Assigning User Roles

  • Adjust user parameters to facilitate customizing activities
  • Set up favorites in the SAP System

User Roles

When you work within the SAP system, you are assigned a role based on your function in the company.

A role is a set of logically linked activities that a user performs in the SAP system. Roles are set up to enable working with user-specific menus.

After you are assigned a role, you can choose to create your user menu or use the standard SAP menu. The menu will enable you to access transactions, reports, or Web links on the system easily.

Based on your role and authorizations, you are authorized to access specific business functions and data. Therefore, authorizations determine the specific actions that you, as a user, can execute in the SAP system.

Note

You assign a role to several users with the same task area.

How to Assign User Roles

Log in to the system and assign a role to a user.

Steps

  1. Assign the T_HR305 role permanently to a user.

    1. From the application toolbar, choose the Other menu pushbutton.

    2. In the Single role field, enter T_HR305 and press ENTER.

    3. Choose the T_HR305 role.

    4. Choose the Assign Users pushbutton.

    5. Enter HR305-## ( ## is your group number) as the user ID.

    6. Choose the Add User pushbutton.

    7. If the dialog box appears, choose OK .

User Parameters

Default settings can be created for every user that logs on to a SAP system. These default settings are referred to as user parameters, which help save time in data entry. These parameters can also be set to an individual’s preferences.

Favorites

If there are specific transactions that you need to access frequently, you can set up Favorites. By setting up Favorites, you can access transactions directly, instead of opening the complete tree structure.

You can personalize your initial SAP Easy Access screen in the SAP system by creating your own Favorites list consisting of the transactions, reports, files, and Web addresses that you most often use.

You can add Favorites by dragging items into the Favorites folder.

How to Create Favorites

Save the following transactions as Favorites and rename them to text of your choice: PA30, PA40, SPR0, SA38 and SM30.

Steps

  1. Create Favorites on the SAP Easy Access screen for the Maintain HR Master Data and Personnel Actions transactions.

    1. On the SAP Easy Access screen, choose Human ResourcesPersonnel ManagementAdministrationHR Master Data.

    2. Drag the Maintain transaction to the Favorites folder. Alternatively, on the SAP Easy Access screen, right-click Favorites , choose Insert Transaction , enter the value PA30 .

    3. Drag the Personnel Actions transaction to the Favorites folder.Alternatively, right-click on Favorites , choose Insert Transaction , and enter the value PA40 .

    4. Similarly, enter SA38 , SPR0 , and SM30 in Insert Transaction to add these transactions as Favorites .

    5. Rename the favorite items. Right-click on the transaction you added under Favorites , choose Change Favorites or from the menu path, choose FavoritesChange and rename your transactions to text of your choice.

Create Favorites

Business Example

As part of your job, you need to use some transactions quite frequently. Create Favorites to access these transactions.

Save the following transactions as Favorites and rename them: PA30, PA40, SPR0 and SM30.

Steps

  1. Create favorites on the SAP Easy Access screen for the Maintain HR Master Data and Personnel Actions transactions.

    1. On the SAP Easy Access screen, choose Human ResourcesPersonnel ManagementAdministrationHR Master Data.

    2. Drag the Maintain transaction to the Favorites folder. Alternatively, on the SAP Easy Access screen, right-click Favorites, choose Insert Transaction and enter the value PA30.

    3. Drag the Personnel Actions transaction to the Favorites folder. Alternatively, right-click on Favorites, choose Insert Transaction, and enter the value PA40.

    4. Similarly, enter SA38 , SPRO , and SM30 in Insert Transaction to add these transactions as Favorites.

    5. You can rename the favorite items. Right-click on the transaction which you have added under Favorites , choose Change Favorites, or from the menu path, choose FavoritesChange and rename your transactions.
