After completing this lesson, you will be able to find documents with the classic document search, the HANA search and the use of the product structure browser.

Searching a Document

Document Search

If you do not remember the document number of the document that you want to open now, you must perform a document search. You can use either the normal matchcode or a special search transaction to do this.

Now let's have a look at the search transaction.

HANA Search

The HANA search function inside SAP Fiori launchpad enables you to search for documents. You can use the document search to search for an existing document across different business objects configured in your system.

The benefits of document search include:

  • Easy access of search fields from every page

  • Support for "wild" characters

  • Ability to filter search results

Components and dependent applications of Document Info Records, Document Info Records Attachments, and Document Info Record Structure in SAP S/4HANA. It lists key attributes and associated apps for creating, changing, displaying, and searching documents and their structures.

Limitations

A few things to consider before you search for any DIR:

  • Object link search for documents is not supported on the following objects:

    • Documents associated to a material BOM

    • Documents associated to a product structure node

    • Documents associated to a product structure variant

  • On display of the search results, you can narrow down the search results by filtering. From the search results, you can go to different applications depending on the search you used.

Product Structure Browser

You have now created several master data for your forklift prototype in SAP.

Most of the master data is related to the material. The material has object-linked documents, is classified, or is the header material of BOMs and routings. This master data can now be displayed together at a glance.

To do this, you use the product structure browser.

You are able to display attached files of a document inside the browser or standalone.

You are able to add another object and compare them.

You are able to change the layout and add additional document or object information inside your screen.

If you work in a multi-SAP S/4/HANA environment, you are able to use this browser as a cross-system browser. Doing so, you have to define a filter which contains ALE or RFC destinations.

Work with document search

Introduction

If you have created a large number of documents in the SAP system and want to change them again, you may no longer remember the document numbers.

Therefore, there are several options for searching for documents. You can execute the classic matchcode or call a search transaction.

You can also use the SAP HANA search in the SAP Fiori launchpad. In this case, you enter terms and the appropriate documents are found.

Finally, you can also use the product structure browser. This is used to display all object dependencies on one screen. The objects that are displayed also include documents.

Task 1: Search Documents

If you now search for existing documents, a separate search transaction is available. This provides you with options such as searching for the claim handler, the status, or possible object links.

Task 2: Search with the HANA search

Since you are working with the SAP Fiori launchpad, the HANA-based search is available. You can use these cross-object or object-specific, such as the document info record. You simply search for terms that appear in the document or file name.

Task 3: Evaluate Documents within Product Structure Browser

You can use the product structure browser to map object dependencies of a material. This includes the BOMs in the same way as the routings. Documents are connected to all of them.
