Working with General Data

Objective

After completing this lesson, you will be able to understand the Frontend Type and check the Knowledge Provider settings.

General Data

Frontend Type

General Data within Customizing, is relevant for all technical issues, regardless of document type.

In Customizing for General Data, you also have to define the front-end type. This setting is invisible to the end user, but it is crucial which operating system is used to start which programs.

First, enter all of the front-end types in theDefine data carrier type:Server Front end detailed entry.

The Front-end type is a central element inside DMS:

  • The Front-end type has to be selected inside the document info record. This is only possible, if your PC network address is added in customizing and you do not work with the Default entry.

  • The Front-end type is defined inside customizing. In addition to the description, you could specify a path indicating where the original is stored when it is displayed. The best decision is to not have an entry. Then, the operating system, like MS Windows, decides where the file is displayed. For MS Windows, the display path is set in the environment variables.

  • When you display the files, the files are only copied to the given path, because the real original is still stored in the secure storage area.

  • How does the system decide between the Default entry and a selectable Front-end type? In your local PC’s environment variables, define the variable-hostname and connect it to your PC’s network address. This connects your PC to the SAP System. If you start the document info record from a named PC, SAP uses the appropriate front-end type. For further help, consult SAP Help.

  • In the Customizing section "Workstation Application," link different front-end types with Display or Change workstation applications.

  • Previously, different front-end types were used for different operating systems. Now, you can connect various front-end types to specific groups within your company.

External document management system allows you to define an external DMS such as an internet server.

Use the Define mount points / logical drive option to define a network drive (data carrier) for original storage. These drives depend on the front-end type. When assigning an original using a logical drive in the document info record, a selection of possible data carriers is presented.

Knowledge Provider

The Knowledge Provider (KPro) is the optimal tool within the SAP System for securely storing your files. KPro itself is not a storage system; it provides the necessary services for managing storage efficiently.

Comprehensive KPro customization is located in the SAP NetWeaver Customizing area. Within the Document Management System (DMS) section, you will only find the definitions for storage systems and storage categories.

Work with Knowledge Provider

Introduction

Your Basis administration has provided you with two KPro repositories for Document Management.

You would like to display these in Customizing to gain a deeper understanding of the two repositories.
