Using Sales Orders

Objective

After completing this lesson, you will be able to explain how to use Sales Order

Sales Orders

A Sales Order is an agreement between a seller and a customer for the sale and delivery of products or services at specified prices, quantities, and dates.

SAP Sales Cloud Version 2 helps record and view sales interactions related to sales orders. It offers three types of maintenance modes for Sales Orders:

  1. Internal: Create, search, view, change, and complete Sales Orders in SAP Sales Cloud Version 2.
  2. Internal and External: Create, search, view, change Sales Orders in SAP Sales Cloud Version 2, simulate and transfer them in SAP S/4HANA. In simulations, receive results for pricing, credit check, and so on. The system also calls Sales Orders with this maintenance mode bidirectional Sales Orders.
  3. External: Replicate Sales Orders from SAP S/4HANA or SAP ERP. Search and view the Sales Orders in SAP Sales Cloud Version 2.

View, Create, and Manage Sales Orders

The sales order dashboard features a filter bar and a list of sales orders, with sorting and actions. It also includes buttons for searching, adding orders, and checking actions.

Landing Page for Sales Orders

  1. Sales Orders List: List of Sales Orders created.
  2. Sales Orders Quick Filter:  Filter the Sales Orders based on Account, Status, Product, and Requested Date - quick filter to list the draft Sales Orders.
  3. Search: Search Sales Orders.
  4. Create: Create a Sales Order.
  5. Actions: Copy, preview, or delete Sales Orders.

View Sales Orders

The sales order summary shows account details, pricing values, status, a list of cart products, and a panel with account buying history.
  • Order Summary: View the parties involved, products, and detailed pricing of products.
  • Account Buying History: Shows the sales earnings for the selected period.

Create Sales Orders

The new sales order form highlights header information, account and pricing details, and a section for adding or editing products in the cart.

Create a Sales Order from scratch or copy from an already existing Sales Orders:

  • SAP Sales Cloud Version 2 automatically saves entered data in draft status during order creation, preventing data loss. Access it later using the query variants My Draft Sales Orders or All Draft Sales Orders in the Sales Order landing page.
  • The system applies internal/external pricing based on configuration.

Simulate and Transfer Sales Orders to SAP S/4HANA

Simulate Sales Order

The sales order detail screen shows account and pricing info, a cart summary, and a drop-down menu with actions, highlighting the simulate option.

Simulate Sales Orders in SAP S/4HANA to get the correct penny-perfect pricing before confirming the Sales Order.

The simulate action allows the system to simulate the order captured in Sales Cloud Version 2 in SAP S/4HANA and return with the following:

  • Correct Penny- Perfect Pricing: Net price, discounts, and net value at the item level; gross value inclusive of taxes and discounts at the header level.
  • Status: Credit status and rejection status.
  • Product Replacement: Get replacements for products that are out of stock or discontinued, if you configured alternates or replacements for the products in SAP S/4HANA.
  • Bill of Materials (BoM) Explosion.
  • Available-to-promise (ATP).
  • Free Goods: Free goods determination supports both exclusive, such as "buy 10 and get one free," and inclusive scenarios, for example, "buy 10 and pay only for 9."

Transfer Sales Orders

The sales order screen confirms transfer, showing summary details, updated pricing, and a drop-down menu with the transfer option highlighted.

Simulate a Sales Order, then transfer it to SAP S/4HANA to replicate your Sales Cloud Version 2 Sales Orders.

Transfer involves the actual creation of the Sales Orders in SAP S/4HANA and triggering follow-up processes configured in SAP S/4HANA. It includes fulfillment and billing.

Once the transfer status finishes, SAP S/4HANA creates the Sales Orders and updates the External ID field in SAP Sales Cloud Version 2 with the order ID.

Note

SAP Sales Cloud Version 2 needs to have an integration set up with SAP S/4HANA as a prerequisite for using Simulate and Transfer functionality. SAP Sales Cloud Version 2 supports simulation for Sales Orders in SAP S/4HANA and SAP S/4HANA Cloud Private Edition.

Create a Sales Order

Let’s watch this video to learn how to create a Sales Order.

Summary

This lesson focused on developing your skills in the following areas:

  • Flexible Maintenance Modes: Supports internal, bidirectional (internal and external), and external modes. It allows you to create, simulate, view, and transfer sales orders, depending on integration with SAP S/4HANA.
  • Efficient Order Management: Create, search, filter, copy, preview, and delete sales orders with an intuitive UI. Also, track draft orders with auto-save functionality to prevent data loss.
  • Rich Order Insights: Each order includes an Order Summary with product details, pricing, and involved parties, along with Account Buying History to understand past customer buys.
  • Simulation in SAP S/4HANA: Simulate orders for "penny-perfect" pricing, credit checks, ATP, BoM explosion, free goods handling, and product substitution, all before confirming.
  • Order Transfer to SAP S/4HANA: Transfer orders to SAP S/4HANA for execution, where they trigger downstream processes, including fulfillment and billing. The SAP S/4HANA Sales Order ID is then updated in Sales Cloud.
