Integration Between Organizational Management and Personnel Administration

Integration Activation

The system stores the relationship between Organizational Management and Personnel Administration in Customizing: Personnel ManagementOrganizational ManagementIntegrationIntegration with Personnel AdministrationSet up Integration with Personnel AdministrationExecute and in the Choose activity dialog box, choose: Basic Settings . Use the PLOGI ORGA switch to determine whether or not integration with the Organizational Assignment infotype (0001) takes place.

You can use the PLOGI feature in conjunction with the organizational assignment, such as employee subgroup and personnel area, to specify which groups of employees can participate in integration.

Depending on the system you use in the enterprise, you can use the following ways to activate integration:

  • If you have implemented Personnel Administration and need to re-customize Organizational Management, the system converts the entries in the relevant Personnel Administration tables for the personnel planning objects.
  • If you have implemented Organizational Management and need to re-customize Personnel Administration, you can automatically copy and transfer the existing entries for the Organizational Assignment infotype (0001).
  • If you want to implement Organizational Management and Personnel Administration components again, you do not have to manually enter the data in Personnel Administration as the data that was entered when the systems were previously integrated will be maintained in the Organizational Management component.

How to Activate Integration

To activate the integration between Organizational Management and Personnel Administration.

Steps

  1. To activate the integration between Organizational Management and Personnel Administration.

    1. On the SAP Easy Access screen, enter SPRO in the command field and press ENTER.

    2. On the Customizing: Execute Project screen, choose the SAP Reference IMG pushbutton.

    3. Choose SAP Customizing Implementation GuidePersonnel ManagementOrganizational ManagementIntegrationIntegration with Personnel AdministrationSet up Integration with Personnel Administration .

    4. Choose the IMG - Activity pushbutton.

    5. In the Choose Activity dialog box, select Basic Settings .

    6. The PLOGI ORGA switch determines whether integration is active. The value of X in the Value abbr. column indicates that integration is active.

Result

Integration and the Organization and Staffing Interface

The Organization and Staffing interface is divided into two sections, Object Manager and Workspace.

The Object Manager section has two parts, Search Area and Selection Area and the Workspace section has two parts, Overview Area and Detail Area .

Account Assignment Tab Page

You can set up the following using the Account Assignment tab page:

  • The figure Maintaining a Position: Account Assignment shows you how the system stores the relationships between the positions and the enterprise structure.
  • To depict your enterprise’s cost center hierarchy in the system, you can link the cost centers to the relevant organizational units. You can also link the cost centers to positions.

Working Time Tab Page

The figure shows you how the system stores the relationships between the positions and the personnel structure on the Working Time tab page.

How to Set Up Integration Default Values

In Organizational Management, call Organization and Staffing in change mode and search for the organizational unit CABB or Org.Units Training Group . In the Training International area, you will find the Warehouse and Production organizational unit. This contains the Central Production organizational unit, which in turn contains the ##-Production worker positions ( ## is your group number).

Select the position for your group number by double-clicking it and edit the details for your position. Make sure that the start date in the Specify date and preview period dialog box is set to the first of this month. You should also use this date as the hiring date for the second employee you hire.

Steps

  1. Edit the Account Assignment tab page to assign your production worker position ( ##-Production worker ) to the company code CABB , the personnel area PA## , and your personnel subarea Production (0004) . Leave the remaining fields blank.

    1. On the SAP Easy Access screen, choose Human ResourcesOrganizational ManagementOrganizational PlanOrganization and StaffingChange .

    2. In the Search Area section on the upper-left corner of the screen, choose Find byOrganizational unit .

    3. Enter CABB or Org.Units Training Group in the With name field. Choose the Find pushbutton. The search result is displayed in the Selection Area section on the lower-left corner of the screen.

    4. In the Selection Area section, double-click the Training International organizational unit to display its structure in the Overview Area section on the upper-right corner of the screen.

    5. Choose the Date and preview period pushbutton. In the Specify date and preview period dialog box, enter the first of the current month in the Start date field to change the start date. Choose the Execute pushbutton.

    6. In the Overview Area section, choose Training InternationalWarehouse and ProductionCentral Production##-Production worker.

      Hint

      Make sure that you are working in the Staff Assignments ( Structure ) view. Choose the Goto pushbutton in the Overview Area section to change views.
    7. Double-click your ##-Production worker position to edit the details in the Detail Area section on the lower-right corner of the screen.

    8. On the Account Assignment tab page, enter CABB in the Company Code field and PA## in the Personnel area field. Choose the Enter pushbutton.

    9. Enter 0004 in the Pers. Subarea field. Choose the Save pushbutton to save the data.

  2. Edit the Work Schedule tab page to assign your production worker position ( ##-Production worker ) to the employee group Active and to your new employee subgroup ( ## ).

    1. On the Work Schedule tab page, enter Active in the Employee group field and ## in the Employee subgroup field.

    2. Choose the Save pushbutton to save your data.

    3. Return to the SAP Easy Access screen.

Set Up Integration Default Values

Business Example

As part of your job, you need to ensure that new employees, who are hired, are automatically included in the enterprise’s organizational structure. For this reason, you must know how to activate the integration between Organizational Management and Personnel Administration to set up the objects in the Organization and Staffing interface to facilitate data integration with Personnel Administration.

In Organizational Management, call Organization and Staffing in change mode and search for the organizational unit CABB or Org. Units Training Group. In the Training International area, you will find the Warehouse and Production organizational unit. This contains the positions ## Production workers ( ## is your group number).

Select the position for your group number by double-clicking it and edit the details for your position. Make sure that the start date in the Specify date and preview period dialog box is set to the first of this month. You should also use this date as the hiring date for the second employee you hire.
