Introducing Trip Cloning and Sharing

After completing this lesson, you will be able to enable Trip Cloning and Sharing Options on the Travel Configuration Page.

Introduction to Trip Cloning and Sharing

The Trip Cloning and Sharing feature in Concur Travel streamlines travel arrangements by allowing users to easily book identical trips and share trip details with others. This feature is particularly useful for arrangers managing travel for multiple users and for travelers who frequently take similar trips. By enabling this feature, your organization can significantly improve travel planning efficiency and coordination.

The Trip Cloning and Sharing feature provides the following benefits:

  • Provides a shortcut for a traveler to copy an itinerary
  • Allows users to share information about their trip(s) with others
  • Copying allows arrangers/assistants to manage more users faster

To access the Trip Sharing and Cloning setting on the travel configuration page, use CTRL+ F to search for the setting as depicted in the following graphic.

Select the checkbox to enable the Clone Trip setting.

Cloning and Sharing functionality

Review the following information to learn more about cloning and sharing trips in Concur Travel.

Clone

A user/arranger can clone an itinerary for himself or anyone that they have been designated to assist.

When the user/arranger selects Clone Trip, Concur Travel starts a booking process with the identical parameters of an existing itinerary. The user can then modify as needed.

Note

A self-assigning assistant can clone an existing itinerary for anyone in your company except those with the Refuse Self Assigning Assistants setting enabled in their profile. If the assistant attempts to clone a trip that belongs to a user who refuses, a message appears.
Share
A user, arranger, or self-assigning assistant can share a trip with any other user in their company, regardless of their role.

When the user/arranger selects Share Trip, Concur Travel sends an email to the invitee and adds a travel alert to the invitee's Travel home page. The invitee user can then book a trip, starting with the same parameters as the shared trip and modifying as needed.

Important Considerations:

  • The Cloning and Sharing feature is not compatible with configurations that have Concur Travel integrated with Concur Request
  • Class of service rules are applied when using cloned or shared trips, therefore travelers can only choose classes of service that are allowed by their travel policy
  • Clone Trip supports itineraries using American Airlines, AirPass, or the Concur Travel flex-faring interface
  • Cloning and Sharing train, ground, or car connector content is not currently supported
  • Cloning and Sharing hotel reservations from hotel service content suppliers and custom hotel sourcing suppliers is not currently supported
  • On-hold trips can be cloned/shared
