Simplifying Communication Channels

Objective

After completing this lesson, you will be able to apply strategies to simplify communication channels, reduce redundancy, and improve organizational communication

Email Outbound Scenarios

In SAP Sales Cloud Version 2, the system manages outbound emails in two distinct ways, manual and automatic. These scenarios address different needs and situations throughout the sales process.

Manual Emails

The diagram shows the manual emails, including the email creation, manual sending, and recipients.

In the manual email scenario, sales representatives send emails to customers based on specific business requirements.

This gives them a high degree of control over their communication with customers. When engaged with activities such as working on Leads, Opportunities, or Sales Quotes, these sales professionals compose and send emails directly from within the system's email editor, which is conveniently accessible from the respective objects. Moreover, this manual email process allows them to use predefined email templates when applicable, saving time and guaranteeing consistent communication.

Automatic Emails

The diagram shows the admin creating a workflow, how to trigger conditions, and recipients.

The automated email scenario involves system administrators setting up SAP Sales Cloud Version 2 and automatically sending emails based on predefined conditions. The system detects these conditions in response to specific events, activities, or data changes. When the system confirms these conditions, it handles the process and sends emails without needing manual input from sales representatives. This automated method simplifies communication and guarantees timely customer interactions. If a customer reaches a particular stage in the sales pipeline or hits certain milestones, the system automatically sends emails with relevant information or updates.

Send Manual Emails from Different Objects

The diagram illustrates how sales representatives send manual emails to various objects and channels in the SAP Sales Cloud Version 2, and how customers receive them.

Sales representatives send emails directly from different objects, such as Leads, Opportunities, and Sales Quotes, in the SAP Sales Cloud Version 2.

Leads

The Lead page shows the Compose Email window, highlighting the recipient from Lead Channel.

When sales representatives are working on Leads in the SAP Sales Cloud Version 2 system, they can communicate directly with customers from the Lead object using the embedded email editor.

General Channel for Leads

If the administrator previously set up email channels, including a "General" and a "Lead" channel, sales representatives working on Leads can choose between them. The "General" channel offers a general option for sending emails, while the "Lead" channel tailors communication for Leads. This choice allows sales representatives to select the proper channel based on the context of their communication.

Opportunities and Quotes

The Opportunity page shows the Compose Email window, highlighting the recipient from ”Opportunity Channel. The Sales Quote page shows the Compose Email window, highlighting the recipient from Quote Email Channel.

For sales representatives engaged with Opportunities or Sales Quotes within SAP Sales Cloud Version 2, a similar email communication process is available. However, there are some differences in the options available for selecting email channels.

Opportunity and Sales Quote Channels

Unlike Leads, sales representatives can choose between the "General" and "Lead" channels. When working on Opportunities or Sales Quotes, they need to select from a set of specific email channels. These channels align with specific objects. For example, the system offers an "Opportunity" channel and a "Sales Quote" channel, each designed for communication related to its object.

Email Templates

The diagram shows the manual-to-automatic email transmission for different templates, including branding, response signature, campaign, and feedback templates.

Benefits of Email Templates

In SAP Sales Cloud Version 2, use email templates to simplify the email communication with preset text, graphics, signatures, and attachments. Use email templates for responses, signatures, branding, and campaigns.

Using email templates in sales processes offers several benefits, including efficient and consistent communication. Here are some of the key advantages:

Time Savings:

Email templates offer predefined content and formatting, allowing sales professionals to create emails quickly without starting from scratch. It helps save valuable time, especially when it sends repetitive or routine messages.

Consistency:

Email templates guarantee communication keeps a consistent tone, branding, and messaging. This consistency reinforces the company's image and helps build trust and familiarity with recipients.

Professionalism:

A Well-designed email template improves the professionalism of communications. They offer a polished, well-structured appearance that can positively influence recipients' attitudes toward messages.

Accuracy:

Templates reduce the risk of communication errors. You can correctly include critical information such as product details, pricing, terms, and contact information in every email, reducing the likelihood of mistakes.

Personalization:
