AI-Assisted Writing in Performance Management

The AI-Assisted Writing tool offers advanced generative AI capabilities that can assist users in providing feedback. These new AI capabilities can be utilized to enhance the quality of feedback text in Performance Management. One notable feature of AI-Assisted Writing is the ability to make feedback actionable, providing constructive suggestions that employees can take immediate action on. By leveraging AI-Assisted Writing, users can deliver prompt, improved, and actionable feedback.

The usage of AI capabilities in SAP SuccessFactors requires an SAP AI Units license. Customers are advised to contact their SAP SuccessFactors Account Representative. Enablement and Permissions

The following steps are required to use AI-Assisted Writing:

  • Turn on the feature in AI Services AdministrationGlobal FeaturesAssisted Writing with Text Analyzer.
  • Administrator needs the following permission in Manage Permission Roles: Administrator PermissionsManage AI CapabilitiesAI Services Administration.
  • End users will need the following access permission granted in Manage Permission Roles: User Permissions → AI AccessAssisted Writing with Text Analyzer.
  • End users will need the following access permission granted in Manage Permission Roles: User PermissionsAI AccessAssisted Performance Goals.

Actions Available in Performance Management forms

Once AI-Assisted Writing is enabled and permissioned, the following features of the AI-Assisted Writing become available to the end user:

  • Enhanced Writing: Suggests enhancements in grammar, spelling, vocabulary choices, and phrasing in the context of the selected line or paragraph
  • Change Tone: Provides options to change the tone of the writing of the selected line or paragraph to professional, personable, or constructive to suit the communication needs for different audience groups in the organization.
  • Make Shorter: Shortens a selected line or paragraph to convey the message more concisely.
  • Make Longer: Rewrites a selected line or paragraph by adding more words to provide a detailed explanation based on the original content.
  • Make Bulleted List: Converts a selected line or paragraph into a bulleted list to simplify complex information and enhance readability by breaking it down into easy-to-read points.
  • Analyze Text: Performs a safety scan on each text box, prompt entry, or Generative AI output to detect bias, and suggest replacement text for any language flagged as potentially biased, discriminatory, or harmful.
  • Translate: For written text, the user can select this option to choose the target language to which they'd like it translated. The following capabilities are currently supported with this action:
    • One-directional translation: Translation from en_US (US English) to all 46 languages supported in SAP SuccessFactors
    • Bi-directional translation: Full translation between the following languages: English (US), German, French, Spanish, Portuguese, Chinese (Simplified), and Japanese
  • Generate Comments: Available when no comments are entered, this item suggests six topics dynamically based on the current competency or skill rating. Users can choose one topic and let the tool generate detailed comments relevant to the competency or skill and its rating, without requiring users to input initial text. Users can further edit the comments manually or with the help of the tool. Previously, users had to enter some content for the tool to expand or otherwise process.
  • Improve My Feedback: Available when comments are entered, this item assists users in providing clear, concise, and professional comments pertinent to a specific skill or competency and its rating. Users can view the improved feedback or evaluate multiple attempts in a separate dialog before applying a result.

Caution

The options Generate Comments and Improve My Feedback are only available when the latest experience for Performance Management forms is enabled.

When completing a Performance Review form, in fields where AI-Assisted Writing is available, the icons to access the actions are in the comment box. The figures below show the steps to access the AI-Assisted Writing options and the actions menu. See examples in the figures below.

Users can provide feedback with optional free-text comments on the generative AI-created or edited content. If the thumbs-down icon is chosen, the Reasons for Rating dialog box appears, and users can choose one of the feedback buttons and add additional comments before clicking the Submit button.

AI-Assisted Performance Insights

Managers can access AI-Assisted Performance Insights in the latest experience of Performance Management forms.

Managers can access the feature by selecting the Generate button in a new area called Boost your review with AI-powered insights! at the beginning of the form. The figure below shows an example of a review form with AI-Assisted Performance Insights.

Prerequisites

There are prerequisites to using this feature:

  • The user is in the Manager role in a single-role step, according to the route map linked to the form.
  • The form is in the user's Inbox.
  • The form is in the Modify stage, rather than the Signature or Completion stage.
  • The form has not been delegated.

Enablement and Permissions

The following steps are required to use AI-Assisted Performance Insights:

  • You have purchased an SAP AI Units license. For more information, please contact your Account Executive.
  • You have consented to the AI Usage Acknowledgment statement.
  • You have enabled Form Template SettingsAssisted Performance Insights for Manager Review for the intended form template.
  • Turn on the feature AI Services AdministrationAssisted Performance Insights.
  • Administrators have the following permission in Manage Permission Roles: Administrator PermissionsManage AI CapabilitiesAI Services Administration.
  • Administrators have the following permission in Manage Permission Roles: Administrator PermissionsManage Form TemplatesForm Templates.
  • Managers have the following access permission granted in Manage Permission Roles: User Permissions → AI AccessAssisted Performance Insights.

Generating Insights

To produce the insights, generative AI uses various data about the employee's performance. The data contains:

  • Feedback, achievements, and meeting notes from Continuous Performance Management
  • Comments from Performance Management forms
  • Feedback provided through Ask for Feedback in Performance Management

Insights Details

The AI-Assisted insights are organized into the following sections:

  • Summary: Provides a high-level overview of the employee's performance.
  • Strengths: Reveals areas in which the employee is good at.
  • Notable Achievements and Contributions: Highlights accomplishments that are worthy of recognition.
  • Areas for Improvement and Actions: Identifies growth areas and provides achievable suggestions for upskilling and career development. With proper permissions, managers can use AI suggestions to generate development goals for the employee.
  • Talking Points: Offers performance-related topics for 1:1 meetings.

Note

The insights cannot be saved on the form. If managers refresh the page or return after leaving it, they can generate content again. To print the insights, managers can use the Print button in the bottom right of the new area. However, the insights cannot be included in the print version of the form in the Print Setup dialog.

Note

The generative AI data usage depends on the length of the review period:
  • If the review period is one year or less, generative AI uses all available data created in that period.
  • If the review period exceeds one year, generative AI uses all comments and feedback provided for the form during the period, along with data from other sources within the most recent year up to the form due date.

Joule in SAP SuccessFactors

Leveraging its generative AI capabilities, Joule aims to understand your requests, retrieve information, and complete your tasks in a conversational way. For example, instead of manually navigating to a feature or page buried deep, you can describe the current task to Joule, who can help automate tasks or take you to places where you can find desired data. By using Joule, you can easily interact with the system and increase your productivity.

Note

Before enabling Joule, several prerequisites exist, such as setting up a SAP BTP enterprise global account or IAS authentication. Customers should contact their Account Executive for additional information about the licensing requirements. Joule in SAP SuccessFactors supports three conversational patterns: transactional, navigational, and informational.

  • Transactional. A transactional capability can help customers create, view, update, or delete business data without navigating to the respective apps. In transactional use cases, Joule can provide you with general HR information about yourself and your colleagues and help you directly complete tasks on the chat interface. For example, when you say I want to request feedback from my manager, Joule collects your questions and then sends the request directly to your manager.
  • Navigational. A navigational capability helps users find and navigate to the functionality or apps they're looking for without going through multiple links to reach a destination. In the navigational use cases, Joule can direct you to SAP SuccessFactors pages where you can find the information you need or get the job done. For example, when you want to view the time off instructions of your organization, Joule provides a link to the Time Off page and informs you of where you can get the information.
  • Informational. In the informational use case, Joule searches available documentation and its knowledge base to find the answer to your query and provides a summarization as the answer to your question, along with the top three search results. For example, when you want to check your organization's HR policies, you can simply interact with Joule to retrieve the relevant documents. This saves employees and HR personnel time, improving employee self-service experience and increasing HR work efficiency.

From the Home page, the user selects the Joule icon, and a conversation can start. Some options for use cases are displayed dynamically.
