Importing Users

Objective

After completing this lesson, you will be able to import Users.

User Import Process

User data can be imported from a spreadsheet. This option helps validate the user records with others, check for spelling and values before importing and minimize typographical errors in data input.

Follow these steps to import user data from a spreadsheet.

  1. Navigate to the User Accounts section on the Manage Users page.
  2. Select Add Users.
  3. Select From Spreadsheet. The image displays the Manage Users page with a list of users showing columns for last name, first name, email, and status. The Add Users button is selected, and the dropdown menu highlights the option From Spreadsheet. The page includes a search bar and the view is set to active users.
  4. Select Export to download the list data spreadsheet. The image displays the Manage Users via a Spreadsheet page. It shows three steps: Export, Update Users, and Import. The Export section has a cloud and arrow icon with a highlighted Export button to download the current users spreadsheet. The Update Users section shows an icon of a person and a spreadsheet. The Import section has a cloud and arrow icon with an Import button to upload the spreadsheet.
  5. Open the exported spreadsheet and update your users. The image displays a spreadsheet in Microsoft Excel with user information. The first row contains headers such as Active, First Name, Middle Name, Last Name, Preferred Name, Email, Username for Sign In, and Employee ID. The second row contains sample data for a user named William Never, including their email and employee ID. There is a note at the bottom suggesting to insert more rows for new users if needed.

    Note

Do not delete data in the first two rows. Columns with red headings are required fields. A maximum of 1,000 records can be uploaded per import. If you have over 1,000 users, you must use multiple spreadsheets.
  6. Return to the Manage Users via a Spreadsheet page.
  7. Select Import.Manage Users via a Spreadsheet page is opened. The Import button is highlighted in the Import tile on the right.
  8. Select the updated spreadsheet.
  9. Choose Import to upload.
  10. Review the results.

If all records were successfully processed, the import is complete. If any records fail field validation, close the window and edit the spreadsheet accordingly. Repeat the import. Duplicate items will not be created for records already successfully imported. Only new items are added.
