Objective

Administrator Tables

In the Organizational Assignment infotype (0001), you can enter three different administrators.

The three different administrators are as follows:

  • Personnel Administrator
  • Time Administrator
  • Payroll Administrator

    The following are the examples of use of an administrator:

    • The administrator (in this instance, the "time administrator") can use standard SAP reports as a selection criterion. This ensures that the time administrator only creates a list of his or her employees.
    • You can print the administrator on the remuneration statement so that employees are aware of the contact person for queries.

You can call the relevant Customizing activity to create administrator groups and administrators. To do this, in the IMG, choose Personnel ManagementPersonnel AdministrationOrganizational DataOrganizational AssignmentDefine administrator .

In the Define Administrator Groups activity, you can call the PINCH feature that determines the administrator group in the Organizational Assignment infotype.  

Administrator Assignment

During Customizing, you enter the administrator for each administrator group. These are the administrators that you want to enter in the Organizational Assignment infotype.

The administrator table stores the following information centrally:

  • Administrator’s name
  • Form of address
  • Telephone number

In addition, you can enter the SAP names, that is, the administrator’s SAP user. When a user makes changes to infotype records, you can use this SAP name to trigger an automatic message e-mail that is sent to the administrator who is responsible for this task.

How to Configure Administrator Tables

Define an administrator and update the master records for the employee who you have already started to hire.

Steps

  1. Define an administrator for your administrator group PA## ( ## is your group number).

    Use your personnel area abbreviation PA## as the name for your administrator group and use A## as the three-character administrator ID. In the SAP Name field, enter your logon ID. This ensures that you receive an e-mail if changes are made to the administrator data.

    1. On the SAP Easy Access screen, choose ToolsCustomizingIMGExecute Project .

    2. On the Customizing: Execute Project screen, choose the SAP Reference IMG pushbutton.

    3. In the IMG , choose Personnel ManagementPersonnel AdministrationOrganizational DataOrganizational AssignmentDefine administrator .

    4. Choose the IMG - Activity pushbutton.

    5. Choose the New Entries pushbutton.

    6. Enter PA## in the Group field , A## in the Administrator field, Admin.group## in the Administrator name field, a form of address and telephone number of your choice in the Title and Telephone no. fields respectively, and HR305-## in the SAP name field.

    7. Choose the Save pushbutton to save your data.

    8. Return to the IMG screen.

  2. Update the master records for the employee who you have already started to hire (personnel number 305992## ).

    Enter A## as the personnel administrator in the Organizational Assignment infotype. Save the data in this infotype and end the hiring action.

    1. On the SAP Easy Access screen, choose Human ResourcesPersonnel ManagementAdministrationHR Master DataPersonnel Actions .

    2. Enter 305992## in the Personnel no. field.

    3. Select Hiring HR305 .

    4. Choose the Execute pushbutton.

    5. Choose the Execute info group pushbutton to restart the hiring action. Select the next record until you get to the Change Organizational Assignment (infotype 0001) screen.

    6. Enter A## in the PersAdmin field.

    7. Choose the Save pushbutton to save the data.

    8. Choose InfotypeExit to leave the hiring personnel action.

    9. Return to the SAP Easy Access screen.

Change the Administrator Table

Business Example

As part of your job, you need to be aware of all the changes in employee data. For this reason, you must know how to change an administrator table.

Define an administrator and update the master records for the employee who you have already started to hire.

Steps

  1. Define an administrator for your administrator group PA## (## is your group number).

    Use your personnel area abbreviation PA## as the name for your administrator group and use A## as the three-character administrator ID. In the SAP Name field, enter your logon ID. This ensures that you receive an e-mail if changes are made to the administrator data.

    Hint

    You may want to add more new administrators than just one, because usually many administrators are defined for a new administrator group.

    1. In the Project IMG S4HR35, choose ToolsCustomizingIMGExecute Project .

    2. On the Customizing: Execute Project screen, choose the Project IMG S4HR35 pushbutton.

    3. In the IMG, choose Personnel ManagementPersonnel AdministrationOrganizational DataOrganizational AssignmentDefine administrator .

    4. Choose the IMG - Activity pushbutton.

    5. Choose the New Entries pushbutton.

    6. Enter PA## in the Group field, A## in the Administrator field, Admin.group## in the Administrator name field, a form of address and telephone number of your choice in the Title and Telephone no. fields respectively, and S4HR35-## in the SAP name field.

    7. Choose the Save pushbutton to save your data.

    8. Return to the IMG screen.

  2. Update the master records for the employee who you have already started to hire (personnel number 305992##).

    Enter A## as the personnel administrator in the Organizational Assignment infotype. Save the data in this infotype and end the hiring action.

    1. On the SAP Easy Access screen, choose Human ResourcesPersonnel ManagementAdministrationHR Master DataPersonnel Actions.

    2. Enter 305992## in the Personnel no. field.

    3. Select the personnel action Hiring Master Data PA.

    4. Choose the Execute pushbutton.

    5. Choose the Execute info group pushbutton to restart the hiring action. Select the next record until you get to the Change Organizational Assignment (infotype 0001) screen.

    6. Enter A## in the PersAdmin field.

    7. Choose the Save pushbutton to save the data.

    8. Choose InfotypeExit to leave the hiring personnel action.

    9. Return to the SAP Easy Access screen.
