Managing LLF Options

Objective

After completing this lesson, you will be able to manage LLF Options on the Travel Configuration Page.

Introduction to LLF Settings in Wizard Options

In the Wizard Options section of the Travel Configuration page, you will find several LLF settings. The LLF settings control how the system determines a reasonable lowest airfare to use as the benchmark for policy compliance during the booking flow. They don’t force a traveler to choose that fare, but they define which options are considered logical and set the baseline the tool uses to flag, message, or require justification when a traveler selects something more expensive.

This lesson will cover the following LLF settings:

  • Enforce LLF based on
  • Number of LLF definitions per rule class
  • Mark LLF Fare/s with icon
  • Find closest LLF flight and capture details
  • Constrain rule violation fare list to LLF window
  • Policy by Leg
  • Use the domestic and international Default Search Windows for the Travel Policy Time Windows
  • Use domestic default search window for intra-region flights

Enforce LLF Settings

The Enforce LLF based on field includes three options:

  • search window
  • user’s chosen fare
  • hybrid

The Search Window

LLF policies are enforced based on the time the user entered in their search criteria within the Travel Wizard. For example, let’s assume the following is true:

  • The company time window is three hours (defined in the travel configuration)
  • LLF is defined as using flights withing company config time window
  • The user entered a departure time of 8 A.M. in the Travel Wizard

In this case, the LLF will be determined by evaluating flights with departure times of 5 A.M. to 11 A.M.

The User's Chosen Fare

LLF policies are enforced based on the time of the flight/rail the user selected in the search results. For example, let’s assume the following is true:

  • The company time window is three hours (defined in the Air Search Options section of the travel configuration page, as described on the following pages).
  • LLF is defined as using flights within company config time window.
  • The user entered a departure time of 8 A.M. in the Travel Wizard.
  • The user selected a 10 A.M. flight from the original search results.

In this case, the LLF will be determined by evaluating flights with departure times of 7 A.M. to 1 P.M.

When user's chosen fare is selected from the drop-down menu, the following additional options appear will appear:

  • Show additional LLF screen if
  • The LLF screen display the user’s chosen fare and

Choose an option from the drop-down menu to determine when the additional LLF screen will appear. The following options are available:

  • The user's chosen fare is out of policy (even if the user chose the LLF)
  • The user's fare is more expensive than the LLF
There are any cheaper fares within the LLF time window, even if the user chose the LLF

Choose an option from the drop-down menu to determine what the LLF screen display will include in addition to the fare. The following options are available:

  • The LLF option(s)
  • All in-policy flights in the time window
  • All cheaper in-policy fares within the time window

Note

When using this setting, companies should not use the "Hide Results" rule action on Lowest Logical Fare (LLF) rules.

Hybrid

The Hybrid option combines the search window and user's chosen fare options. When selected, the same additional options appear as when the user’s chosen fare is selected in the Enforce LLF based on field as depicted in the following graphic.

This feature benefits customers who want LLF based on the search window while also offering Anytime. When enabled, the system selects LLF using the search window rules, except for Anytime searches (or selecting 12:00 p.m. noon with the maximum allowed +/- window). In those cases, it selects LLF the same way as the user's chosen fare.

To enable Anytime as an option, enable the Show Morning, Afternoon, Evening and Anytime as flight time options setting

The Anytime option is available only if the travel configuration has premium search/pricing enabled, such as Bargain Finder Max (Sabre), E-pricing (Apollo), or Master Pricer TravelBoard (Amadeus).

Consider the following:

  • For Sabre, Bargain Finder Max must be enabled, and the Max Search Results field must be set to 200
  • For Apollo, use ePricing Search must be enabled and the Maximum Window field in the Air Search Options section must be set to 11 or higher

Note

In the new Concur Travel Experience, Hybrid LLF is calculated based on the search window. Additional search options triggering calculation based on a user’s search are not yet supported.

Number of LLF Definitions Per Rule Class Options

The Number of LLF definitions per rule class field allows you to control how many definitions you can create in the Please define your Lowest Logical Fare (LLF) section of Company Admin.

Note

You can create a maximum of three LLF definitions, based on distance traveled in the Travel Policy.

Constrain rule violation fare list to LLF window Setting

Select this checkbox to control which LLF options are shown to travelers and approvers when a rule is violated. When enabled and a travel rule is broken, the violation pop-up will show only flights within the company time window (as defined in Travel Configuration); flights that are price-compliant but outside the time window will not be displayed.

Mark LLF Fare/s with icon Setting

If enabled, the Mark LLF Fare/s with icon setting will place text indication next to fares that match the LLF definition.

Consider the following when enabling this setting:

  • This feature applies to the Shop by Fares tab only – it does not apply to Shop by Schedule or Flex Faring.
  • The time window for the LLF calculation must use the search window and not the user's chosen fare so that the LLF can be determined when the results come in
  • One or more rules relating to LLF must be set up for the LLF calculations to run

Note

The LLF configuration option is no longer supported in the new Concur Travel experience. The icon always displays.

Find Closest LLF flight and capture details Setting

When enabled, each flight in the entire fare is logged and will be nested inside the LLF data points on the Finisher Editor tree.

Note

To write this data to the PNR, an admin must update the PNR template in the PNR Finishing Editor to include the new options.

Policy by Leg Setting

Select the Policy by leg checkbox to apply travel policies and Lowest Logical Fare (LLF) evaluations to each trip leg independently. The system evaluates each leg separately, so a single trip may have multiple policy violations if the user chooses out-of-policy options for different legs. When a violation occurs, the Travel Policy Violation window prompts the user to provide a reason for selecting the out-of-policy fare before moving to the next leg. This approach enforces policy compliance for each leg while allowing justified exceptions.

Search Window Settings

When defining the Travel Policy search windows for LLF, the Air Search Options default search windows can be used for domestic, international, and intra-region flight searches:

If you disable the Travel Policy Time Window checkboxes, it will reveal the custom Travel Policy Time Window fields for Domestic and International searches as depicted in the following graphic.

You can also enable the Use domestic default search window for intra-region flights setting. Enabling this will cause intra-region itineraries to default to the domestic time window. For example, London to Frankfurt will become domestic, rather than international.

Summary

  • Lowest Logical Fare sets a benchmark for policy compliance; it does not force travelers to choose it
  • Enforce LLF by search window, user’s chosen fare, or hybrid; hybrid uses search window except Anytime uses chosen fare
  • Configure LLF screen triggers and content; optionally constrain violation lists to fares within the LLF time window
  • Use default domestic and international search windows; optionally treat intra‑region flights as domestic for LLF time windows
  • Enable Policy by leg to evaluate each leg independently and require reasons for out‑of‑policy selections per leg
