Recruiting Roles

Before you begin configuring your requisitions with a consultant, it is important to establish the roles that your company will use throughout the Recruiting process. These roles will have different responsibilities and permissions, so it is imperative to understand them before beginning the process. These roles will remain in place from requisition approval to candidate review to offer. The actual roles and responsibilities will vary from one organization to another. During implementation, you will work with your SAP SuccessFactors consultant to name and define these roles for your organization.

By default, SAP SuccessFactors allows for roles such as:

  • Originator
  • Hiring Manager
  • Recruiter
  • Recruiting Coordinator
  • Recruiting Sourcer
  • Second Recruiter
  • VP of Staffing
  • All Approvers

You can label these roles as long as they remain consistent throughout your recruiting system. When you establish these roles within your recruiting system, it is also important to identify which will have permission to view or modify (read and write) the requisition as it moves from origination to pre-approved to approved and then to closed.

Job Requisition Route Map

Route Maps are used to determine the approval path of a new requisition. The user who creates the requisition completes the initial data and then sends the requisition to the user who owns the next step. The user reviewing the requisition may add or adjust requisition data, depending on permissions, and then send the requisition to the user who owns the next step.

Steps of a Route Map

Each of these stages contains steps. You can edit the Step Name, Step Description, Step Type, Reviewer Roles, and Dates in the Modify Stage.

Step Type describes the way the form is routed.

Step Types include:

  • Single Role: Assigns the form to a single role or user.
  • Iterative: Assigns the form to more than one person. This allows multiple people to loop back and forth before moving on to the next step.
  • Collaborative: Assigns the form to two or more users simultaneously. This allows multiple people to open the form at the same time.

Nominating the job requisition approvers: Recruiting operators are selected as approvers by using the route map created for this task.

Assigning Roles

  • Entry: Specifies who receives the form first in an iterative step.
  • Exit User: Specifies who is assigned to route the form to the next step in an iterative step.

Job Requisition Template

In SAP SuccessFactors, the requisitions created by your users are based on templates that are defined during configuration. A Requisition Template defines the fields your users will fill out for their requisitions and the read/write permissions for each role. A workflow is associated with the template by selecting a route map from the drop-down menu on the right.

The configuration of the requisition template highly depends on your company’s hiring policies.
