After completing this lesson, you will be able to create Custom Text in Concur Travel.

How to Create Custom Text in Company Notes

Once you access the Custom Text tab in Travel Admin, you can create custom text in several areas of the Concur Travel site. To learn more about creating custom text, watch the following video demonstration.

Manage Custom Text Areas

Now that you’ve seen how to create custom text in Company Notes, let’s look at another area. Review the following steps to learn more about managing custom text in other areas.

Steps

  1. On the Custom Text tab, select an option in the Jump To list to move to the appropriate section.

  2. Select Edit. The section opens, displaying the edit information.

    The Air Rules Violation section displays the default text This flight is not in compliance with the following travel rule(s): in a grey box. The Edit button to the left is highlighted in yellow.
  3. To edit, uncheck the Use default text box and then edit the information as appropriate.

  4. Select the appropriate option for Save text to and then update the Travel Configuration Options field if applicable.

    You have the following options available for selection:

    • Single travel configuration
    • All travel configurations
    • Set of travel configurations

    In this example, Single travel configuration is selected with one configuration selected from the Travel Configurations Options list.

    The Air Rules Violation section for English (US) shows the Use default text box unticked, indicating the text has been customized. The current text reads: According to our internal travel policy, this flight is not in compliance with the following travel rule(s):. The Single travel configuration radio button and the NAI US Travel Configuration Options dropdown are both highlighted in yellow. Blue Save and Cancel buttons are at the bottom right.

    Note

    It is also possible to save to all travel configurations. This action will save the text across all travel configurations that you are allowed to manage. If you have global privileges, then all configurations will be updated.

    Note

    You can select the Set of Travel configurations option as well. To select multiple configurations, use the Ctrl key when selecting from the Travel Configurations Options drop-down menu.

    Note

    You can also select All languages. This feature allows saving a single text across all languages for a configuration in one pass, for the convenience of the administrator. This also allows saving text across all languages, and different text to be saved to just one language. Users with the specific language will see their text while users viewing in all other languages will see the text saved to all.

Result

Once saved, the text will appear in its designated area within Concur Travel. In our case, the Air Rule Violation will appear during the booking process, when policy is broken and the user is prompted for a violation reason code. Note the bold text, reflecting the text set in step 4.

HTML Formatting for Custom Text

Now that you’ve seen how to create custom text in other areas outside of Company Notes, you might be wondering if there are formatting options available for those too.

It is possible to insert HTML into any text category using the Company Notes text editor using the following steps:

  1. Clear the Company Notes section
  2. Enter your text in the Company Notes section
  3. Format as appropriate
  4. Use the Source Code button to generate the HTML code
  5. Copy the code
  6. Enter the code into the appropriate section
  7. Reset the Company Notes section

Insert HTML into a Text Category

To learn more about using HTML to format text, review the step-by-step instructions for the following example. In this example you will learn how to add custom text to the Air Search category with bold and red text to encourage users to select a preferred airline.

Steps

  1. Remove the existing text in Company Notes and then enter your text with formatting.

  2. Once the text has been customized, select the Source Code icon to generate the HTML code for the text.

  3. Copy the source code text from the pop-up window and then select Cancel.

  4. Select Edit for the desired category. In this case, Air Search section.

  5. Paste the source code you copied into the Air Search text box and then select Save.

  6. To ensure the Company Notes are not lost, select Reset.

Result

The Company Notes are restored and the newly added text for air searches is added.
