Explaining the Process to Create a Job Requisition

Objective

After completing this lesson, you will be able to create a new job requisition.

Job Requisitions Creation Options

The options for creating a new requisition are as follows:

  • Copy existing job requisition
  • Browse Families & Roles
  • Create a new job requisition from a blank template

These options are controlled in Role-Based Permissions (RBP) and are considered reverse permissions. This means these options automatically exist, and the permission turns the option off.

This screenshot shows the three options for creating a new job requisition from the Job Requisitions tab in Recruiting.

Requisition Fields

The fields on the requisition template can be configured to match the needs of your business process.

Generally, these include data such as requisition number, position number (for job requisitions created via the Succession Org Chart), status, location, title, description, posting details, etc.

This will be discussed in more detail during the configuration with your consultant.

This screenshot shows an example job requisition highlighting some of the fields.

Field Types and Picklists

When deciding the requisition fields, field types, help text, and picklists become important.

Field types may be a date, text, text area, picklist, or others, depending on the standard field guide.

Custom help text is also easily configurable from the Admin Center.

Picklists are housed in the Picklist Center.

The Picklist Center requires using the Metadata Framework (MDF) and Role-Based Permissions (RBP).

This screenshot shows an example of additional requisition fields that include a picklist.
This is a screenshot of Picklist Center used by administrators to add new picklists, update existing picklists, and import or export picklists.

Job Posting Headers and Footers

When a new requisition is created, a job posting header and footer should also be entered to provide context about the company and any other details. This content is often standard information about your company that is included in each job posting.

Multiple headers/footers can be created in the Admin Center to contain content relevant to different positions (graduate jobs versus experienced hires, etc.). You can create a different header/footer for internal and external postings or keep both descriptions the same.

This screenshot shows you can update the default header and footers included in job requisitions.

Recruiting Route Map

Each newly created requisition will follow a workflow to move through the approval process. An SAP SuccessFactors Route Map controls the workflow. You may create a route map using the Action Search to find Manage Route Maps. A route map establishes the steps and the parties involved in the requisition setup and approval process. It specifies the order in which a form moves from one employee to another and what employees can do during each step.

This screenshot shows a route map for a job requisition, where steps for the workflow and approval process are established.

Question Library

When creating the requisition, you can add pertinent hiring questions to ask the candidate. These questions can come from a central library, or the user can create questions specific to that requisition. These questions can only be uploaded as a comma-separated version (.csv) file.

You can upload questions through the Admin Center page. You can also manually enter questions individually on the requisition page. Uploading a .csv file is the fastest way to get many questions into the system simultaneously.

This screenshot shows a question library in Admin Center where job requisition questions can be added or edited.

Adding a Requisition Question

When adding questions, you should also consider the responses that would disqualify a candidate from moving forward in the recruiting process. You can create questions with a yes or no response (such as Are you authorized to work in the United States?).

This screenshot shows the UI for searching and adding requisition questions.
