Objective

Situation Handling

The Situation Handling Framework optimizes business operations by automatically notifying the relevant users about issues that require attention and resolution. Common examples include:

  • Upcoming deadlines
  • Shipping delays
  • Unposted billing documents
  • Expiring contracts

Users receive situation alerts through several channels:

  • Notifications in the SAP Fiori Launchpad
  • Email alerts
  • The My Situations app
  • Directly within the application where the situation occurred

In SAP S/4HANA Cloud, many situation handling templates are active by default. For instance, templates can notify you when a migration object is ready for processing or when a data migration task is complete.

Situation Handling (31N) is a standard business process available in the SAP Signavio Process Navigator. It must be configured in the customer's SAP S/4HANA Cloud Public Edition system following the provided setup instructions and test scripts.

To ensure full access to the My Situations and My Situations - Extended apps, assign the Employee business role to all relevant staff members.

Within each Line of Business (LoB), partner configuration experts should evaluate which templates are relevant and distinguish between those enabled by default and those requiring manual activation.

For templates not enabled by default, consultants should collaborate with customer LoB experts to determine if they are needed. This activation process typically involves:

  • Building functional teams
  • Assigning team members
  • Defining specific responsibilities and member functions using Responsibility Management

We strongly recommend activating all templates relevant to the customer's business processes. Situation Handling is a key feature of SAP S/4HANA Cloud designed to improve efficiency by identifying issues early and providing actionable resolution suggestions.

Situation Handling Frameworks

Situation Handling offers two frameworks that can operate simultaneously: Standard and Extended. The following graphic illustrates their shared capabilities and functional differences. Detailed setup guides are available on the SAP Help Portal:

Automatic resolution of situations requires the Intelligent Situation Automation service, which runs on the SAP Business Technology Platform.

This service requires a separate license. Project managers and executive sponsors should evaluate the business need for this service to determine if it should be integrated during the SAP S/4HANA Cloud implementation phase.
