Describing User Administration and User Attributes

Objective

After completing this lesson, you will be able to describe how to work with the user entity.

User Administration

A User is any person for whom a database record has been created in SAP SuccessFactors Learning, including employees, contractors, and others for whom you wish to maintain learning entities and register in scheduled training events (classes).

It is strongly recommended that a standardized naming structure be established or a feed from the Human Resource Information System (HRIS) be used to create user entities. (Refer to the Standard Connectors section for an introduction to connector functionality).

User Attributes

There are many attributes available in the user record. Customers must populate related reference tables with data that can be accessed enterprise-wide. This information is usually migrated to SAP SuccessFactors Learning from HRIS.

Key user attributes include:

  • Job Code
  • Job Location
  • Employee Type and Employee Status
  • Manager and Alternate Managers
  • Organization (covered in a later section)
  • Security Domain (covered in a later section)
  • Custom Fields

Administrator Access to the User Entity

To access a representative user entity, as shown in the figure, navigate to Learning AdministrationPeopleUsers, search for and open a user entity.

The User Details of the User entity is displayed.

Administrator Action: Administrator Proxy

Administrator Proxy allows administrators to see much of what the user sees. There are many reasons administrators may need or want to view a user’s record, including viewing errors occurring for the user to troubleshoot a potential problem better.

To enable proxy access, the Administrators must be granted the Administrator Proxy for Learning permissions.

Summary

  • Users include employees, contractors, and others for managing learning entities and registering for scheduled training events.
  • Use a naming structure or HRIS feed to establish consistent user records and populate enterprise-wide data tables.
  • Leverage key user attributes like Job Code, Location, Employee Type, Managers, Security Domain, and Custom Fields for effective management.
  • Navigate to Learning Administration to search for and open user entities for updates or troubleshooting.
  • Enable administrator proxy access to allow administrators to view user records and troubleshoot errors effectively.

Decisions Checklist

Based on the content in this section, please review the list of implementation decisions your company may need to make before implementation begins and discuss them with your stakeholders, project team, and SAP SuccessFactors implementation consultants. In this way, you will be better prepared to begin the implementation.

  • Which fields do you want to use for searching, assigning learning, and running reports? Include a list of custom fields if relevant.
  • Do you want to tailor search criteria for entities that administrators access frequently, especially users? Ask your implementation team for examples of enhancing user search.
