Exploring the SAP SuccessFactors Offboarding Programs

Objective

After completing this lesson, you will be able to manage the Offboarding tasks.

Offboarding Programs

  • In Admin CenterManage Onboarding and Onboarding TasksManage Offboarding Program, you can specify a list of tasks that can be done (or be required) for an offboardee.
  • This is very similar to the functionality for setting up Onboarding Programs. However, the set of tasks that can be configured is different since we are talking about two distinct processes.
  • Offboarding tasks can be delegated.
  • Custom Offboarding tasks can also be created for Offboarding Programs.

Write Farewell Message

You can compose a standard farewell message to an employee leaving the organization.

  • You can insert tokens (placeholders) to personalize the message for the employee.
  • You can create localized versions for different languages enabled in the system using the Translate button (Globe icon).
  • You can make this task mandatory and specify predefined participants (Responsible Groups).

Note

It is possible to use AI-Assisted Writing in SAP SuccessFactors Onboarding to enhance the content of Welcome Messages, Buddy Messages, Goals, and Farewell Messages.

AI-Assisted Writing is a global feature supported in several SAP SuccessFactors modules in addition to Onboarding, such as Compensation, Employee Central, Goals, Learning, Performance Management, 360 Reviews, Opportunity Marketplace, Talent Intelligence Hub, etc.

The following are features of the AI-Assisted Writing:

  • Enhanced Writing: Suggests enhancements in grammar, spelling, vocabulary choices, and phrasing in the context of the selected line or paragraph
  • Change Tone: Provides options to change the tone of the writing of the selected line or paragraph to professional, personable, or constructive to suit the communication needs of different audience groups in the organization.
  • Make Shorter: Shortens a selected line or paragraph to convey the message more concisely.
  • Make Longer: Rewrites a selected line or paragraph by adding more words to provide a detailed explanation based on the original content.
  • Create Bulleted List: Converts a selected line or paragraph into a bulleted list to simplify complex information and enhance readability by breaking it down into easy-to-read points.
  • Analyze Text: With this option, a safety scan is performed on each text box, prompt entry, or Generative AI output to detect bias and remove discriminatory or violent language. Users can choose to accept or reject the suggested text presented for replacement.
  • Translate: For written text, the user can select this option to choose the target language to which they'd like it translated. The following capabilities are supported with this action: One-directional translation (from en_US to all 46 languages supported in SAP SuccessFactors) and Bi-directional translation (full translation between English US, German, French, Spanish, Portuguese, Chinese (Simplified), and Japanese.

Announce Termination to Coworkers

Announce Termination to Coworkers allows you to add default text that participants can use while writing the announcement message to coworkers or to the whole organization.

  • You can insert tokens (placeholders) to personalize the announcement message for coworkers.
  • You can create localized versions for different languages enabled on the system using the Translate button (Globe icon).
  • You can set this task to be mandatory and specify predefined participants (Responsible Groups).

Create Knowledge Transfer Plan

This allows you to remind a participant (for example, the Manager) to create a knowledge transfer plan for the employee leaving the organization and possibly for the replacement employee (such as a new hire or temporary POC).

Schedule Meetings

Schedule Meetings allows you to create standard meetings for an employee leaving the organization.

  • You can create localized versions for different languages enabled on the system using the Translate button (Globe icon).
  • You can set this task to be mandatory and specify predefined participants (Responsible Groups) who need to set these meetings.

Manage Assets

Manage Assets allows you to manage and track the return of assets needed by the employee who is leaving the organization.

  • You can specify the participants who will identify the assets that need to be returned and those who need to track the return of the listed assets.
  • You can set this task to be mandatory.

Summary

  • In the Admin Center, you can configure Offboarding programs with specific tasks for an offboardee, similar to onboarding programs but with different sets of tasks.
