Objective

After completing this lesson, you will be able to explain the various options available for the Learning Assignments section.

Home Page - Learning Assignments: View and Interactions

The New Learning Experience Home Page provides a comprehensive overview of your assigned learning activities, presented in an intuitive card format.

Users can view assignments and related details, launch training, register for classes, complete surveys, etc. The cards include call to action buttons and statuses per item, such as display of due date and type of learning. When a card is selected, the user will see more information about the item.

All assigned learning displayed on the Learning Home Page is organized into sections. Each section consists of cards that describe the various learning events, such as Instructor-led, Online, Instructor-led with Online Content, Other Items, and Programs.

The Sections Required Learning, Important Learning, and Invest in Myself, are highlighted on the Learning Home Page.

The visibility of available sections depends on how or by whom the learning was assigned. Examples of common sections that may be displayed on your learning plan include:

  • Required Learning: This section shows only required training assigned to the user by others. By default, it is prioritized by the due date. The user can see items, programs, and curriculum requirements due soon, upcoming, and overdue.

  • Curricula Compliance: A status bubble at the top of the Required Learning section only displays a status for curricula if the user has curricula assigned. If the user is current on the required curricula, they will see they are compliant.

  • Important Learning: This section shows learning assignments assigned as non-required by managers and administrators. They are prioritized based on their due dates.

  • Requests for Me: This section shows any pending observation requests on behalf of other users and pending learning assignment requests sent by learners. Users with approval roles can directly accept or decline pending learning assignments in this section.

  • Invest in Myself: This section shows learning that may have already started or may be approved and ready for the user to start. Self-assigned learning appears here. If a self-assigned item has been removed from their library, it cannot be started or resumed. However, the item details will still be accessible.

  • Latest Bookmarks: This section displays saved courses and other learning content the user has bookmarked to indicate their interest.

  • Suggested for Me: This section lets users see person-suggested items. The recipient can bookmark the opportunity or indicate that they aren’t interested.

  • Suggested by Peers: This section allows users to see peer recommendations. The user can select a suggestion for more details and then decide to bookmark the opportunity or indicate they are not interested.

Learning Assignments: Required Learning

The Required Learning section lists the things the user needs to take action on, grouped by the due dates. This is also called the Learning Plan. Required Learning displays item titles, item numbers, priority, and when each item is due. It also shows curriculum requirements, programs, surveys, start dates, enrollment information, and actions that the user may perform on each. Selecting a title will display more detailed information about each entity in the list, such as how it was assigned, by whom, and what actions the user may take. The View All link displays all assigned learning on one page.

The Filter icon allows Required Learning to be sorted by Course, Class, Curriculum Requirement, and Program.

There may be items in the user's Required Learning that are not visible in this view due to various system settings. For instance, items with retraining may be hidden if they are not due for some time, and individually assigned items with distant due dates might also not appear. Additionally, if an optional item has been assigned to the user as part of a curriculum, the user can hide it from their view.

Note

Self-Assigned items will appear in the Invest in Myself section.

Learning Assignments: Instructor-Led Item

When users select the title of an item in their library or listed in their Required Learning, they can see more details about the item.

The details of an Instructor-Led Item are displayed.

For all items, they can see the item ID, title, description, hours, audience, and version. Additionally, they may see information about prerequisites, substitutes, included attributes (such as competencies), and others if available.

For instructor-led items, they can select the See All Classes, view upcoming classes, and self-register (if permitted).

Learning Assignments: Register into a Class

Users can view Available Classes from the Item and get more information about each class before registering. The user will find specific information about each class on the Class Information screen. This information may include the dates and times of each time slot of the class, the instructor and room, the address of the facility (location), contact information, and a button to register or join the waitlist (if permitted).

Some classes will be visible in the user’s library, allowing them to see more information about each class – however, self-registration may not be permitted. There will usually be contact information for those classes so the user knows whom to contact for registration. Classes that permit self-registration may have an approval process that the user must complete successfully before they are considered enrolled.

If the user selects the Register button, they will see a confirmation that they are successfully enrolled if no approval is needed. If approval is required, they will see that their status is pending, and a list of potential approvers (e.g., their manager) will be displayed. Users can add a comment for the approver when submitting a class approval request.

Learning Assignments: Request Approval to Register for (or Withdraw from) a Class

In some cases, you may want a user to get approval before registering for a class or before they can successfully withdraw from a class in which they self-registered. You can define an approval process with just one approver, such as an immediate manager, or a more complex set of approval steps.

The Class Details page is displayed for a class for which Approval is Pending.

Approvals: Define Approval Roles

The system contains a role for manager level 1 (immediate) and level 2 (the manager’s manager); however, all other approval roles need to be created and assigned to the appropriate user(s). For example, if the level 1 manager AND a Training Coordinator must approve registration into a class for item XYZ, you would need to:

  1. Create an approval role for the Training Coordinator.
  2. Associate the role with one or more user entities.
  3. Create an approval process with manager level 1 as Step 1 and Training Coordinator as Step 2.
  4. Enable this approval process when you create a class for item XYZ.
  5. When a user requests approval to attend the class, the request is first routed to the manager. If approved, the approval is next routed to the Training Coordinator.
  6. If there are multiple Training Coordinators, you select the routing based on one attribute of the user entity. (More on that later.)

Learning Assignments: Request that an Item be Scheduled

Users may use the Request a Class feature if there is no existing class in the library or if none of the existing classes meet their schedule. The request is stored in the system with the user name and the item requested.

The Request a Class button is available on the Course Details tab of an Instructor Led Item.

An administrator can:

  • Get automatic email notification when X users (defined in minimum registration) have requested an item
  • Search for users who have requested an item
  • Run a user requests report
  • Notify users on the request list that new classes have been created.

Note

If configured, an automatic process can be scheduled to automatically notify users on the request list when classes have been created.

Request a Class: Enable User Requests (Global)

You can enable the Request a Class option to be available by default for all items. Then, an administrator can disable the option for individual items if desired. Disabling the option hides the Request a Class button from users.

`Learning Assignments: Launch Online Content

From the Learning Home Page, users can launch various content that an administrator sets up to be available online.

Start Course button is highlighted for an online item.

There are two broad categories of online content:

  • Online Documents: This category includes documents that users can access via a link. It allows users to read the document and acknowledge that they have done so. This is often used for policy documents, guidelines, or other materials that need to be formally acknowledged by employees.
  • Web-Based Training (WBT): This category includes self-paced training that can be launched online. WBTs typically feature menus for navigation and may include embedded quizzes.

Online Items in the library will allow users to view the content structure before deciding whether to launch the course or assign it to themselves. Once the item is launched, the user may navigate through the various content objects and/or assessment objects in the structure, or they will proceed through them in sequence. If there is only one object, they will be taken directly to the content (not the structure) as soon as they start the course.

When the content has been finished, the user will see a confirmation message, and if there is a survey attached, they will see a link to launch it.

Learning Assignments: Instructor-Led with Online Content Item

Instructor-Led with Online Content courses that are in the library allow users to self-assign the online content of the course, as well as self-register for the associated instructor-led classes. They may request that a new class be scheduled if there are no upcoming classes.

For the Item itself, users may:

  • Self-Assign the Item or Assign to others (if a manager).
  • Recommend the item.
  • Remove a self-assigned item from their learning plan.
  • View approval/request approval if required to launch.
  • View goals, prerequisites, substitutes, attachments, finance, attributes (such as competencies and skills), and other information about the item.
  • View assignments.
  • Print a certificate for a course upon completion.
  • Rate a course upon completion.
  • Apply an e-signature (with or without approvals) to multiple history records simultaneously.
  • Apply an e-signature (with or without approvals) upon completion, with the option to simultaneously select additional history records for verification. Take a survey upon completing an online content portion of the course, both required and optional.
  • Request a class.

For the class portion, users may:

  • Register or waitlist for a Class (with an approval process if necessary).
  • Withdraw from class registration (if they had self-registered or were registered by their manager, if permitted).
  • See a Virtual Class Indicator if this is a VLS class. For the online content portion, users may:
    • Take the online version of a course, including approvals and finance for the online course, when the course is configured to give users a choice between instructor-led or online.
    • Launch and complete assessments in line with the online course player (Web only).
    • Launch the online content portion of the course in a new browser for AICC, SCORM, or documents, based on configuration.
    • Receive a warning if they attempt to launch an old revision of the online content when they should be taking the current revision.
    • Review and retake content before the online content portion of the course is complete.
    • Review online content from history after completing the course for all content launch types.

Learning Assignments: Item Classified as Other

Items classified as Other are not scheduled like Instructor-Led items and have no online content. A Task Checklist is one example. If allowed, users may preview Task Checklist items to prepare for the associated observation activities.

Learning Assignments: Launch an Exam Type Assessment

Customers often want a way to test and track user knowledge through assessments. An item can contain just one assessment, or you can mix and match online content plus assessments in one item.

Administrators can utilize the Question Library to create questions for exams, or they can develop an Exam Type assessment and add questions directly or from the library. Administrators can also define behaviors such as:

  • Passing grade
  • Post Exam Behavior
  • Feedback to the Users
  • Exam Type (Sequential, Freeform)
  • Exam Attempts
  • Randomization of Questions

Exam questions exist as separate entities in a Question Library that may be mixed and matched on different exams. Exam questions may be linked to learning objectives, making tracking learning evaluations (pre-test and post-test) possible.

When exam-type assessments and content objects are used in the same item, adaptive learning may be configured to permit users to test out of content based on their performance on one or more learning objectives.

Alternatively, administrators may create Quiz Type assessments using the Assessment Builder. Quizzes can do most of the things exams can do, except:

  • Quiz questions exist only on the assessment, not as separate entities
  • Quiz questions cannot be linked to learning objectives (no adaptive learning or learning evaluations)

Administrators may define behaviors such as:

  • Passing grade
  • Feedback to the Users
  • Quiz Type (Sequential, Freeform)
  • Quiz Attempts
  • Randomization of Questions
  • Quiz Review

Learning Assignments: Launch a Course Evaluation or Feedback Survey

You may want to gather feedback that helps determine the effectiveness of training. Upon completion of a training event, the system can automatically assign a user:

  • A course evaluation to collect feedback related to user satisfaction (immediate reaction)
  • A follow-up survey to provide input on how the user has applied learning on the job (behavior change as a result of learning)

You can launch an assigned survey, complete the steps, and submit the evaluation.

In a later section, you will learn more about the data collected when recording learning history. At that time, you will see configuration decisions related to completion status.

As you define each completion status, you will decide whether the status should trigger the automatic assignment of each type of evaluation. For example, you may not want to assign a follow-up survey for an unsuccessful completion (a failure or an incomplete).

Learning Assignments: Display Curriculum Requirements

The Learning Home Page also displays curriculum requirements. An administrator configures a curriculum requirement and typically offers the user a choice in how it may be completed. Different users may choose to complete the same requirement differently, and it will be considered complete as long as the rules of the requirement are met. This can be used when electives are desired.

There are three requirement types: Hours of specified Hour Type, Hours of specified Hour Type from Pool of Items, and Items from Pool of Items.

Each requirement displays the requirement type, priority, and Choose Courses button to choose courses (items) that fit the requirement and when the next action is due.

The Curriculum Requirement is displayed.

Note

Whenever the user is offered a choice of items, they may only select items placed in the library.

Learning Assignments: Items May Be Hidden

When items with retraining are included in a curriculum, they will be initially displayed on the user's learning plan. Once successfully completed, the item will be recorded in the learning history and reappear on the learning plan later. The time between reappearance and due date can be globally configured. Immediate reappearance allows users to retake the training at any time while delaying reappearance until 90 days before the due date prevents users from taking it too early.

Similarly, free-floating items not part of a curriculum may also be hidden from the learning plan until 90 days before they are due to keep the user focused on what they need to do in the short term.

Learning Assignments: Display Program Details

Program details may be expanded to display the current section of activities for which the user may need to take action. Actions may include launching an online item, marking a text or link activity complete, or enrolling in a class for an instructor-led item.

The Program Details are displayed of the New Employee Onboarding Program.

Learning Assignments: Access Mobile Learning

Mobile Learning provides a convenient and easy way to deliver capabilities directly to employees and managers via mobile devices.

Users who log in to Mobile Learning can:

  • View My Learning Assignments (cannot remove items), Filter by Assignment
  • Filter content in the Library
  • View item details
  • View available classes for items currently assigned to the user
  • Launch online content
    • AICC and SCORM content (not SAP SuccessFactors exams)
    • HTML web pages
    • PDF, Word, and PPT files (as supported by the user’s mobile device)
    • Download eLearning items offline to their mobile device
    • Open, download, and play content hosted on iContent
  • View custom certificate of completion
  • Receive follow-up surveys
  • View and register/withdraw from classes
  • View and approve/deny learning approvals
  • View and complete observation for task-based items
  • Pause and resume download automatically in iPad 
  • Use e-signature
  • Use library search for iPad native app (requires BizX app)
  • View Learning History for iPad native app (requires BizX app)

From the learning plan via Mobile Learning, you can see all learning assignments and requests for observation of another user who will perform a list of tasks in a task checklist item.

Learning Assignments: Locate a Learning Item for Related Goal

For customers who use the SAP SuccessFactors Career Development Planning and Mentoring (CDP) module, users can add goals related to their Development Plans.

Users can add Learning Activities that help them achieve a goal or meet a rating for an assigned competency.

When the user completes the Learning Activity, the Development Plan status can be updated automatically.
