategy for activities and business processes. It determines the value of inventory transactions. The accounting value of the inventory determines the actual material costs (based on the accounting view of the material master using either standard or moving average price control).

Confirmations result in actual costs debited to network activities. Confirmations credit the cost center assigned to the work center and debit network activities.

Cross-Application Time Sheet (CATS)

CATS is an integrated function that you use to enter actual time data. It is mainly used in HR, PS, PM, CS, CO, and MM.

You can determine the layout of the data entry screen using data entry profiles.

Report programs pass on the released (and, if necessary, approved) data to the various applications. The actual time data may be important for various applications, in which case the data is transferred to multiple applications.

Note

You cannot use CATS to enter confirmations for production orders because confirmations in production primarily handle quantities of goods and scrap. You can use CATS to enter hours and assign them to production orders (in the Order field) as the receiver object. The hours you enter are updated as an internal activity allocation in the production order when the data is transferred to CO. This method enables you to capture costs, but it does not post a confirmation to the production order. You can use CATS to post time to a network header, network activity, order (maintenance, service, internal, and so on), business process, costs center, cost object, WBS, or sales order.

CATS Data Entry Screen

The CATS screen highlighting the following: Check, Enter travel expenses, Worklist, and Data Entry Screen.

Enter time data for one or more persons.

The screen configuration (for the request screen, worklist, and data entry part) is flexible in the following ways:

  • It is based on the employee group (using the data entry profile).

  • It is user-defined (using table control).

  • It determines the cost object that you can enter in the time sheet.

You can provide a worklist for employees by selecting the following:

  • Activities to which employees are assigned by the work center or the work distribution to employee(s) for PS, PM, and CS

  • Activities for a confirmation pool (for PS, PM, and CS)

  • Objects on which the employee is working (using the CATS database)

  • Objects using user exits

Transfers

The system does not permit transfers to a Controlling + Logistics combination. When you confirm an activity, the posting is treated only as a confirmation. After the confirmation is posted, it generates the appropriate internal activity allocation to post the actual costs to the network and credits the performing cost center.

Transfers to materials management for external services are necessary, for example, when a contractor uses CATS to create a service entry sheet. The accepted service entry sheet debits the network activity.
