Configuring Workflows in the Project System

Usage and Prerequisites

Claim Management and corresponding workflows have been introduced as of R/3 Release 4.6C, as follows:

  • Close claim (TS20000749), edit claim (TS20000750), approve measure (TS20000751), edit new claim (TS20000754), and approve claim (TS20000907)

Settings for Workflow

SAP has predefined the following standard workflow tasks, which are provided with the Project System:

You can create a work item for confirmation from the information system. The pool of confirmations can be sent to various addresses, for example, to a user or a work center.
Purchase Order Change (standard task TS 20000653)

If you change dates or quantities of material components in a network with externally processed activities, for which a purchase order has already been created, the system automatically creates a work item.

The purchasing agent receives a message in the mail system regarding the changes that need to be made. This person can then make the necessary changes to the purchase order directly from the mail system.

Deviation in the Confirmation is too Large (standard task TS00008015)

If the duration or work exceeds the values you defined in the confirmation parameters in Customizing, the system automatically creates a work item: The MRP controller receives a work item by mail and can display the confirmation or network. The MRP controller can also use the mail system to contact the person who made the confirmation.

In addition to the technical settings for workflows and their activation, the workflows need to be assigned possible agents.

If budgets are exceeded, workflow mails can be sent to the person responsible. In such cases, a system user must be specified for the person responsible in Customizing.

Pools of confirmations will be sent from the Structure/Dates Information System to a position or a person. You can specify the recipient directly in the application when starting the workflow task.

Purchase Order Change and Confirmation Variances Recipients

For the purchase order change and the confirmation variances recipients, you have to maintain two settings to determine the people that will receive the workflow item:

  • Assign possible agents in the workflow task

    • The organizational data you assign in the standard task is the pool of all agents that are eligible for receiving workflow items of this kind. This can be organizational units, positions, users or combinations of these objects. The assignment can be done in the maintenance of the standard task that is accessible via the Workflow system menu.

  • Assign the SAP organizational object type to the organizational unit

    • For example, if you want to process the workflow items generated from a confirmation that exceeds the limit that has been defined in Customizing, you have to assign the MRP controller from the Customizing structure table (organizational object T024D) to the organizational unit that contains the users that represent this MRP controller (group). This can be done by accessing the Create assignments activity for SAP Organizational Objects in the Workflow system menu.

How to Configure Workflows in the Project System
