Describing Form Template Settings

Objective

After completing this lesson, you will be able to describe the additional settings located in Form Template Settings.

Form Template Settings

Form Template Settings allows you to manage different elements of a form’s behavior. For example, showing/hiding the delete button on a form, setting the timing of reminder emails, or enabling print button options can be found here.

Form Template Settings are accessed from two locations:

Some template settings, when changed, will apply to existing forms (forms that have already been launched), for example, Enabling/Disabling the Print button. Other template settings only apply to new forms created from the template after the change, for example, Changing the Route Map. This is important to note when making edits to the form template settings. Below are brief descriptions of the form template setting fields.

Note

Commonly used Form Template Settings or fields within Form Template Settings that give functional information cannot be modified. For example, the Template Type field is informational and will display as either a 360 Review Form or a Performance Management Review.

Common Form Template Settings

Form Template ElementDescription
Template TypeIdentifies the kind of template, for example, a 360 review template or a Performance Management Review template. This is a read-only field that is also displayed on the Manage Templates page, which lists all templates in the system.
Routing MapIdentifies which route map is associated to the form. You may only choose from existing route maps. A new form must be launched to see the new route map.
Show Participants in Status Summary (Applicable to Anonymous 360’s Review only)When you select this option, you allow participant names to be displayed on the participant list during the evaluation phase. Names are displayed in a random order, with no way to correlate the names with actual reviews, ensuring anonymity is not compromised.
Enable 360 Review Detailed Report PermissionThis feature enables those who have access to the detailed report, which is the output of the 360 Reviews. Usually, managers and HR have this access.
Hide Detailed 360 Review Report link unless X participants complete their formsThis feature allows advanced anonymity protection for detailed review access. Report details can only be seen by the participant if a predetermined number of participants have completed the form.
Automatic Process Owner Change to New Manager to In-Progress Documents When Old Manager is Process OwnerSelect this feature to allow the process ownership to be automatically moved from the former manager to the new manager.
Add New Manager as Participant to In-Progress Documents When Old Manager is Process OwnerWhen transferring 360 review documents that are in the evaluation stage, add a new manager as a participant.
Form Template ElementDescription
When transferring 360 review documents from an old manager’s inbox folder to a new manager, do not auto decline old manager’s participant forms in evaluationThis feature allows a former manager to be a 360 Review participant when the employee is transferred to a new manager.
Disallow further invitations when a user has already been invited to rate XX formsLimit the number of times an individual can be requested to be a participant for a 360 Review. Configure the maximum number of times that a user can be invited to be a participant for 360 Reviews. When adding participants, if the newly added user is going to exceed the maximum number set in form template settings, an error message will pop up preventing the participant from being added.
Enable Add New Participants after 360 Review Evaluation starts for (selected roles)You can decide which roles are allowed to add more participants during the evaluation phase. This feature gives you the ability to add new participants to a 360 review after the evaluation has started. It does not enable you to add participants to a 360 review that has been completed by all participants. The available roles that can be granted permission are: Process Owner, Manager/HR, Employee, and Approvers.
Hide the "decline to participate" button on the 360 review formThis feature is helpful if you want to control who is able to decline to participate in the process. For example, these options could be set so that the decline to participate button is hidden for the subject but available for all raters. In this case, the employee would be required to provide a self-evaluation, but raters could opt out of the review. Available roles this button can be hidden for are: Process Owner, Manager/HR, Employee, Approvers, and All raters. This feature can be used to prevent raters from declining due to minimum thresholds for rater type that might be set in the form template.
Participants Threshold ControlAllows you to exclude responses at the item level (by Competency) or at the participant level. Options available are: Participant Level or Item Level.
Form Template ElementDescription
Enable 360 Review Add External Participants SectionIf Enable Use of External Users has been turned on in the back-end by a consultant, you will have the option of selecting this checkbox. This allows 360 Reviews to be sent to external participants – participants outside the SAP SuccessFactors system, for example, hourly employees, customers, contractors, and partners.
Enable Gap Analysis View from Detailed 360 Review ReportEnables the gap analysis report in the detailed 360 review reporting.
Enable Rank View from Detailed 360 Review ReportEnables the rank view report in the detailed 360 review reporting.
Show Display Options in Graphical Summary ViewSpecifies which sections users see by default in the Graphical Summary view of the Detailed 360 review report. If this option is selected, users will only see the selected sections by default, but will also be able to select any other available sections. This option applies only if the Show Display Options in Graphical Summary View is selected. This change applies to both existing and newly created forms.
Hide Radar Charts on Detailed 360 ReportHides radar charts on the Detailed 360 report.
Enable enhanced Detailed 360 Review Report anonymityHides categories in the comments section of the Detailed 360 review report.

Modify Form Template Settings

Business Example

In this exercise, you modify form template settings on a form.

Steps

  1. Navigate to  Form Template Settings using Action Search.

  2. Open the template you have been editing in previous exercises.

  3. If not already enabled, select the following checkboxes:

    • Automatic Manager Transfer
    • Automatic Inbox Document Transfer To New Manager
      • Manager
      • Matrix Manager
    • Automatic En Route Document Transfer To New Manager
      • Manager

    • Automatic Process Owner Change To New Manager For In-Progress Documents When Old Manager is Process Owner (Only for 360)

    • Enable Legal Scan
    • Disable Legal Scan On Route
    • Enable Writing Assistant
    • Disable Ask For Edit Routing
    • Disable Delete button
    • Hide the Non-removable checkbox on a form in the Modify stage
    • Show Participants in Status Summary (Applicable to Anonymous 360's only)
    • Allow Re-Selection of Removed Participants to Feedback Team after 360 Evaluation starts

    • Disallow further invitations when a user has already been invited to rate 5 forms. (The option will be regarded as disabled if the maximum number is set zero.). If the maximum invitations are exceeded : Display warning and allow
    • Inherit Permissions through Send Copy
      • 360 Detailed Report Permission
      • 360 Drilldown Permission
    • Disallow users from changing the Start Date
    • Disallow users from changing the End Date
    • Disallow users from changing the Due Date
    • Enable form routing to previous step
  4. Choose Update Form Template.

  • With Form Template Settings, you can manage different elements of a form’s behavior, such as showing/hiding the delete button on a form, setting the timing of reminder e-mails, or enabling the print button options.
