Explaining Candidate Profile and Application

Candidate Profile

A Candidate Profile stores data about a candidate's former experiences and skills and can be considered the candidate’s online resume. Each candidate, internal as well as external, has one profile.

Information collected on the candidate profile can be used later for a candidate search.

Candidate Profile Synchronization

Candidate Profile Synchronization with People Profile: Information available on the People Profile can be synchronized with information on the Candidate Profile for internal employees. Once the synchronization is enabled, the information will sync in real time.

If a field in the Candidate Profile is synchronized with a field on the People Profile, the permission for this field is the same as defined in the People Profile (for example, an employee can edit the address field, they will be able to edit that field on the Candidate Profile as well). These permissions are set via Role-Based Permissions (RBP).

Candidate Profile Synchronization with Candidate Application: Similar to the data synced with the People Profile, Candidate Profile data can also sync with the Candidate Application. If a field defined on the Profile is also defined on the application, the field will pre-populate once the candidate proceeds to the application.

The documents uploaded in the Candidate Profile can be made available and synchronized in the application. Documents added or deleted in the application can be synchronized with the Candidate Profile.

Candidate Application

The Candidate Application is filled out when a candidate applies for an open position. The application contains any questions set up for the position, a place to upload a cover letter and résumé specific to the job, or additional information requested.

The Candidate Profile and Candidate Application can exist independently or be configured to be interdependent. Candidates do not need to have completed profiles when searching for a job; they will be prompted to complete the candidate profile when applying for a position. You may configure SAP SuccessFactors to require that the Candidate Profile be filled out before or after completing the application.

Displaying Different Fields to Different Applicants: The Candidate Application can be configured to control which fields are displayed for internal versus external candidates and which fields are displayed to the candidate based on the country where the job is located. This functionality can be used to collect specific information about a candidate that may be required by local law. It is also useful to ask specific questions to internal or external candidates.

Pre-Screening Questions: When the requisition includes pre-screening questions, candidates applying to the job will be presented with these questions at the bottom of the application during their initial application. If some questions are set up as cascading, more questions may appear as the candidate completes the visible questions. Pre-screening questions cannot be configured to be displayed only to specific sets of applicants. Once the question is configured on the job requisition, it will be visible to all applicants who apply for the job.

Multistage Candidate Application: The fields available to a candidate or recruiting user vary, depending on the application status. The candidate completes a set of application data at the initial application stage and can be granted permission to edit that data or access other fields depending on the application status. Recruiting users can view and write to different fields depending on the status of the application.

Quick Apply Application: The goal of the Quick Apply application is to provide customers with an option to have their candidates complete the job application without creating a Candidate Profile, simplifying their candidate experience. When this feature is enabled, candidates will be asked to provide an email and password to create an account, and all application fields will be shown on one screen. This can help recruiting organizations reduce the time candidates take to complete their applications.

Additionally, if a candidate uses an email ID/Username already in the database, the following error message displays: Email ID/Username already exists. Please sign-In.
