Variable Pay Permissions

Companies with complex organizations would benefit from more detailed administrative permission schemes to meet compliance and audit rules for their organizations. With this set of compensation Role-Based Permissions, administrators can permission each tab and each page individually within the Compensation Admin Center. The tools have three admin permission sections:

  1. Compensation
  2. Variable Pay
  3. Compensation and Variable Pay (for settings that are common to both Compensation and Variable Pay)

Note

Permissions are based on the granular administration Role-Based Permission model. This allows the administrator to govern who can do what within Compensation Home and other user interfaces at a more detailed level.

Role-Based Permission Settings

The Variable Pay module has two sides: the administration of the module and the use of worksheets by planners or managers.

There are four key roles in SAP SuccessFactors Variable Pay:

  • Administrators – Variable Pay administrators are responsible for creating and configuring Variable Pay programs. Compensation and Variable Pay use the same admin interface.
  • Compensation Planners/Managers – Access to Variable Pay Worksheets
  • Human Resource Business Partners – Access to Variable Pay Worksheets/Reports
  • Executive Reviewers (Top Management) – Access to all Variable Pay Worksheets/ Reports

Role-Based Permissions control:

  1. Access to tabs and sub-tabs of the SAP SuccessFactors Variable Pay administration interface
  2. Access to specific plans via the My Forms page (advanced features enabled in Company Settings)
  3. Executive Review view/read/edit
  4. Access to lookup tables

Role-Based Permissions do not control Variable Pay worksheet attributes.

Planners

Unlike in compensation where managers/planners play a key role in employee’s salary recommendation, bonus calculation and payouts are be completed by administrators alone. The variable pay forms are still routed to the managers for review and approval and, if permissioned, to override the payout. The manner of planner approval is by sending the form to the next step.

Note

Planners use the worksheet once a year for two weeks and, considering there are new features each year and much information on the worksheet, navigation can become challenging. A guided simulation of the worksheets and its elements can be created by using SAP Enable Now. Executive Review Permissions

Executive Review enables a user to see all the data that a planner can see on a worksheet without the need to be part of the route map.

Permissions can be given to either Read or Edit the worksheets. Permissions can also be set for users to import and export data for offline edits. Planners or managers of affected forms can be notified when send email setting is selected.

When a user is granted Executive Review permissions, the Executive Review sub-tab will appear in the main Compensation tab. When Executive Review is opened, the target population from multiple worksheets are listed on one page.

Data on Executive Review can be massive as the user is looking at information from multiple forms. To help with this, data can be drilled down by using filter preferences. More details on how to use Executive Review is discussed in a later lesson.

The settings for Executive Review Read and Edit permissions is displayed.

Statement View Permissions

There are two sections in Role-Based Permission which controls the Variable Pay statements. One is in User PermissionsEmployee Data to permit access to actual Statements (described in later sections), as shown in the following figure.

The Employee Data section is highlighted in User Permissions.

Additionally, Employee Files need to be configured to enable the applicable view(s) in Admin CenterConfigure People Profile .

Compensation Home

Compensation Home is SAP SuccessFactors Compensation and Variable Pay administration interface.

The Compensation Home page is organized into four main sections:

  • Plans
  • Set up a New Plan
  • Data for All Plans
  • Reporting

Plans

The left side menu lists all the active compensation and variable pay templates in your instance. The plan type (salary, variable pay, or stock) and the number of launched worksheets are also listed for quick reference. By selecting the plan name, you can access the specific details for this plan. You can expand or collapse the list of plan names to enlarge the working space on the right side. You will also see a copy icon on each plan, which will allow the administrators to clone the plan configuration.

Set up a New Plan

The options in this section allow you to create a compensation plan, variable pay, or total compensation plan template. Normally for administrators, variable pay plans are cloned to start a new process. Cloning allows bonus plans, business goals and weights, and bonus plan eligibility to be copied, administrators will then just modify the files as appropriate without starting from scratch. Leverage the AI-assisted writing tool to enhance the quality of the content when presented with text fields.

Data for All Plans

Within the Data for all Plans section you may select Actions for all plans to manage different data imports. Monitor jobs displays the job status of imports and whomever started the job. When a mass update job meets a prespecified criteria (500 worksheets/templates or more) the job is split up into sub jobs. The system doesn’t allow running concurrent jobs because it can result in a data loss.

Reporting

This section gives you access to the core reporting functionality of compensation. Variable pay validation reports is accessible from a different section of the admin interface. More details are in the Reporting lesson.

Select a plan template from list in order to drill down and display plan information. Across the top of the page, administrative tasks are categorized into the three major phases of managing a plan cycle.

  • Plan Setup: Allows you to manage plan settings, such as selecting final payout equation, managing business goals, importing employee history and much more.
  • Manage Worksheets: Allows you launch, manage, and update worksheets.
  • Complete Compensation Cycle: Allows you to publish variable pay data and generate statements.

The Plan Status section displays plan information, such as whether the plan is published, the hierarchy type, number of planners and worksheets launched, and number of employees on the worksheet.

The Route Map Progress section displays information about the progression of the variable pay plan through the established workflow steps.

The Variable Pay Plan Information gives a snapshot of all data imports used in a bonus calculation.

Action for all plans is divided into five sections:

  • Import/Export Data – Where user data file and other compensation table can be created and uploaded
  • Manage Statement Templates – Where reward templates can be added
  • Group Assignments – Allow admins to create employee groups for budgeting and guideline purposes
  • Compensation Profile – Allow admins to create compensation historical period
  • Company Settings – Additional settings which affects all templates
