Modifying Form Template Settings

Objective

After completing this lesson, you will be able to discuss the additional settings located in Form Template Settings.

Form Template Settings

Form Template Settings allow you to manage different elements of a form’s behavior. For example, showing/hiding the delete button on a form, setting the timing of reminder e-mails, or enabling the print button options are found here.

Form Template Settings are accessed from two locations:

  • Navigating to Manage Templates using Action Search, click on Performance Review tabclick into a performance formGeneral SettingsAdvanced Settings

Form Template Settings Definition

Some template settings, when changed, apply to existing forms (forms that have already been launched), for example, Enabling/Disabling the Print button. Other template settings only apply to new forms created from the template after the change, for example, changing the Route Map. This is important to note when making edits to the Form Template Settings.

Download Form Template

Only relevant for SAP SuccessFactors consultants with access to the back end. Export an XML copy of your template to transfer to another instance, save it as a backup, or use it to make a new version.

This button is only visible when accessing Form Template Settings, but not via General SettingsAdvanced Settings.

Template NameIdentifies the form template name. A drop-down will be available to define the form template name in the other language packs a consultant enabled in the back end.
Template TypeIdentifies the kind of template, for example, a PM 360 template or a PM Review template. This is a read-only field. You can have multiple form templates in the system because your company might use different forms. Each form type requires its own form template. This field cannot be edited.
Last ModifiedDisplays a date and time stamp of the last time this form template was modified. The information is recorded automatically. This is a read-only field that cannot be edited.
Routing MapIdentifies which route map is associated to the form. You may only choose from existing route maps. A new form must be launched to see the new route map.
Default Start/End/Due Dates for Form CreationSpecifies the timeframe in which this form is due. When you create a new form, the timeframe specified in this field is translated into a date about the creation date, automatically populated on the new form. If you prefer not to use the form’s creation date as the basis for the default date, you can specify a default due date of your choice. A new form must be launched to change the default dates.
Disable Ask for Feedback FunctionalityThis setting turns off the Ask for Feedback function. If selected, the date range for collecting feedback is not available. Enabling this affects current forms that have already been launched and new forms. The Ask for Feedback button can also be relabeled through the Text Replacement in the Admin Center.
Enable Ask for Feedback Responses in Supporting Pod permissions. (If this switch is not enabled, the Ask for Feedback responses uses the original permission model, which will only be displayed to the user who requested the feedback.)

Ask for Feedback responses can be displayed in the Performance Form in the Supporting Information Pod to any permissioned user, including the employee.

If this switch is not enabled, the Ask for Feedback responses uses the original permission model, which is only displayed to the user who requested the feedback.

It is important to note that enabling this automatically enables the Ask for Feedback responses for all roles in all route map steps for completed, in-progress, and new forms. If permissions need to be applied, the best practice is to use this feature for new forms, not in-progress ones.

When enabled in Form Template Settings, you can grant permission for a role at route map steps. To permission the feedback, we navigate to Manage TemplatesPerformance Review tabselect the form templateGeneral SettingsShow Advanced options…Ask for Feedback data in Supporting Information Pod Permission(s).

Disable the external email address feedback optionThis setting turns off the option to add an external email address when using the Ask for Feedback functionality.

Date Range for Collecting Feedback from EmployeesSelect a Start Date and End Date to collect employee feedback. Dates can be fixed or relative to the form creation date, default start date, default end date, or default due date. If you use the Fixed option, enter a specific date. If you use the Relative option, select a setting and enter the number of days before or after. A new form must be launched to see the change.
Display circle icon as rating (only applicable to the legacy form experience)Select this option to replace stars for review ratings with circles. Enabling this affects current forms that have already been launched and new forms. This option is not supported on the latest experience for Performance Management forms.
Display check mark instead of rating in Team OverviewSelect this option to use a check mark in place of a numerical rating in the Team Overview. Activating this option impacts forms that are in progress and newly created forms.

Form Template for Last Skill/Competency Ratings

Attribute sections can be configured to show a Last Rating tab which shows the last skill or competency ratings, including the source of the rating, which can come from another Form Template or from Growth Portfolio. You can select this option in the Form Template to display last ratings. A new form must be launched to see this change and only works if the previous form is completed, and the competencies are the same.

The visibility of the Last Ratings tab can be controlled but needs to be done in the back-end by a consultant.

Prepopulate Last Skill/Competency RatingsYou can prepopulate the last ratings into the rating of record field for competencies and skills with this option.
Default Due/Late Notification Date (in days)Define a number of days when an email notification is sent out after the form reaches the due date of a route step. The due date must be configured in the route map, and the email notification template must be enabled for this to be functional.
Template StatusMark whether the template is enabled or disabled. Disabled templates are not visible to be launched, even if a user has permission to launch forms.
Template FlagMark whether the template is private or public. Public forms are transferable whenever a manager-transfer process is started. This should always be set to Public, Private is no longer a supported option.
Do Not Transfer DocumentsIf this option is enabled, this overrides the document transfer, and the documents are not going to be transferred. Enabling this affects current forms that have already been launched and new forms. There is an option to enable document transfer when an employee data file is uploaded in the system.
Automatic Insertion of New Manager as next document recipient if not alreadyIf this is enabled, when an employee is transferred, the new manager is going to be inserted as the next document recipient, if this is not the case already. Enabling this affects current forms that have already been launched and new forms.
Automatic Inbox Document Transfer to New ManagerIf this is enabled when an employee is transferred, the new manager receives any documents that were in the old manager's Inbox. Enabling this affects current forms that have already been launched and new forms.
Automatic En Route Document Transfer to New ManagerIf this enabled when an employee is transferred, the new manager receives any document that were in the old manager’s En Route folder. Enabling this affects current forms that have already been launched and new forms.
Automatic Completed Document Copy to New ManagerIf this is enabled when an employee is transferred, the manager receives a Copy of ALL completed documents for that employee in their Completed folder. Enabling this affects current forms that have already been launched and new forms.
Hide Visibility After Document TransferRevokes the original manager’s visibility to any data in the performance form after an employee has been transferred to a new manager.
Do Not Trigger Change EngineIf this is enabled, forms will not follow the options set in Change Engine for Document Changes and Document Transfer.
Trigger Change Engine (for HR Rep. change)If this is enabled, forms will follow the options set in Change Engine for Document Changes and Document Transfer.
Do Not Remove Inactive Employee’s In-Progress Documents.Employees that have been inactivated in the User Data File have any in-progress forms created off this form template remain in the performance inbox of the last person/role of the route map before becoming inactive.
Do Not Remove Inactive Employee’s Completed Documents.Employees that have been inactivated in the User Data File have any completed forms created off this form template remain in the completed folder of the manager of the employee and any other role that has been sent the form or CC’d on the form when it moved to the Completed route step.
Default Targets

Determines who will get this plan by default when you create forms. Choices are:

Self and Direct Reports (Default option), Self Only, Direct Reports Only, HR Reports Only, Self and Matrix Reports, and Matrix Reports Only.

Note

The user creating the form is called the form originator. See also Allow form creator to select anyone as the subject.
Hide Route Map on the FormAllows the route map that is visible along the top of the form to be hidden throughout the entire review process.
Keep last touched version upon Document completionWhen the form moves into the Completed route step, the form moves to the completed folder in the manager’s performance inbox. This allows the "last touched" or "last edited" copy of the form to remain visible to whomever was last to fill out ratings or comments prior to the Completed route step, in addition to the form moving to the manager’s completed folder in the Performance area of the system.
Enable Auto Restore Deleted Form When Importing UserWhen enabled, allows forms existing in the system when a user is inactivated by the User Data File to remain available to restore if that user is re-activated at a future point in time.
Enable Spell CheckAllows spell-checking on the entire form. Users see the Spell Check option under the link, Actions, on the form to check comment sections, or the entire form. Enabling this makes an impact in the progress forms as well as newly created forms.

Caution

The Spell Check feature will be deleted on 2H 2025 Release. The feature is being deprecated because most modern browsers have a built-in spell check function that can be used instead.
Enable Legal ScanEnabling this option allows for Legal Scan to be used on comment fields. You may choose to upload your own library for the Legal Scan to reference when checking comment fields. Enabling this makes an impact in the progress forms as well as newly created forms.

Disable Spell Check On RouteIf spell check is enabled, a popup dialog window prompts the form reviewer to run the spell check prior to moving to the next route step. This setting can enable/disable the dialog popup window.
Disable Legal Scan On RouteIf legal scan is enabled, a popup dialog window prompts the form reviewer to run the legal scan prior to moving to the next route step. This setting can enable/disable the dialog popup window.

Use Plain Text Only for Comments (Warning: You lose RTE formatting in existing forms by enabling this).

When enabled, all comment boxes on the form are plain text only (even custom comment boxes). The form default includes comment boxes with a Rich Text Editor that allows the reviewer to use features like the Writing Assistant, spell check, legal scan, and change colors, boldness of font, and so on. within each comment box. Plain text may be preferred because it greatly shrinks the size of each comment box, which shortens the entire review form.
Enable Writing AssistantMakes the Writing Assistant tool available for this form. By default, the Writing Assistant is turned off and not available to users through the form. Competencies must be configured with feedback to accurately provide context-sensitive feedback with the writing assistant. Enabling this affects current forms that have already been launched and new forms.
Disable Ask For Comment Routing / Disable Ask For Edit RoutingPrevents users from sending a form to another user outside of the defined route map (Get Feedback).
Allow Add Approver/EvaluatorAllows users to add users from outside the established routing map during the modify stages of the route map (Add Modifier).
Hide Add/Remove Signer buttonsWhen enabled, hides the button that allows the addition of another reviewer outside of the route map to also sign off on the form, and the button that removes a reviewer already added to the form. If additional signers are desired, you may select during which route stages (Modify and/or Signature) the buttons are visible. Signers only have access to the signature section of the form and a comment box next to his/her signature. Please see the Choose when to display the Add/Remove Signer buttons option towards the end of this table for additional configuration.
Disable All Toolbar Buttons (overrides all button selections below)Overrides selections to enable buttons, including print, delete, send and open next form, note, etc.
Disable Print ButtonNo longer allows users to print the form.
Disable Send and Open Next Form ButtonNo longer allows users to open the next form in their inbox after completing a step in the current form.
Disable Page Setup ButtonPrevents users from selectively printing sections of the form in HTML or PDF format.
Disable Delete ButtonPrevents forms from being deleted. Deleting forms is available only to form originators and the manager of the form subject. Enabling this affects current forms that have already been launched and new forms.
Disable Note ButtonPrevents users from searching and opening any notes about the subject of the form or creating new notes.
Disable Form ButtonPrevents users from viewing other forms about the form subject that would otherwise be viewable in a popup window.
Disable 360 ButtonPrevents users from viewing 360-type forms about the form subject that would otherwise be viewable in a popup window.
Disable Info ButtonPrevents users from viewing the document information that would otherwise be viewable in a popup window.
Disable Download ButtonPrevents users from being able to download the form to work with the form offline.
Disable Send ButtonPrevents users from being able to send a form. This is often disabled if the HR team prefers to push forms through the route steps manually.
Disable Send Button for Completed DocumentsNo longer allows users to send a completed form and hides the send button during the complete step.
Disable Late NotificationSuppresses email notifications informing users when a form is late.
Disable Due NotificationSuppresses email notifications informing users when a form is due.
Disable Step Exit NotificationSuppresses email notifications informing users when a routing step has been completed.
Enable Custom Layout PrintingEnables the ability to create a custom printing template using the Manage Custom Layout... option. You can upload a custom BIRT report (.rptdesign). This feature does not respect any existing permissions (for example, hiding a section from a specific role during a routing step) and may become legacy.
Disable PDF Printing (only applicable to the legacy form experience)Disables printing a PDF document of the form, only applicable if the latest experience for performance management forms is not enabled.
Allow form creator to select anyone as the subjectAllows users to select a form subject outside of self or direct reports when creating a new form (beyond the Default Targets selected in the previous setting).
Allow Matrix Manager to Delete document if Delete button is availableThis option allows you to control whether the Matrix Manager can/cannot delete a document when the Delete button is generally available.
Show Signoff routing step names in Signoff StageWhen the form is in the signature stage, it displays the name of the step in the routing map. If this is not selected, the step appears without a name.
Display Step Start DateDisplays the start date of the step, if specified. No longer supported
Enable form title editability in Form Info page

When you select the option, the following effects are applied:

  • The form title is the template name in the form subject's language at the time of form launch.
  • The form title is no longer affected by changes to the template name.
  • The form title is no longer affected by the logged-in user's language settings. It's in one language only.

If this setting is disabled later, the title of all launched forms is automatically updated to match the current template name.

Enable Completed Form Item Comment Copy.When form is in the Completed route step, can enable/disable the ability to send a copy of the item comments to another user in the system.

Choose when to display the Add/Remove Signer buttons

Option 1 – Allow adding/removing signers only during the Modification stage

If the buttons to add and remove a signer outside the route map to the form is enabled, this option restricts adding and removing signers to only during the Modify route stage. This setting is the default.

Note: Applicable only if Hide Add/Remove Signer buttons are disabled.

Option 2 – Allow adding/removing signers during both the Modification and Signature stages

If the buttons to add and remove a signer outside the route map to the form is enabled, this option allows adding and removing signers during both the Modify and Signature route map stages.

Note: Applicable only if Hide Add/Remove Signer buttons are disabled.

Only create for users who don’t have an ___ form with an End Date: between MM/DD/YYYY and MM/DD/YYYYChoose between "existing" and "in-progress" to define whether forms can be created for users with outstanding forms. You can also lock or disable the form dates when launching a form by selecting the checkbox – Do not allow admin user to change date range while launching forms.
Hide the Export and Export (Compact) buttons for documents in the completed folderNo longer allows users to export forms in their completed folder. When this option is selected, the option to export is also removed from the toolbar in the completed routing step.
Show digital signatures in Document Print previewSpecifies that the signer’s name is shown on the printed copy of the form as well as their role and the date when the user signed the form.
Disable Due Date ValidationDisables a validation by which the form is checked to make sure the end date is before or the same as the due date.
Disallow users from changing the Start/End/Due DateDoes not allow users to change the default start/end/due dates that have been configured for the form.
Enable form routing to previous stepAllows a form to be routed back a step. This can be used in the place of Iterative Steps and affects current forms that have already been launched and new forms. When this feature is enabled, it may also be enabled in the form template, and permissioned via Manage Templates.
Enable SMART Goal Wizard (requires SMART Goal Wizard enabled on goal plan)If the SMART Goal Wizard has been enabled on the goal plan and reviewers/end users can add goals to the Goals section of the performance form, they are going to be able to add those goals using the SMART Goal Wizard. This option is only applicable to legacy goals.
Show Manager Rating first for EZ Rater modeWhen EZ Rater mode is enabled (requires back-end configuration), this setting defines that the manager’s rating is going to be visible before any other raters that are included in the route map.
Prevent forms from being created with overlapping date ranges (this applies to all templates with this configuration enabled)When enabled, this setting prevents forms from being launched from all templates with date ranges that overlap.
Enforce permissioning for Detailed Document Search & Archive and Print Reporting.When a user with permission to run reports and search through data searches through forms, the permissions for roles, by each step of the route map are enforced. If the user running a report searches through performance forms, but a form is in a route step where it is only visible and editable to the manager role, the user running the report will not have access to any data from that form.
Allow exit step comments to be visible to all participants in a Collaborative (C) Step (only applicable for forms that have not progressed beyond the C Step)When forms are sent from one route step to another, a page with the option to add comments and the name of the next person in the route step (who the form is going to be routed to next) allows exit comments. When enabled, those comments are visible to all roles included in a Collaborative route map step.
Enable attachmentsIf enabled, allows users to upload attachments in the Supporting Information pod.
Disable Table of ContentsIf enabled, hides the table of contents or form navigation at the top of the Performance form.
Define the PDF file name formatIf the toolbar button to allow the form to be printed in PDF format is enabled, the administrator can specify the default file name when the PDF is exported from the system.
Enable Achievements tab in Performance Goal SectionIf enabled, the Achievements tab is visible for all users in Performance Goal Section.
Display Achievement Feedback for Performance Goal AchievementsIf enabled, you can view the Feedback provided on Continuous Performance Management (Performance Goal) Achievements under the Achievements tab.
Enable Achievements tab in Performance Development Goal SectionIf enabled, the Achievements tab is visible for all users in Development Goal Section.
Display Achievement Feedback for Development Goal AchievementsIf enabled, you can view the Feedback provided on Continuous Performance Management (Development Goal) Achievements under the Achievements tab.
Enable New Confirmation Experience for Sending Forms

If enabled, users receive a pop-up message when the form is sent to the next or previous step and it allows them to confirm the action, instead of navigating to another page to confirm. If the following step has more than one entry users, the current step user selects a recipient from a drop-down in the pop-up.

Show Access to Employee’s Growth Portfolio on Performance Management FormsIf enabled, an employee's growth portfolio can be visible on Performance Management forms*.

Note

*Prerequisites: You’ve migrated data to Talent Intelligence Hub and enabled the Growth Portfolio.
Enable Assisted Performance Insights for Manager ReviewIf the latest experience for Performance Management forms is enabled in Performance Management Feature Settings and the system has SAP AI Units license, this option allows managers to generate AI-Assisted Performance Insights on the form.
Auto-complete inactive users’ Performance Management forms if the job is scheduledIf enabled, and a specific job is created in the Scheduled Job Manager, inactive users' forms that are based on the templates are completed automatically. This auto-complete action is recorded in the audit trail of the forms.
Use slider style for ratings (only applicable to the latest form experience)If the latest experience for Performance Management forms is enabled in Performance Management Feature Settings, this rating style can be used on performance forms to evaluate goals, attributes and overall ratings.

Modify Form Template Settings

Business Example

In this exercise, you modify form template settings on a performance form.

Steps

  1. Navigate Form Template Settings using Action Search.

  2. Alternatively, open the template that you have been editing from a previous exercise.

  3. Leave the checkboxes checked/unchecked as they show up when you first open the form unless they are in the list below. Select the following checkboxes, if not already enabled:

    • Automatic Manager Transfer
    • Automatic insertion of new manager as next document recipient if not already (select Manager and Matrix Manager)
    • Automatic Inbox Document Transfer to New Manager (select Manager and Matrix Manager)
    • Automatic En Route Document Transfer to New Manager (select Manager and Matrix Manager)
    • Automatic Completed Document Copy to New Manager (select Manager and Matrix Manager)
    • Enable Spell Check
    • Enable Legal Scan
    • Disable Spell Check On Route
    • Disable Legal Scan On Route
    • Enable Writing Assistant
    • Hide Add/Remove Signer buttons
    • Disallow users from changing the Start Date
    • Disallow users from changing the End Date
    • Disallow users from changing the Due Date
    • Enable form routing to previous step
    • Enable attachments
    • Enable New Confirmation Experience for Sending Forms
