Sales Quotes Management Configuration

The configuration menu for sales quotes management shows options for Mobile Administration and sales quotes with subcategories listed.

The Sales Quote processing plays an important role in offering products or services to customers and prospects under specific terms and conditions. It involves presenting Sales Quotes to existing customers, prospects, or potential buyers. Also, enabling them to review the costs related to the products or services your company offers.

Let's look at the configuration of Sales Quotes in SAP Sales Cloud Version 2. Find all the settings for Sales Quotes using path User MenuSettingsAll Settings, then search for Quote.

Alan, as an Administrator, configures and customizes its usage based on Best Run Bikes' requirements.

Configure the following features:

  • Document Type
  • Item Type
  • Reason for Progress
  • Party Schema
  • Number Range
  • Visualization of quotes in the mobile application of SAP Sales Cloud Version 2.

Configure Document Types for Quotes

Document types define the different types of quotes, such as standard and custom. Each document type has its own unique characteristics, workflows, or rules.

Configuring document types allows for improved classification and management of quotes based on their purpose or specific business needs.

The screen for managing Document Types highlights how to add, activate, and configure properties for a standard sales quote document type. It includes Active, Description, Default activation, Item Increment, and Internal Pricing options.

Alan configures the following options when keeping the Document Type for quotes

  1. Create new entries for extra quote document types
  2. Activate or deactivate existing document types
  3. Change the description
  4. Set the default document type
  5. Change the item increment
  6. Set the internal pricing as:
    • "On," for External Pricing Simulation.
    • "Off," for External Pricing Simulation.

    Note

    Customized Document Type codes need to start with the identifier "Z."

Set up Item Types for Quotes

The Item Types configuration view enables adding new types and activating or describing existing products for text item types.

Item types refer to the different products or services included in a quote. By configuring item types, businesses define specific attributes, pricing conditions, and restrictions for each product or service type. This customization guarantees correct pricing and availability information for each item in the quote.

Alan configures the following options when keeping the Item Type for quotes:

  1. Create new entries for extra quote item types.
  2. Activate or deactivate existing item types.
  3. Change the description.

Configure Reasons for Progress in Quotes

The Reasons for Progress configuration highlights the status options for Progress, showing the description, and adding or activating a reason.

Configuring reasons for progress offers a customizable list of options that users can select. It helps to indicate the specific reasons for a change in a quote's progress status. Tailor these reasons to align with the organization's sales processes and offer improved insights into the underlying factors influencing the progression or outcome of a quote.

Alan configures the following options when keeping the Reasons for Progress:

  1. Create new entries.
  2. Activate or deactivate existing values.
  3. Change the description.

Note

Customized Reason for Progress codes need to start with the identifier "Z."

Set up Party Schemas for Quotes

The Party Schema settings for sales quotes show how to add roles, set roles as active or mandatory, and do actions on assignments.

The party schema configuration determines the structure and organization of parties involved in the quote process. Parties include customers, prospects, contacts, or other entities related to the quote. The party schema defines relationships between parties, their roles, and the information captured for each party. This configuration improves the ability to manage and track the parties involved in the quote process.

Alan configures the following options when keeping the Number Range for quotes:

  1. Create the Party Role Assignment
  2. Activate or deactivate certain values
  3. Select which party role is mandatory
  4. Review the determination steps of each party role and activate or deactivate steps based on the requirements (

    Note

    The current release doesn't allow creating a new party schema and replacing the standard one.

Configure the Number Range for Quotes

The Number Range configuration page allows editing the Prefix and the numeric range for sales quote documents.

The system uses the number range to assign unique numbers to database records, including a predefined set of unique character strings.

Alan configures the following options when keeping the Number Range for quotes:

  1. Edit the Number Range
  2. Keep the Prefix
  3. Keep "From" and "To Range."

Set up the Mobile Screen for Quotes

Mobile screen configuration focuses on adapting the quote functionality for mobile devices. By customizing the mobile screens, businesses maximize the quote management experience for sales representatives who mainly work on mobile devices. It guarantees a smooth and user-friendly experience when creating, updating, or reviewing quotes on the go.

The Header fields configuration for a sales quote enables users to define the detail fields, such as KPI, among others.
