Projects

With a manufacturing plant added at a new location, your company has a new structure.

There are also several employees working in the new production plant whose details you need to add to the SAP system. To add the employee details, you need to make a number of changes to the existing system. To do this, you first need to map the new enterprise structure to the SAP system and customize the existing system.

Mapping the New Enterprise Structure to the SAP System

You are a member of the project team involved in customizing the SAP system to meet the requirements of the new manufacturing plan. You need to follow certain project steps to map the new enterprise structure in the system.

Together with project team members from other application areas, you must first define the new enterprise structure.The next step is to make the changes in the system to meet the  human resources requirements in the manufacturing plant.This system configuration is known as Customizing . You may also have to implement additional functions using program modifications.

Note

The members of the project team make settings in the system to adjust the system to meet the company’s requirements of a productive system.

The Implementation Guide

To make sure that you carry out all the project steps required to create a project, SAP provides you with a tool, the IMG. You can use the IMG to store your customer-specific requirements in the system. This is Customizing.

Customizing is a method that supports the following situations:

  • When implementing the SAP S/4HANA system
  • When enhancing the SAP S/4HANA system
  • With a Release Upgrade

Structure of IMG

The steps required for implementing a system are part of the IMG.

Components of the IMG structure include the following:

  • SAP Reference IMG
  • Project IMGs
  • Project view IMGs

SAP Reference IMG

In your delivery system, there is an SAP Reference IMG which contains all the customizing settings.​

Project IMGs

In projects, you retain only those functions that you require. For each implementation project that you create with your required functions, you generate separate Project IMGs .

You create the Project IMG by selecting countries and application components based on the SAP Reference IMG. You can use the project IMG to process customizing steps, project documentation, and project information.

Project View IMGs

To make the project IMG even easier to use, you can create project views. You can also use project views to process Customizing steps, project documentation, and project information. You can use the attributes mandatory/optional/critical/non-critical as a basis for the views, or you can define your own views. By using views you can reduce the number of Customizing steps.

Managing and Executing Project IMG

You can either create a new project IMG or you can make changes to an existing project IMG. These can also be referred to as managing and executing projects.

Project Management

As part of project management, you create new projects. You also change the structure of the existing Project IMGs such as the scope and planning data of projects.

Project Execution

You use project execution if you want to use an existing Project IMG or the SAP Reference IMG to make customizing settings.

How to Create a Project IMG

Create a project IMG, set the start and end dates for the project, assign a user to your project, and then generate the project IMG.

Steps

  1. Create a name (description) for your project. Include your group number in the description.

    1. On the SAP Easy Access screen, choose ToolsCustomizingIMGProject Administration .

    2. Choose Create Project and enter HR305_GR## (for example, HR305_50 ) as the project name.

  2. Enter your name as the person responsible.

    1. Enter a user name in the text box.

  3. Enter today’s date as the start date and the end date as four weeks from the start date of the project.

    1. Choose the start date in the start date field and end date in the end date field.

  4. You need to assign the following data on the relevant tab pages:

    • Enter your user ID, select one other user from the course, and enter their details in the list.
    • Assign the status values as: In process , Finished , Review planned , and Not relevant .
    • Assign key words as: HR - Human Resources
    1. Enter your user ID: HR305-## ( ## is your group number ).

    2. On the Proj. Team Member tab, assign other team members by entering the details.

    3. Assign status values as: 01 – In process , 02 – Finished , 03 – Quality check done , 04 – In Process , and 05 – Not relevant .

    4. Assign Keyword HR as Human Resource on the Keyword tab page.

  5. Choose the documentation type on the Documentation Types tab.

    1. On the Documentation Types tab page, choose documentation and type Y1 Logs , Decisions .

  6. On the Cross-Ref . tab page, switch off the where-used list.

    1. Select Switch off where-used list .

  7. On the Project Views tab page, enter the details of a view for your project IMG that contains both critical and non-critical mandatory activities. Choose Save without generating the view.

    1. Choose the Project Views tab page. Now choose Create project view .

    2. Enter a name for your view and choose Activity necessity . Choose Continue .

    3. Under Activity necessity , select critical and non-critical mandatory activities, and then choose Save . However, do not choose Generate project views at this point.

  8. On the Scope tab page, choose Specify project scope by choosing application components and countries . Select the country where the course is being held. Select the following HCM components in the application components:

    1. Choose Select countries to include in project scope and select your country.

      Choose Change selection on the Select business application component screen choose Personnel Management and select the following components: Personnel Administration (for your country) and Organizational Structure .

    2. On the same screen under Time Management , select the components Work schedule and Time Data Recording and Administration . Under Payroll , select Payroll for your country .

  9. Save your data, and choose Generate Project IMG .

    1. Save your data, then select Generate Project IMG .

    2. In the subsequent dialog box, deselect the Generate in background indicator, but leave the Generate project views indicator selected.

    3. Choose Continue and wait until your project IMG has been generated.

Create a Project IMG

Business Example

Your company has recently purchased several manufacturing plants. These new plants will have an effect on human resources, and must be mapped to the system. Your task is to create a project IMG to enter and document system settings.

Create a project IMG, set the start and end dates for the project, assign a user to your project, and then generate the project IMG.

Note

It may take some time until the Project IMGs are generated. This depends on the number of users. Usually, such a big amount of different Project IMGs are not generated simultaneously.

Steps

  1. Create a name (description) for your project. Include your group number in the description.

    1. On the SAP Easy Access screen, choose ToolsCustomizingIMGProject Administration.

    2. Choose Create Project and enter ##_S4HR35 (for example, 30_S4HR35 ) as the project name.

  2. Enter your name as the person responsible.

    1. Enter a user name in the text box.

  3. Enter today’s date as the start date and the end date as four weeks from the start date of the project.

    1. Choose the start date in the Start date field and the end date in the End date field.

  4. You need to assign the following data on the relevant tab pages:

    • Enter your user ID, select one other user from the course, and enter their details in the list.
    • Assign the status values as: In process, Finished, In process, and Not Relevant.
    • Assign key words as: HR - Human Resources
    1. Enter your user ID: ##_S4HR35 (## is your group number ).

    1. On the Documentation Types tab page, choose documentation and type Y1 Logs , Decisions.

  6. On the Cross-Ref. tab page, switch off the where-used list.

    1. Select Switch off where-used list.

  7. On the Project Views tab page, enter the details of a view for your project IMG that contains both critical and non-critical mandatory activities. Choose Save without generating the view.

    1. Choose the Project Views tab page. Now choose Create project view.

    2. Enter a name for your view and choose Activity necessity.. Choose Continue.

    3. Under Activity necessity , select critical and non-critical mandatory activities, and then choose Save . However, do not choose Generate project views at this point.

  8. On the Scope tab page, choose Specify project scope by choosing application components and countries. Select the country where the course is being held. Select the following HCM components in the application components:

    1. Choose Select countries to include in project scope and select your country.

      Choose Change selection on the Select business application component screen choose Personnel Management and select the following components: Personnel Administration (for your country) and Organizational Structure.
