Classifying Documents

Classification

If you want to find a document, you usually want to use parameters that describe it clearly, rather than the document key. The SAP classification system is used for this purpose. You define characteristics and characteristic values that describe your original clearly. These characteristics are assigned to a class, and the document is classified in this class. Search parameters are consequently available in the form of characteristics.

If you want to find a document, you usually want to use parameters that describe it clearly, rather than the document key. The SAP classification system is used for this purpose. You define characteristics and characteristic values that describe your original clearly. These characteristics are assigned to a class, and the document is classified in this class. Search parameters are consequently available in the form of characteristics.

If additional information is required in the document info record, the classification is also used because this information is created as characteristics and assigned to the relevant class.

The characteristics can be defined as required characteristics so that the info record can only be saved after the characteristics have values assigned to them. You can use object dependencies to disallow unwanted combinations of values. Characteristics can be set with a default value. You can set a default value for the class, and the class type, for each document type in Customizing. This class and its characteristics are then the default for when you create a document info record.

The last named point is the most unknown one. When you classify a material master, you have to choose the right characteristic values. As an additional information, you are able to open a file, which is linked to a document. Doing so, you have to assign a document to a characteristic, or a value. This is NOT an object link. You are only able to link one document to a character and one to one value.

Classification System Functions

Classification functionality can only be used after some initial work. You need to consider which attributes (characteristics) best describe the product/file when creating classification data. To do this, first create characteristics, then provide them with specific characteristic values.

Rather than being assigned directly to the object (the document, for example), these characteristics are assigned to a class. The SAP S/4HANA system is organized by using different classes with different class types. The relevant objects are assigned to the classes. A document should always be added to another class (class type) as a material master. The document in which a characteristic value is selected is then classified. You can now search for documents using the characteristics and their values.

Work with document classification

Introduction

In the previous task, you created documents with both internal and external number assignment. This is done in the same way as for the material. Materials are also created in your group with internal or external number assignment. For both object types, the question now is how easy it is for you to find the objects. The classification could be used for this.
