ArchiveLink and DMS

In the context of SAP document management, you create document master records that can then be linked to materials, bills of materials, routings, or production orders.

The document master record includes several files that are stored in the SAP HTTP Content Server and are thus available to all associated objects.

At the end of the process, you check whether archiving the corresponding SAP objects is necessary.

In doing so, you also consider archiving the files currently in productive use on the Content Server.

Against this background, you evaluate the various archiving options in SAP document management.

How to use ArchiveLink for DMS

Introduction to Archive Link and DMS

The following section illustrates how Archive Link can be used in SAP.

First, a file archiving for an FI invoice document is demonstrated.

Subsequently, a file archiving in SAP document management takes place.

Task 1: Perform an Archive Link scenario for a FI object

Archive Link is connected to many SAP objects. Let's take an invoice document as an example:

You receive an external invoice, for example in the form of a PDF. Now you open the corresponding FI object. You use the object services to link the external PDF with the SAP object. During this connection, the PDF is also stored in the connected archive. At the end of the process, you also have the option to archive the SAP invoice document.

Task 2: Perform an Archive Link scenario for a DMS object

So far, Design Engineer Anna has been responsible for document management and the standardized storage of files in the SAP Content Server.

Due to the discontinuation of certain product lines, the archiving of the corresponding files is currently being evaluated.

The aim is to gain a comprehensive overview of the existing storage structure of the Content Server and to compare it with the archiving options via Archive Link.
