Managing Business Requirements

Objective

After completing this lesson, you will be able to define and edit business requirements for assigned categories.

The Value of Managing Business Requirements

While a formal Business Requirements document is optional in the strategy and plan, capturing requirements early, during stakeholder discussions, is highly recommended. As category manager, you'll use these requirements to develop supplier selection criteria and key performance indicators (KPIs) to effectively manage supplier performance and drive the procurement process.

In this video, Alex explains the value of managing business requirements:

The RAQSCI Framework

The SAP Category Management solution facilitates this process by enabling you to document requirements using the RAQSCI framework.

RAQSCI Framework:

It also allows you to classify each requirement as either a "need" (essential) or a "want" (optional). This distinction is particularly valuable for indirect categories like IT services, ensuring clarity and focus on the most critical requirements.

Classifying Business Requirements

By classifying requirements as "needs" (essential) or "wants" (optional), you can better define and prioritize them, especially in complex areas like IT services. This ensures you address the most critical needs first.

Let’s walk through the steps to create the Business Requirements.

  1. Access the Develop Strategy and Plan application, and then select your assigned category and plan.
  2. Select Create Business Requirement on the Business Requirement card. Image of the Business Requirements card.
  3. From here, you can either select Create or Create Business Requirement. Image of Create Business Requirement.
  4. Now, you’ll select the appropriate RAQSCISO requirement, and then enter a description (required).
  5. Select Need, if this requirement must be met to proceed to the next step of the category analysis process, or Want if it is a desire to have this requirement, but not necessary to proceed to the next step.
  6. Select Create.
  7. Continue with steps 4 – 6 for all entries.Image of steps 4 – 8.

Summary

Capturing business requirements early during stakeholder discussions is crucial for category managers to develop supplier selection criteria and KPIs, even if a formal Business Requirements document is not required initially. The SAP Category Management solution aids this process by allowing you to document requirements using the RAQSCI framework and classify each as either a "need" (essential) or a "want" (optional). This distinction is especially useful in complex areas like IT services to maintain clarity and focus on the most critical requirements.
