Reviewing the Detailed 360 Report

Objective

After completing this lesson, you will be able to review the Detailed 360 Report functionality.

Terminology

TermDefinition
Performance FolderLocation in the instance where both 360 Reviews and Performance forms are collected for users who have access. From the main navigation menu, choose Performance. The main landing page is My Forms and has a window on the left-hand side of the screen with links to, for example, All Forms, In Progress, and Completed. These are the Performance folders where forms at any step in the route map are collected.
Aggregate ScoreAverage of all combined ratings. All raters that submit a review form for the subject of the form contribute to the overall aggregate score.
DrilldownAbility to click into something and access layers below the surface layer. In the context of Detailed 360 Report, drilling down is used to view performance ratings that are driving a visual representation of employee performance.
GapThe difference in scores between raters.

The Detailed 360 Report

The Detailed 360 Report provides a comprehensive overview of ratings collected during the review period. After the manager submits their ratings, the report will be accessible in the manager’s En Route performance folder. After all participants have submitted their evaluations or declined to participate, the form is then moved to the manager’s Completed performance folder. The Detailed 360 Report offers multiple views (reports) to provide a holistic perspective on an employee’s strengths and weaknesses. These views include:

  • Graphical Summary (default view)
  • Gap Analysis View
  • Hidden Strength and Blind Spot View
  • Rank View

Note

The Hidden Strengths and Blind Spots are displayed in the same view but in different sections when opening the Detailed 360 Report.

To access the Detailed 360 Report, navigate to Performance from the main menu. Select the Completed folder and choose a completed review form of a direct report. After clicking into the review form, find the Open Detailed 360 Report link in the Evaluation Summary section. You can also access from the Actions button.

Permission to View Reports in Form Template Settings

Permission to view the Detailed 360 Report is typically granted to managers, but may also be granted to additional roles, like Process Owner or Approvers, through Form Template Settings. It is also possible for the manager to send a copy of the form to another person and have that user inherit the manager’s permissions to view the reports.

The forms titled Anonymous are set to obscure raters’ names for confidentiality, but the manager is still able to review each individual form’s ratings and comments. This can be helpful to review before providing information to the employee to make sure there is no hurtful or malicious feedback. The process owner would still be able to see some basic information about the participants on the Rater List during the Evaluation, Completed, and Signature (if applicable) stages. The option Show Participants in Status Summary (Applicable to Anonymous 360's only), should be selected in Form Template Settings.

To customize permissions for the Detailed 360 Report, navigate Form Template Settings from the Action Search or the Admin Center.

Graphical Summary Report

This report provides an overview rating of each individual competency that was rated. Each of these reports will include both qualitative feedback and quantitative ratings. There are several sections of this report, including:

  • Settings: Includes a variety of display options that you can enable or disable for the Overview and each of the ratable sections (Competencies, Skills or Goals), the following options:
    • Descriptions: To show or hide the ratable item descriptions (like Competency or Skill descriptions)
    • Comments: To show or hide the comments.
    • Rating Sources: To show or hide the categories of raters on the bar and radar charts.
    • Rating Scores: To show or hide the numeric ratings on the bar and radar charts.
    • Rank by: To determine how the results should be ranked on the view.
    • Display in bar chart: To select which participant categories should display in the bar chart, including comments or expected ratings per competency, skill or behavior.
    • Display in radar chart: To select which participant categories should display in the radar chart.
  • Overview: Displays the average overall rating by rater type as well as ratings categorized, and a radar chart for each Competency section. There are also minimum and maximum ratings.
  • Analysis by section (for example, Competency Feedback): Displays all of the raters’ ratings and comments by competency, in a card view.
  • If rollup categories are defined, responses are grouped together.

Note

Administrators can enable a switch in Form Template Settings to Hide Radar Charts on Detailed 360 Report, if desired. This feature may be used when attribute names are lengthy and affect chart readability. This switch is turned off by default.

In the figures below, you can see examples of a Graphical Summary Overview and the Competency Feedback Section.

Gap Analysis Report

This report identifies discrepancies between any two groups of ratings. Customers may choose the categories or groups that should be compared. For example, a user may choose to compare the self-assessment against the manager's assessment, or the self-assessment against the direct reports’ assessments.

In this report, there are settings at the top where we can turn on/off descriptions, select and compare between rater categories, and identify rating differences to analyse. There is also an overview (gap analysis from the Overall Rating) and an option to compare individual ratings for each competency or goal section.

Hidden Strength and Blind Spot Report

These reports allow the viewer to see where there is a significant difference between self-assessments and all other assessments. Hidden strengths are when an employee rates themselves low on a competency, but the other raters found this person to be very proficient in the competency.

In contrast, blind spots are when an employee rates themselves high on a competency, but the other raters found this person to be lacking in the competency. This is indicative of a potential development opportunity and the SAP SuccessFactors Learning tool could be used to assign development materials to the employee.

Rank View Report

This report displays the employee’s competency ratings from highest to lowest and lowest to highest, to easily identify strong points and development areas. The ranking display can be controlled by selecting and deselecting the boxes in the legend for additional customization.
