You can use the built-in connectors to schedule when you want the system to import data into the LMS.
Some standard connectors related to learning are:
Term | Definition |
User | Updates existing entities. It can create references such as security domains but cannot manage hierarchical relationships for security domains or organizations. Not widely used. |
User Connector - SF | Loads and updates users from the SAP SuccessFactors HCM (BizX) suite. |
Federal User | Contains all values as the standard user connector but adds additional fields required for US Federal agencies. |
Security Domain | Loads new security domains, updates existing entities, and manages the hierarchical relationship of security domains. |
Organization | Loads new organizations, updates existing entities, and manages the hierarchical relationship of organizations. |
Job Code | Creates new and updates existing job code values. This includes the security domain, curricula that should be assigned automatically, etc. |
Item | Creates new items in SAP SuccessFactors Learning and updates existing entities. It is most common for the item connector to be used for one-time data migrations rather than an ongoing feed. |
Learning History | Adds item-based history records for existing users’ completion of existing item entities. The user and the item entity must exist within the system to accept the history record. The learning history connector is most commonly used for one-time data migrations. |
Classes | Adds scheduled instances of existing Instructor-Led Training (ILT) item entities. Typically used for one-time data migrations. |
Registration | Updates user registrations in existing classes. Both the user and the class must already exist in the system. This connector is typically used for one-time data migrations. |
Competency Connector – SF (if licensed) | Creates competencies and associated rating scales in the LMS. Entities are first created, and competency libraries are imported into the SAP SuccessFactors HCM environment and loaded into the LMS using this connector. |
Admin Connector | Loads new administrators and updates existing entities. Administrator accounts can be batch-locked/unlocked, and roles can be added or removed (up to 3 in each run), but passwords cannot be set/updated. |

For each connector, a section in the connectors workbook is completed before deployment. The workbook captures information on the source of all incoming data and business rules that may be configured per connector.
The file you import must be structured specifically for the data type (for example, security domain, registration, item, job code, and so on). Your implementation team will help you create a starter file. You will also set up a schedule for each connector to run.
You can use the Import Data tool to supplement the connectors.
You start the process by selecting the Download Template button and then select the Entity Type:
After saving the template, you have a copy of a correctly designed Excel workbook. Start by reviewing the comments associated with every column header for each worksheet. This ensures that you know which data is required and the required format.
After inserting your data, import the Excel workbook into the LMS.
Importing data is controlled via administrator permissions. This includes security domain and entity permissions for creating/adding permissions.
Clear error messages inform the administrator if data is missing or in the incorrect format.
