Introducing Continuous Feedback

Objective

After completing this lesson, you will be able to identify functionality of Continuous Feedback.

Main Functions of the Feedback View

The Feedback view is designed to let employees request general feedback from other users. The scope of potential feedback requestees can be limited by target populations within a role created using role-based permissions. For example, an employee might be limited to requesting feedback from other employees currently in the requesting employee’s department.

Under the Feedback Given tab, users can view all feedback they have provided on the Continuous Feedback page, including responses to feedback requests and unsolicited feedback.

Accessing Continuous Feedback

To access Continuous Feedback, navigate from the Home menu.

​Continuous Feedback enables users to request and provide feedback at any time, extending traditional manager-employee interactions and incorporating input from various sources, including peers. Feedback can be tied to activities and subsequently revisited during 1:1 meetings. The seamless integration with Continuous Performance can ensure that the performance review is informed by real-time feedback.

The Feedback view displays Feedback Received, Feedback Given, and Requests Sent. Additionally, as long as they have permissions, the employees will be able to use the Request Feedback and Give Feedback buttons to request or give feedback.

The permissions needed to enable Continuous Feedback for users are found in Manage Permission Roles under User PermissionsContinuous Performance Management User Permission.

  • Access Continuous Feedback Data allows individuals to view the feedback they receive and the feedback received by their direct reports within the role’s target population.
  • Give Continuous Feedback allows users to give feedback to users within the role’s target population.
  • Request Feedback from others allows users to send requests for feedback to employees within the role’s target population.
  • Limit about whom feedback can be requested works in conjunction with the Request Feedback from others permission and allows the ability to restrict feedback requests within the role’s target population.
  • Access Continuous Feedback Page allows users to access the Continuous Feedback page.
  • Edit Discussion Topics and Meeting Notes in Meeting History. If enabled, users can make further edits to this information once the meetings have been finalized and stored in the history.

Feedback Received

Each feedback item received by an employee is going to be listed on the Feedback Received tab, and organized by year, from most to least recent. There are several filtering options available to display only feedback linked to activities, feedback shared with the manager, or feedback within a specific date range.

The feedback identifies the sender of the feedback, and there is a link to navigate to the Employee File as well as accessing the Quick Card. Some icons will indicate if the feedback received is visible to our manager or whether the feedback received is linked to a specific activity. These linkages can also be changed to a different activity or removed by selecting the Select an activity to link dropdown option. Employees also have the option of selecting which feedback items are going to be made available to managers, unless the feedback request was submitted by their manager, in that case the feedback will always be visible.

Feedback Given

This tab will display all the feedback given to others using Give Feedback option, including unsolicited feedback and responses to feedback requests, organized by year, from most to least recent. There is a filtering option to show only feedback given within a specific date range. The feedback provided, including what went well, what the employee can improve on, and any additional comments, will be visible.

Requests Sent

This tab will display all the feedback requests sent to others, organized by year, from most to least recent. Feedback requests will include the status, Feedback Received, Request Declined or Request Pending. There is a filtering option to show only feedback requests sent within a specific date range.

Requesting Feedback

To request feedback, choose the Request Feedback button. Choose one or more people from the Suggested People or type to find another user. You can enter a Feedback Topic of up to 200 characters, which will be the title of the feedback request. If needed, you can edit the default 3 questions (What went well? What could I improve on? Any additional comments?). Click Send when finished.

Giving Feedback

To give unsolicited feedback (as opposed to responding to a request for feedback) choose the Give Feedback button. Choose one or more people from the Suggested People or type to find another user. You can enter a Feedback Topic, which will be the title of the feedback request, and at least one question and its corresponding response. The default 3 questions (What went well? What could I improve on? Any additional comments?) can be customized, if needed. Click Send when finished.

Delete Feedback

Employees can delete the feedback they receive, with the following exceptions:

  • If feedback is provided by the Manager
  • If the manager requests feedback on behalf of the employee

In these exceptions, we can see that the feedback coming from the manager is non-removable (the Delete is grayed out when the feedback comes from the manager, while the other feedback received is removable, because the employee requested it).

In a recent enhancement, administrators can Disable Deleting Feedback, so users are not going to be able to delete any feedback received, even if they requested it themselves. The Delete option would be totally removed from Continuous Feedback menu, for end users.

The Disable Deleting Feedback option is available on the Continuous Performance Management Configuration page.

Deleting Feedback as an Administrator

An administrator can search for, and permanently delete feedback provided to others. The administrator cannot view the content of the feedback. The administrator only sees the topic, the date the feedback was given, the giver name, and the receiver name.

Permission to delete feedback is given through role-based permissions and by choosing Administrator PermissionsManage Continuous Performance ManagementAdmin Access to Delete Continuous Feedback Page.

It is recommended to keep this option restricted only to an administrator or administrators that should be managing this tool, to avoid any accidental feedback deletion. Once the feedback has been deleted, the action cannot be undone.

Feedback Requests on Activities

Users can select to request feedback within the Activity Details screen. If feedback has been received, the feedback is shown at the bottom of the screen. The View more link can be used to access the Linked Activity dropdown.

Standalone achievements will also be selectable from the feedback details, if an achievement was created from Achievements view (which also creates a completed activity at the same time). Otherwise, the activity, including feedback, will be prompted to create an achievement, and all the feedback will be displayed in CPM or other places, such as Goal Plans or Performance forms.
