Editing Fields and Sections

Objective

After completing this lesson, you will be able to modify the fields, sections, and advanced options in the performance form template.

Fields and Sections

In Manage Templates, click into a performance form and locate the section titled Edit Fields and Sections. This area is where sections of the performance form can be added, removed, and edited in the instance.

Certain sections of a performance form template are connected to other areas in the software. For example, a standard goal section in a performance form pulls data from the goal plan, which is configured with the Goal Management product. When a standard form template is added from the SuccessStore, it is typically preconfigured with the following sections:

  • Introduction
  • Goals
  • Core Values
  • Role Specific Competencies
  • Summary Section
  • Signatures

While editing a performance form in Manage TemplatesEdit Fields and Sections, you may select the green plus icon Add New Section to add additional sections from a library that has been fully or partially configured.

When adding sections to the performance form template, you are only allowed to have one signature, introduction, and summary section. You are allowed an unlimited number of Attribute and Goal sections to add to the form template. Multiple attribute and goal sections can accommodate information populated from multiple areas in the system.

For example, an attribute section marked as Core populates competencies and/or skills tagged as such in the Talent Intelligence Hub, whereas a Role (Job) Specific Attribute section would look into the mapping of competencies and/or skills to populate these into the Performance form based on the employee's Job Role. Similarly, a standard Goal section populates data from an employee’s performance goal plan, and a Goal section identified as Development populates data from an individual development plan.

Ratings and Comments in ratable sections

Those sections in the Performance Management that are ratable in the context of allowing to rate at the item level, are the Goal and Attribute sections, where performance goals, competencies and skills would be rated in the form, and additionally, comments can be included to add more details about the rating given.

When configuring rating options, there will be four possible ways, explained on the table below. All of these rating options can be configured from Manage Templates:

Everyone who has access to the form in edit mode has their own rating box (Unofficial User Rating). The Item Rating is still the rating of record, normally accessible only to the manager, but other roles can access it if needed.

Note

In this rating option, there are two types of Unofficial User Rating:
  • Unofficial User Rating controls the visibility of the unofficial rating field only.
  • Unofficial User Rating (Legacy) controls the visibility of both the unofficial rating field and others' unofficial ratings shown on the Ratings from Others tab. This legacy field was previously named Unofficial User Rating in the permission configuration dialog.
Since users can potentially rate in two fields, Unofficial User Rating and Item Rating, and that would show two duplicated rating fields on the form, it is a common practice to hide one of the fields not needed. However, hiding the Unofficial User Rating (Legacy) hides the Ratings from Others tab as well. Now it is possible to hide only the rating field but still display others ratings on the form.

The final score is the EM's rating

Only the employee and manager can rate on the form (Side-by-side rating). The manager rating is the rating of record (Item Rating), and the employee self-assessment rating is the Subject Rating.

This is the recommended and most common configuration.

Comments on Ratable sections

As for the comment options in the goal or attribute sections, the following are possible:

  • Show both item and section comments
  • Show only section comments
  • Show only item comments
  • Show neither item nor section comments

The comment options are controlled by the following advanced options:

  • Include a comment for each item
  • Include an Overall Comment

Goal Section Settings and Advanced Options Configuration

In the Performance Form Template, more than one goal section can be added. Each section must correspond to a goal plan template. Select a goal plan template from the Choose which goal plan you want to link dropdown list.

In general, the goal process happens before the performance review process. Employees are evaluated on whether they met their goals and how they met those goals. In order to do this, goals from the goal plan are automatically populated in the performance form for evaluation. There are two ways to populate the goals in a Performance Form: Auto-Populate and Auto-Sync.

The differences between Auto-Populate and Auto-Sync are shown in the following table:

Auto-Populate and Auto-Sync Enablement

Auto-Populate is the default option in a Goal Section. If using this option, it is important to enable the Show Add Existing Objective Button. When this option is selected, users can use this button to select goals that might have been created on the goal plan after the form was launched and pull them from the goal plan into the review form.

To enable Auto-Sync, select the option Synchronize goals from an goal plan and a review form under Show advanced options....

Goal Section in the Form Template

The figure below shows the options for editing the goal section in the performance form template.

The most important advanced options located in the Goal Section are defined in the table below.

Auto populate goal weights from weights in the goal planIf this option is selected the goal weights that factor into the overall rating calculation will populate from the goal plan into the goal section of the review form. The prerequisite is that the option Exclude the ability to enter in a weight is selected.
Allow users to add/remove Goals within a sectionAllows users to create and delete goals on the review form. Prerequisite is that these actions are not restricted for the user in the goal plan.
Synchronize goals from a goal plan and a review formIf this option is selected, the goals on the goal plan and the review form will always be in sync. If it is not selected:
  • Goals that are removed from the form will not be deleted from the goal plan.
  • Goals that are added to the goal plan after the review form launch, will not automatically be added to the review form.
Use the Add Existing Objective Button to manually bring over goals from the goal plan that are not currently in the review form.
Use Metric Lookup Table RatingSelect this option if an achievement lookup table is configured in the goal plan template to populate the goal ratings that were calculated in the Goal Plan.
Include in overall goal rating calculationIncludes the ratings in the Obj/Comp Summary section rating.
Include in overall performance summary section ratingIncludes the ratings in the Summary section rating.
Display in goal sectionAllows the ratings of each item to be displayed in the Obj/Comp Summary section.
Lock item weightsSelect this option if the goal weights should not be editable in the review form. Prerequisite is that:
  • The option Include the ability to enter in a weight is selected
  • The option Auto populate goal weights from weights in the goal plan is NOT selected
Rating ScaleAllows you to identify a specific rating scale for the section, rather than use the default scale defined in general settings.
Hide numeric rating values (only show text labels)Makes ratings appear as their text label only, not a numeric label.
Choose an alternate label for the rating field.Allows you to enter text for the rating of a record field.

Goal Section End User View

Goals from the goal plan are displayed in the Goals section. The end user experience of this section depends on configurations in the Goal Plan and the goal section of the form template.

Summary

  • Sections of the performance form can be added, removed, and edited in the instance from Manage Templates, in the Performance form template Edit Fields and Sections area.
  • When adding sections to the performance form template, you are only allowed to have one signature, introduction, and summary section. However, you are allowed an unlimited number of Attribute and Goal sections to add to the form template, which populate information from other areas in the system.
  • The Attribute and Goal sections of a performance form are ratable, allowing ratings and comments at the item level (for goals, competencies, and skills). You can configure multiple rating options from Manage Templates.
  • There are several advanced options available to enable and configure in Manage Templates for all sections on the performance form template.
