Managing Performance Form Templates

Performance Form Template Overview

What is a Performance Form Template?

Form templates are the basis for all forms in SAP SuccessFactors. Multiple products use forms in SAP SuccessFactors, so form templates are not exclusive to Performance Management. A form template is a shell that contains the structure (layout) of the performance review. From this, the forms used by employees to complete their performance reviews are created. Form templates contain the layout, sections, and workflow for each form.

The form templates your company is using were uploaded when SAP SuccessFactors was implemented. You can edit many features of the form template in Manage Templates and Form Template Settings, including permissions, but you may need to submit a Support Ticket for specific requirements that can only be made in the back end. As a best practice, to maintain any back end work your implementation consultant completed to prepare your first performance form template, copy that template, and then make any necessary adjustments for the following year’s performance cycle.

Performance Form templates may also be referred to as PMv12 Acceleration templates, as this is the current version's name.

The list of Active Templates is displayed.

Upload New Template

Administrators can upload new XML templates, update existing ones, download templates for offline editing, and view template revisions from Manage Templates, with the required permission. To upload a new template, select the Performance Review tab, and then select the Upload New Template button.

Administrators need the following Role-Based permission (found in Manage Permission Roles): Administrator PermissionsManage TemplatesUpload and Update XML Templates in Admin Center.

Caution

As a best practice, we recommend having your SAP SuccessFactors consultant complete all template updates. Changes to templates can have a critical impact on your system performance and should be thoroughly tested. For more details about this functionality for consultants, refer to the SAP SuccessFactors Performance and Goals Academy (THR82).

Adding performance form templates from the SuccessStore

For the next performance review cycle, you could choose to add a new performance form template from the SuccessStore or select an existing template and Save As a new one.

To add a template from SuccessStore, navigate to Manage TemplatesPerformance Review tab, and select the green plus icon to Add SuccessStore Template.

Existing Template Duplication

You may also choose to copy an existing form template for the next performance review cycle. To do this, choose the name of a template and then select Save As… with your new title.

Note

Best Practice: When using the option to duplicate an existing form template, created and configured by an SAP SuccessFactors consultant, all permissions and special configurations made in the back end for the form template are retained.

Copy an Existing Template

Business Example

In this exercise, you copy an existing form template to be used for the next performance cycle.

Steps

  1. Navigate to Manage Templates using Action Search, and click on the Performance Review tab.

  2. Select the Performance Evaluation PMv12 template.

  3. Choose Save As.

  4. For the new name, enter [This Year] Performance Review [Your Initials] - for example, 2024 Performance Review JM.

  5. Choose Save.
