Describing Customizing and Master Data

Objectives

After completing this lesson, you will be able to:
  • Describe necessary customizing settings to issue materials to persons
  • Describe master data required to issue materials to persons

Necessary Customizing Settings to Issue Materials to Persons

In this lesson, you will learn about:

  • WBS Element for Personal and Functional Equipment
  • Material Movements for Actions
  • Central Storage Location
  • Personnel Data, Positions and Jobs
  • Assignment of Personnel Data to Force Elements

WBS Element for Personal and Functional Equipment

The image shows the structure menu of an SAP software interface. It displays various options related to material management, organizational flexibility, and defense and security. The relevant option highlighted is Define Project Stock, which allows customizing WBS elements for functional/personal equipment assigned to corresponding plants in a multi-year WBS.

The project and WBS needs to be defined before setting the values in this screen.

Material Movements for Actions

The image shows the Material Movement Types per Action section of an SAP software interface. It displays various movement types and statuses used for goods issues and returns of personal and functional equipment. The image also includes an example of the stock situation after issuing one item, showing the movement type, status, and other details.

You assign statuses to particular movement types. The status is set in table PA0800 for each item that is posted to a person.

When the material is issued to a person, it gets the status ISSD - Issued.

After the issue when the material is going to be returned different statuses will be set.

For the return process, the following actions can be taken:

  • Goods issue, resulting in these statuses in Infotype PA0800:
    • CONS - Consumed Cost Centre
    • LOST - Lost
  • Transfer posting, result in these statuses in Infotype PA0800:

    RTRN - Returned

This is customizable. It is possible to create new Material Assignment Statuses and Movement types.

In this customizing step you also decide which output form will be used for the specific action / status.

The image shows two SAP software interface screens. The first screen is for creating a project, which is a prerequisite for creating a WBS (Work Breakdown Structure) element. The second screen is for configuring a WBS element, which allows differentiating functional and personal equipment from normal stock by transferring them to project stock.

WBS (Work Breakdown Structure) elements are created for the project and thus inherit the corresponding project settings.

To be able to transfer post materials from unrestricted use stock to project stock, a WBS element must exist as this is used for the account assignment of the material document that is generated for the transfer posting (Issue / Return of Personal or Functional Equipment).

A WBS element is created for a specific project.

The image shows two SAP software interface screens. The left side provides an explanation of the differences between Valuated Project Stock, where materials are managed on both a quantity and value basis, and Non-Valuated Project Stock, where materials are only managed on a quantity basis without direct valuation. The right side shows a Project Profile screen, which includes a section for displaying the project stock information.

The image shows the SAP software interface for defining central storage locations. It highlights that this setting determines the available storage locations for issuing personal equipment. The image displays a Joint Logistic Warehouse, a New Recruits Point of Entry, and two Clothing Stores, representing the storage locations that can be selected when issuing personal equipment. The text explains that this setting is used to define the appropriate storage locations, such as clothing stores and new recruits point of entry.

This figure illustrates common settings:

  • The clothing store floor where clothing is on shelves or racks is represented by IM SLOC_P.
  • A backroom warehouse or storage room is usually setup for each clothing store. It is holding boxes of clothing to replenish the racks in the clothing store. This SLOC_P can be IM or EWM managed.
  • The joint logistic warehouse is resupplying the clothing stores and new recruits entry points. This usually an EWM location replenishing the clothing store backroom storage.
The image shows the SAP software interface for issuing personal equipment. The main screen displays the details of the equipment being issued, such as the employee, equipment type, and other relevant information. The inset window shows the list of available storage locations that can be selected when issuing the personal equipment. This list of storage locations is populated based on the system settings defined earlier.

This figure shows the maintenance screens for the central storage location.

    • Needs to be defined
    • Needs to be assigned to a position
  • Position:

Needs to be assigned to a force element

  • Authorized materials:
    • Are assigned to force elements
    • Are assigned to positions
  • Issue to project stock:
    • One of more project have to be defined
    • WBS element needs to be defined
  • Stocks:
    • Stock storage locations have to be created for Issuing / Returning Functional Equipment
    • Provisions storage locations have to be defined, central Storage Locations have to be defined for Issuing / Returning Personal Equipment

Required Master Data to Issue Materials to Persons

The image shows employee information for Cecil Morton, who is assigned to the Public Sector Armed Forces group and the Soldier subgroup. The image contains details about the employee's personnel number, name, personnel area, cost center, start date, enterprise structure, and personnel structure.

The Employee group, as well as Employee subgroup, can be used as search criteria in the search help of the webdynpros for material issues and returns.

This also applies to the Pers.area and the Subarea.

The image shows details of a position identified as Commanding Officer with a Position ID of 50001050, valid from 26.06.2021 to 31.12.9999, and having an Active status and a Position (1) position type. The position is assigned to the 111th Tank Battalion, which is a target force element.

Further explanations about the position:

  • It is possible to assign authorized material using a position to a person
  • The position itself is also linked to a force element
  • The assignment of a position to a force element is done in the structures workbench
The image shows details of a force element named 1st Platoon 50009366 with an active status and valid from 03.01.2017 to 31.12.9999. The organizational structure includes three positions: Platoon Leader, Driver AFV, and Deputy Platoon Leader, all of which are active.

Further explanations about assigning persons and positions to a Force Element:
